Key Responsibilities:
Greet clients and visitors in a professional and courteous manner.
Answer and transfer incoming phone calls. Make and return calls upon being so instructed. Take messages on behalf of the recipients
Manage the use of the front desk telephone including that in the board room/meeting rooms
Receive all correspondence, documents and pleadings served on the firm, acknowledge receipt by stamping, dating and signing on both the firms copy and the service copy.
Liaise with the Registry Clerk to ensure that the correspondence, documents or pleadings served on the firm are placed in the respective files and immediately placed on the desk of the attending advocate.
Schedule appointments for the firms advocates
Manage the use of the firms boardrooms/meeting rooms.
Provide administrative support, including managing and distributing mail, faxing, and photocopying documents.
Maintain records, including filing and updating client information.
Ensure that the reception area is clean, organized, and presentable at all times.
Assist the procurement team to order for office supplies, receive deliveries and confirm that they tally with the invoiced items and manage inventory.
Assist with other administrative tasks as needed.
Required Qualifications and Competencies:
Customer Service & Telephone Etiquette Training
Office Administration Training
Proficiency with Microsoft Word, Excel, and PowerPoint.
University Degree in a relevant area
Minimum of 2 years experience as a receptionist in a law firm or legal environment is preferred but not mandatory.
Excellent communication skills, both verbal and written.
Professional appearance and demeanor.
Strong organizational skills and attention to detail.
