Principal Officer, Academic Services

Overall purpose of the job

Reporting to the Director/CEO, the incumbent is responsible for coordinating academic services and student affairs while ensuring effective implementation of related policies, procedures, and processes.

Job specifications (duties)

The duties and responsibilities of the officer will entail: –

Ensuring the generation of examination timetables;
Ensuring the identification and preparation of examination venues;
Assisting in ensure the receiving and processing raw examination drafts from examiners;
Ensuring timely availability of necessary examination materials;
Developing an examination data bank;
Facilitate the planning and Managing of examination distribution and administration logistics;
Assisting in coordinating of the examination marking process;
Receiving and process raw examination drafts from examiners;
Maintaining statistics with regard to examination performance;
Assisting in ensuring safe custody of all examinations;
Assisting in supervising staff in the Section;
Ensuring generating reports after every examination cycle;
Assisting in generating reports after every examination cycle;
Respond to queries relating to School examinations;
Serving as secretary for the Committee of Examiners; and
Serving as secretary for the Graduation Committee.

Admission

Ensuring timely generation of adverts for School programmes;
Ensuring timely receipt, profiling and processing of admission applications;
Ensuring timely generation of admission letters;
Facilitating the School admission processes;
Facilitating the student registration process;
Providing statistics with regard to admission trends;
Ensuring timely generation and issuance of Student Identification Cards
Supervising maintenance of students’ record:
Assist in generating of reports after every admission cycle;
Serving as secretary to the Admissions Committee;
Serving as secretary to the Student Disciplinary Committee; and
Responding to queries relating to School admissions.

Persons’ specifications

For appointment to this grade, an officer must have: –

At least eight (8) years’ relevant experience in public or private sector, three (3) of which should be in a supervisory role;
Bachelor degree in Education, Information Science, Records Management or equivalent qualification from a recognized institution;
Master degree in Education, Planning & Administration, Information Science, Records Management or equivalent qualification from a recognized institution;

Relevant professional qualifications;

Membership to relevant professional body in good standing, where applicable;
Management course lasting not less than four (4) weeks from a recognized institution will be an added advantage;
Fulfilled the requirements of Chapter six of the Constitution; and
Proficiency in Computer Applications.
