As a Sales Administrator, you will support the sales team by managing procurement procedures, tender applications, and preparation. Your role will involve coordinating sales activities, managing documentation, and ensuring smooth operations in the sales process. This position requires a good understanding of IT technologies and solutions, procurement processes, and strong organizational skills.
Responsibilities
Sales Support:
Assist the sales team with administrative tasks, including managing schedules, preparing presentations, and organizing meetings.
Prepare quotes based on agreed solutions architecture ensuring accuracy of information provided
Liaise with vendors to get pricing and do follow-ups for clarifications and discounts
Maintain and update customer databases to ensure accurate and up-to-date information.
Coordinate communication between the sales team and other departments to ensure smooth operations and effective information flow.
Procurement Management:
Manage procurement processes, including sourcing suppliers, obtaining quotes, and negotiating terms.
Prepare and process purchase orders, ensuring compliance with company policies and procedures.
Track and monitor procurement activities to ensure timely delivery of products and services.
Tender Applications and Preparation:
Identify tender opportunities relevant to the company’s offerings in Business Applications, cloud services, and managed IT services.
Prepare and submit tender applications, ensuring all required documentation is complete and accurate.
Coordinate with various departments to gather necessary information and meet tender submission deadlines.
Follow up on submitted tenders and maintain records of all tender activities.
Documentation and Reporting:
Maintain organized records of sales activities, procurement processes, and tender applications.
Prepare regular reports on sales performance, procurement status, and tender outcomes for management review.
Assist in the development and implementation of sales policies and procedures.
Customer Interaction:
Respond to customer inquiries and provide information about the company’s products and services.
Assist in resolving customer issues and complaints in a timely and professional manner.
Support the sales team in building and maintaining strong relationships with customers.
IT Technologies and Solutions:
Maintain a solid understanding of the company’s IT solutions, including Microsoft Business Central, Cloud Services, VMware, Veeam, NetApp and managed IT services.
Stay updated on industry trends, emerging technologies, and partner offerings.
Utilize technical knowledge to effectively communicate the value of the company’s solutions to customers and prospects.
Qualifications
Bachelor’s degree in BBIT, preferably, or a related field.
Proven experience in a sales administration, procurement, or similar role, preferably in the IT industry.
Strong understanding of procurement procedures, tender applications, and sales processes.
Knowledge of IT technologies and solutions, including cloud services, IT infrastructure, and enterprise software.
Excellent organizational and time-management skills, with the ability to handle multiple tasks and meet deadlines.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and CRM software.
Strong communication and interpersonal skills, with the ability to work effectively with internal teams and external partners.
Attention to detail and a high level of accuracy in documentation and reporting.
Familiarity with Microsoft Business Central, VMware, NetApp, and Veeam, is a plus.
