The Kimisitu Investment Company Plc wishes to recruit 1 qualified individual as an Office Administrator & Digital Marketing Officer. Applicants are invited from suitably qualified candidates for the position indicated above.
PURPOSE OF THE JOB:
To ensure the office runs smoothly through organizing, planning and managing daily administrative duties.
MAIN DUTIES AND RESPONSIBILITIES:
Office Administration
Attend to clients/suppliers/visitors to the organization in a professional and friendly manner
Answer general phone inquiries using a professional and courteous manner
Direct phone inquiries to the appropriate staff members
Respond accurately to general information requests
Correspondence with customers on title processing (includes CGT)
Ensure customers concerns and issues are sorted to conclusion and they are satisfied
Prepare reports, memos, and documents as may be required
Sort incoming mail, and courier deliveries for distribution.
Prepare and send outgoing mail, and courier parcels
Code and file material according to the established procedures.
Provide secretarial (includes land transfer documents) and administrative support to management and other staff.
Make travel, meeting and other arrangements for staff
Ensures operation of equipment by completing preventive maintenance requirement calling for repairs, maintenance requirement, inventories, evaluating new equipment and techniques.
Company van management- timely service, license and insurance renewals as well as managing the vehicle mileage logbook.
Ensure integrity and confidentiality of official communication, documents, information, data and security of office assets and classified materials
Provide day to day administrative support to the office of the GM
Ensure all appointments are well coordinated
Ensure reports and information flow is efficient and timely
Digital Marketing
Identify target audiences, develop sales funnels, and implement lead generation strategies to attract and convert potential clients.
Drive the company sales activities through active prospecting for opportunities, follow up on leads and contact interesting prospects.
Develop and execute digital marketing strategies, utilizing various online channels such as social media, email marketing, content creation and drive sales.
Create engaging digital content that align with marketing objectives (copy, blog posts, social media posts, email newsletters, and other marketing materials)
Plan, implement and optimize digital advertising campaigns across platforms like Google Ads, Facebook Ads and LinkedIn Ads.
Procurement
Use Navision software to prepare purchase orders
Manage the tendering process from documents preparation, sourcing of suppliers and preparation of tender opening documents for the committee
Sourcing for quotations and further quotes evaluation
Preparing LPOs and/or Contracts for the qualified supplier and dispatching
Receiving the goods/service and inspecting
Purchase, receive and store the office supplies ensuring that basic supplies are always available.
Maintain suppliers’ inventory by checking stock to determine inventory level, anticipating needed suppliers, placing and expediting order for suppliers, verifying receipts of supplies.
Preparation of documentation for payment processing and dispatch of payment to the service providers
Board support
In consultation with the GM, prepare meeting agendas and supporting material for distribution
Prepare documentations for Board meeting and ensure prior planning and logistics timely distribution of material to the Board
Support the Board with meeting, travel and other arrangements
Human Resource
Preparation and management of staff leave schedule
Submitting of staff annual returns to the National Employment Authority
Engaged in the staff recruitment process and appointment of new staff
Management of training program for the staff and the board as per training programs presented by senior management
Any other duties assigned from time to time by the supervisor.

Internal Contacts: General Manager, Sales Manager, Accountant, Operations Officer and other staff
External Contacts: Company Surveyors, Company Advocates, Service providers and Clients
KNOWLEDGE, SKILLS AND EXPERIENCE:
Academic Qualifications
Must have a diploma in Marketing, Communications, Journalism, front office and customer care or a related field
Business Related Degree will be an added advantage.
Must have 3-5 years’ experience customer care, administration, or relevant field.
2 – 4 years of experience as a Digital marketing or similar role
Strong creative writing, copywriting, and copyediting skills
Excellent knowledge of Facebook, Twitter, LinkedIn, Instagram, YouTube, Email Marketing, TikTok and other social media best practices
Direct experience using social media management tools (e.g., Hootsuite, Sprinklr)
Proficiency with WordPress, web design and publishing
Detail-oriented with strong ability to work under pressure to meet deadlines
Proficiency with video and photo editing tools, digital media formats, and HTML
Understanding of SEO and web traffic metrics
Good understanding of social media KPIs
Excellent multitasking skills
Critical thinker and problem-solving skills
Experience with Adobe Creative Cloud (Photoshop, Premier Pro, InDesign) or equivalent digital media editing tools is preferred.
