Procurement / Compliance
Ensure that the procurement of Goods, Services and works are done in compliance to set policies and procedures.
Participate in the day to day procurement and logistics activities including solicitation of quotations, bid analysis, contracting and contract management ensuring that they are done in accordance with EGPAF and Donor requirements including securing required approvals.
Oversee pre-qualification of suppliers, vetting and identifying source of goods and services.
Prepare weekly procurement status reports in the prescribed template.
Prepare invoice versus Purchase Order tracker report on monthly basis.
Liaise with Procurement and Logistics manager for clarifications, inquiries and support in relation to procurements, fleet, assets and inventory management.
Provide input for improvement of the procurement and logistics policies and procedures.
Moderate and provide technical advice to the Procurement Committee through the bidding processes and evaluations.
V endor Relationship Management
Develop, manage and maintain an arm’s length relationship with vendors at all levels, ensuring that the suppliers fulfill their obligations in a timely manner, paid on a timely basis, and that any disputes arising are managed in a professional, procedural and consultative manner.
Documentation
Generate and disseminate complete, accurate and relevant monthly procurement reports on user friendly, standardized templates to support project management decision making.
Ensure that all procurement documents are well filed and securely stored whether electronically or hand copies.
Invoicing
Ensure that the foundation is invoiced on all commitments that have been made with the vendors.
Review and prepare invoices for payment.
Risk Management
Identification of risks and propose recommendations for mitigation.
Inventory & Asset management
Oversee receipt, storage and availability of supplies by maintaining a comprehensive inventory of supplies for program activities. Ensure control measures are adhered to for the distribution.
Assist the Procurement and Logistics Manager in management of office assets, coordinating their purchasing based on assessed needs, systematic tagging, insurance (and related claims processes), annual documented physical verification and disposal at close out per project specific disposal provisions.
To Be Successful, You Will Have
Minimum of 5 years of work experience in a similar role.
Bachelor’s Degree in Supply Chain Management.
Possess a professional qualification in purchasing and Supply Chain Management and a registered member of the CIPS/KISM.
Good analytical and critical thinking skills, organized and results driven.
Good planning and coordination skills.
Strong data analytics and quantitative reasoning skills.
A problem-solving approach to work.
High level of attention to detail.
Experience working with International NGO.
Good self-management skills.
Bonus Points If You Have
Experience in handling procurement and logistics of health commodities in a multiple project environment will be an added advantage.
