Grants and Receivables Accountant

The Grants and Receivables Accountant is responsible for managing grant funds, tracking receivables, ensuring compliance with grants regulations, and maintaining accurate financial records. The role involves financial reporting, grant budget monitoring, invoicing, and management of accounts receivables with strong focus on revenue generating side of TBI. Experience in a non-profit service-oriented environment, is highly desirable.

Key Responsibilities:

Grant Accounting & Reporting:

Oversee financial aspects of grants, including budgeting, expenditure tracking, and financial reporting.
Prepare and submit grant financial reports in a timely and accurate manner.
Ensure compliance with donor requirements, government regulations, and internal policies and procedures.
Work closely with CFO to monitor grant spending and provide timely update.
Assist in grant proposal budgeting and financial forecasting.
Maintain up-to-date records of grant-related financial activities.

Accounts Receivables Management:

Monitor and track all incoming payments, including grants, sponsorships, and other receivables.
Timely Invoicing on flight operations and other outsourced services
Timely and accurate invoicing researchers and field school activities
Reconcile receivable accounts and ensure timely collections.
Monitor pricing and sale of merchandise at field campuses
Maintain accurate records of donor pledges and contributions.
Liase with reservations to ensure timely and accurate billing
Support cash flow management by ensuring timely collections of receivables.

Risk and Compliance on Grants

Ensure grant-related financial records are well-documented and audit-ready.
Conduct periodic reconciliations of grant accounts and receivables.
Support internal and external audits by preparing necessary documentation.
Ensure adherence to grant agreements and compliance with funding regulations.
Provide budget making process support for small grants including monitoring
Ensure compliance to relevant procurement policies including tax
Implement internal controls to mitigate financial risks related to grants.

Management Reports on Grants & Receivables:

Prepare periodic financial reports for management, highlighting key financial insights.
Generate grant and receivables status reports for decision-making.
Provide financial analysis and recommendations to improve grant utilization.
Review internal controls to reduce revenue leakages
Identify and recommend new areas for revenue generation
Work with finance and operations teams to improve financial reporting processes.

Others: Support Finance operations to ensure efficient delivery of service to internal and external stakeholders. Any other as may be assigned by the CFO

Qualifications and Experience:

Education:

Bachelor’s degree in accounting, Finance, or a related field.
CPA (K) qualifications are essential

Experience:

Minimum of 5-7 years experience in accounting for multiple grants and receivables lines in a similar role and can adequately demonstrate practical experience
Experience working in a non-profit, service-oriented organization is essential
Proficiency in accounting software (e.g., Navision, QuickBooks, SAP, or similar ERP systems).
Strong understanding of financial reporting, grant regulations, and compliance requirements.

Excellent analytical, problem-solving, and organizational skills.
Strong attention to detail with high level of accuracy
Ability to work with diverse teams offsite/remotely
Good communication and interpersonal skills
Working knowledge of eTims and overall tax compliance
Flexibility to travel to field campuses in Ileret (Marsabit) and Turkwel (Turkana) at short notice.
