Role Summary
This position will report to the Head of Shared Services and is responsible for coordination of the Shared Services function to enhance service delivery.
The role holder will:
Coordinate logistics of the conservancy, ensuring people and goods are moving in a timely and efficient manner.
Supervise and assign responsibilities to drivers, gardeners, general workers and other support staff.
Work closely with the Head of Shared services to implement fleet allocation plans and ensure all vehicles have specific primary and reliever drivers, and enforce compliance to SOPs relating to vehicles.
Develop and implement efficient work plans for the staff under the incumbent’s supervision to ensure efficiency and optimal use of resources
Ensure staff are adequately trained and equipped to deliver results
Ensure compliance with legal requirements and regulations e.g. permits, insurance, licensing etc.
Collaborate with teams across the conservancy to facilitate smooth operations.
Coordination and administration of Shared Services department policies and standard operating procedures in order to ensure departmental effectiveness and efficiency
Supporting the Shared Services function in applying emerging technologies and improving existing processes.
Ensuring timely and accurate production of monthly reports e g. compliance status, vehicles
Managing and coordinating staff under the incumbent’s supervision including performance, annual leaves and off duties.
Ensuring timely submission of staff reports to Human Capital for payroll and proper staff administration
Qualifications and Skills:
Degree or diploma in Operations Management, Business Administration, Supply chain & Logistics or a related field.
Minimum of 3 years of experience in operations or logistics in a large organization
Proficiency in computer applications e.g. Microsoft Suite & O365, Google workspace, etc.
Experience in managing teams
Develop and implement process improvements to increase efficiency and productivity.
Detail oriented with excellent organizational, critical thinking and problem-solving skills
Ability to manage a team and multiple programs concurrently
Ability to thrive in a high paced, fast turnaround business
Be positive, motivated, ambitious, and proactive, with a “can-do” attitude.
Adaptable – ability to respond quickly to a shifting reality and adjust initiatives and priorities accordingly
Great interpersonal, communication and collaboration skills
