Job description
Responsibilities:

Handle general enquiries received by email or phone regarding company activities and direct appropriately
Manage work permit processes for expats with assistance of local service providers and authorities
Create filing systems as and when necessary
Organize meetings, conference rooms, data projectors and catering etc.
Photocopy and distribute communication, receive and sort mail and deliveries as directed
General filing and document preparation to assist the project in meeting all the client expectations.
Arrange and coordinate all courier and mailing services
Coordinate drivers for pickup and drop off tasks – related to people and goods
Manage the office stationary supplies
Manage the office access and keys
Assist with coordination of office cleaner/tea lady and any office contractors
Ensure general generail neatness and cleanliness of the office environment is maintained
Maintain personnel records including passport copies, ID numbers tax pin etc.
Assist with tracking of invoice due to suppliers where required
Manage the project/office petty cash system
Assist with credit card reconciliation for senior managers
Assist with collation of proposal documents: filing, printing, binding.
Coordinate the submission of tender and proposal documents
Assist with identification of suitable tenders for pursuit by scanning media

Experience and qualifications

Bachelors in Business Administration from recognized university
Advanced capability with MS Word, MS Excel and Outlook
7 years’ experience in an administration role
Driver’s license preferred
Kenyan National
Additional courses in financial management would be an advantage
Experience in legal firms would be an advantage
Experience in an international firm would be an advantage
