Responsibilities

 Management of the filing system for the department
 Dispatch of letters and mail as required.
 Undertaking all aspects of office operations including supervising office cleaning
 Logistical preparation for meetings, workshops, and forums
 Transport planning!
 Keeping an inventory of all procured items in line with procurement policy
 Keeping and updating HR records including leave forms, employment contracts and pension records
 Planning/organize and coordinate meetings and taking detailed minutes.
 Verification of vouchers and committal documents in accordance with the laid down rules and regulations and Ensure procurement policies and procedures are adhered to.
 Handle administrative requests and queries from staff and ensure they are actioned.
 Organizing, scheduling, and booking travel for staff.

Procurement Management
Responsibilities

 Sourcing for suppliers and their prequalification according to CCAK’s policies
 Carrying out Procurement Functions for CCAK, its employees, its related parties in a timely manner and in accordance with approved Procurement Policies and Processes.
 Engagement in continuous development and improvements of the company’s procurement process to save costs, ensure timely delivery of goods and services while adhering to quality standards.
 Ensuring all relevant procurement-related documents are in place and properly filed.
 Ensuring that relevant Procurement Process Management Tools are up to date and 100% accurately maintained.
 Management of CCAK events/workshops/training/conferences and all logistics
 Identifying reliable suppliers and vendors to meet organizational needs.
 Negotiating terms, prices and contracts with suppliers to ensure favorable terms.
 Monitoring inventory levels and forecasting demand to avoid shortages.
 Coordinating with internal teams to understand procurement requirements.
 Managing supplier relationships and addressing any issues that may arise.
 Conducting market research to identify cost-effective procurement opportunities.

Knowledge And Skills Experience:

 Minimum 1.5+ years of experience in Procurement or a similar position.
 Experience in Supplier Sourcing & Contract Management.
 Excellent Analytical skills, bargaining Skills, Interpersonal Skills, and Negotiation Skills.
 Excellent sense of urgency and Time Management with high organizational skills.
 Basic knowledge in MS office (especially Excel/Word) and computer knowledge are required.

Qualifications:

 Bachelor of Science, Bachelor of Business Administration – ( Procurement & Supply Chain Management Specialization), and any other related course.
 KISM/CIPS Qualification is an added advantage.
