DUTIES/RESPONSIBILITIES
Administration:

Responsible for day-to-day operations of the offices
Custodian of the office keys
Liaises with the procurement office to follow up on requisitions
Follows up with service providers to ensure timely and quality delivery of goods and services
Follows up on invoices with vendors/service providers to support in ensuring timely payments once goods and services are delivered
Supports the Procurement office in the process of identification of local service providers
Assists Procurement Office in raising quotations, quotation analysis, preparing the tender and procurement documents
Supports the procurement office in drafting agreements for suppliers.
Supports the AFAA in management of the program assets
In charge of management of stores
Supports the AFAA in filing of documents and keeping of records
Any other organisation’s duty as may be directed by the Supervisor.

IT Focal Point:
The role will act as the IT Focal point, working in close coordination with the IT Analyst at the Country office.

Sensitizing staff on various ChildFund policies and regulations that govern the use and utilization of computer hardware and software, internet and email facilities.
Serve as a liaison to Software, Hardware and IT Service providers and responding to IT queries by providing information and direction to the issues raised.
Database and systems administration
Coordinating quarterly servicing and maintenance on the data processing equipment and keep record of maintenance, repairs and/or upgrades performed on each equipment.
Determining any additional hardware and software that may be required, preparing their request and forwarding them to the Field Coordinator (FC) for approval.
Network management, Server Administration, Website Development, User Support and implementation of new applications (System Development) to facilitate program activities
Drawing up a diagnosis report and cost estimates for equipment that require replacing parts for subsequent forwarding to the FC for approval.
Installation, configuration and updating computer hardware and software
Helpdesk support and end user training
Weekly and monthly data backups, Virus and Malware prevention, protection and removal.

SKILLS AND COMPETENCE

A Bachelor’s Degree in Computer Science or Information Technology. Or A Bachelor’s degree in Business Administration or Business Studies with a Diploma in Computer Science or Information Technology
3 years’ work experience in supporting administration and procurement functions
Good organization and time management skills and ability to work under pressure.
Good communication and writing skills.
Must have good interpersonal skills.
Must be a person of high integrity.
Good coordination, problem solving and networking skills.
Remain alert and responsive to any child safeguarding risks, acquire relevant knowledge and skills which will enable you to promote strong safeguarding practices.
