Product Administrative Coordinator

BURN is looking for a Product Administrative coordinator who will work closely with the Chief of Staff to the CPO in handling the following:

Duties and Responsibilities:

Calendar Management: Efficiently manage the calendar of the CPO, scheduling appointments, meetings, and travel arrangements (where applicable) with precision and foresight.
Documentation Preparation: Prepare and edit documents, presentations, and reports for meetings and presentations, ensuring accuracy, clarity, and adherence to organizational standards.
Research and Information Compilation: Conduct research and compile information as needed for various projects, initiatives, and decision-making processes.
Logistics Coordination: Coordinate logistics for meetings, conferences, and events such as team building, including venue booking, catering, and audiovisual equipment setup, to ensure seamless execution.
Record Management: Maintain and organize filing systems, databases, and records for the CPO, ensuring easy accessibility and confidentiality of sensitive information.
Confidentiality Maintenance: Handle sensitive and confidential information with discretion, integrity, and professionalism always.
Administrative Support: Provide comprehensive administrative assistance, including but not limited to:

Coordinating with external vendors and service providers for office maintenance, repairs, and other facilities-related tasks.
Assisting with the coordination of team meetings, including agenda preparation, minute-taking, and follow-up on action items.
Supporting HR-related activities, such as coordinating interviews, onboarding new hires, and maintaining employee records.
Assisting with the coordination and execution of company-wide events, initiatives, and employee engagement activities.
Responsible for receiving, compiling, processing, and managing requests for competitor product purchases, ensuring a streamlined workflow to facilitate competitor analysis.

Any other related tasks assigned to them by their line manager.

Skills and Experience:

Bachelor’s degree in business administration, management, or a related field.
Proven experience as a Personal Assistant or Executive Assistant, preferably supporting C-suite executives.
Excellent organizational and time management skills, with the ability to multitask and prioritize tasks effectively.
Strong written and verbal communication skills in English.
Proficiency in MS Office applications (Word, Excel, PowerPoint, Outlook) and other relevant software.
Discretion, professionalism, and integrity when handling confidential information and sensitive matters.
Ability to work independently with minimal supervision and maintain a high level of accuracy and attention to detail.
Strong interpersonal skills with the ability to build and maintain relationships at all levels.
Knowledge of office management systems and procedures.
Familiarity with Kenyan administrative procedures and protocols.
Experience with event planning and coordination.
