Receptionist

The job holder will have to ensure efficient running of the Front Office, handling all telephone calls and customer enquiries in a prompt and professional manner and undertake administrative duties for the Transport Section
Roles and responsibilities / what will the jobholder be expected to achieve?:

Undertaking switchboard duties,-management of the answering machine to ensure a 24/7 response after hours, at weekends and holidays
Attending to visitors at Reception and controlling entry
Making hotel or other temporary accommodation bookings for visitors to the High Commission
Receiving BHC mail and sending mail to other organisations, including deliveries by BHC drivers
Managing Transport Section events including meetings workshops and other work-related gatherings within the section
Record keeping-filing both electronic and paper
Assisting in management of transport booking and preparation of daily transport programme in consultation with the Transport Planner
Undertaking requisitioning & receiving responsibilities for Transport Section purchases
Administration of billing and payment receipts for shuttle services & private hire of official vehicles
Assisting in processing of taxi invoices. Pre-audit of taxi vouchers before forwarding for payment
Undertaking other administrative duties as assigned by the Transport Manager

Essential qualifications, skills and experience

A degree in any business related field;
Minimum of 4 years in an administration role;
Experience of front office management;
Excellent IT skills;
Excellent communication skills with fluent spoken and written English.
