Procurement and Fleet Specialist, 6 months Contract
About This Role
This role will entail coordinating the purchases, payments and delivery of supplies, materials and services for our satellite offices. This role is a 6-months role reporting to the Finance Director and based in Nairobi, Kenya.
What You Will Do
Procurement Responsibilities:
Manage the Procurement and Fleet team , includes a Senior Officer and 2 Assistants
Coordinate procurement and fleet management systems and protocols between Komaza staff and suppliers and maintenance providers
Maintain inventory by regularly monitoring inventory levels; anticipating needed supplies and expediting orders
Ensure procurement processes are compliant with regulatory requirements and internal policies
Assist in evaluation and selection of preferred bidders based on competitiveness and ability to fulfill contract requirements and process purchase orders
Liaise with Administrators to verify the deliveries. Ensure the correct items, quality and quantity are delivered.
Coordinating quarterly procurement plans with all departmental heads
Coordinate supplier payments and supplies deliveries to the office, ensuring to maintain a good supplier relationship
Fleet Responsibilities:
Manage the Fleet department and liaise with transport service providers on transport schedules, and implementation of any policy changes
Ensure fleet availability to meet all requests by scheduling, forecasting and surveying current user trends
Ensure compliance of the company with government regulations that have to do with the transportation industry
Take preventive measure to ensure safety of vehicles, motorcycles and drivers
Ensure all vehicles are registered; carry out service, maintenance and inspection on regular basis
Monitor fuel purchases by administering fuel cards for all vehicles to their respective drivers.
Manage both procurement and fleet contracts with suppliers resolving any conflict and ensure the set systems and processes run smoothly
Coordinate with the finance department on monthly procurement and fleet needs and support all Komaza stakeholders in their procurement and logistics needs..
What You Have
Degree in Procurement, Supply Chain or Business Management
Proof of Kenya Institute of Supplies Management Membership. Added advantage if you have both KISM & Chartered Institute of Purchasing and Supplies membership.
Minimum 3 years of procurement or supply chain experience
Experience in working with Odoo system, Excel, G-Suite is preferred
Recent Certificate of Good Conduct and an up to date Tax Compliance Certificate
Experience in auto or motorbike fleet management is an added advantage
