Office Administrator

Job Summary

The Office Administrator will manage all office administrative duties, ensure the smooth running of the office, and provide quality service to all clients.
The job holder is expected to demonstrate commitment and loyalty and perform all duties in accordance with the organization’s office routines and procedures, keeping in mind the overall business objectives.
Oversee the front office by receiving visitors, answering incoming calls, replying to general correspondence, and dealing with inquiries.
Monitoring the tender submission process for formatting, completeness, consistency, and compliance.
Assist in the management of data related to the tendering process
Ensure the completeness and accuracy of contracts including monitoring all related liabilities and third-party contracts
Responsible for office administration payments within approved expense limits and that they are made within reasonable time to ensure business continuity
Managing company emails on behalf of the MD and facilitating correspondence 7. Managing Director’s office to ensure it is in good condition and well-arranged
Carry out frequent audits of all company records being kept, and escalation of inconsistencies discovered
Maintaining all company inventory records
Updating social media platforms- Facebook, website, LinkedIn, etc. and responding to queries and comments.

Requirements

A bachelor’s degree in business administration procurement, supply chain or related course from a reputable university
Minimum of 5 years of relevant experience in the field
Experience in the construction industry
Hands-on experience in tender preparation
Solution-oriented with innovative mindset
A score of B plain and above in KCSE
