CIVIC seeks a qualified and motivated Grants and Development Officer for our Africa and Middle East portfolio. S/he will be a highly valued member of CIVIC’s growing program team. In collaboration with the Program, Development, Advocacy, and Finance and Operations teams, the Officer will contribute to the following:
Grants Compliance: Support CIVIC’s Program teams by ensuring compliance with contractual deliverables, donor policies, and reporting timelines across several institutional donors (EU, FCDO, etc.), as well as by contributing to regular communication with institutional donors.
Development: Work closely with CIVIC’s Development Team, supporting fundraising efforts to grow the Africa portfolio with institutional donors. Help to identify and analyze new funding opportunities; write specific sections of concept notes and proposals; compile information from other CIVIC teams to draft other parts of the proposal package; conduct desk research on context analysis and mapping potential partners, competitors and other existing efforts; contribute to program design.
Reporting: Lead-write quality project reports capturing key outputs, results, challenges, and lessons learned; gather and integrate input from reviewers and ensure timely submission to the donor in compliance with contractual obligations.
Knowledge Management: Contribute to record-keeping, including contact database and key project information in existing systems.
Key Functions
Contribute to reviewing contracts, and identify and share all requirements internally;
In support of Program Managers, update internal grant trackers, listing contract deliverables, timelines, and deadlines, and including narrative and financial reports;
In close collaboration with Program Managers, contribute to drafting or reviewing monthly and periodic project reports;
Support Program Managers and Finance team to ensure accuracy and timely submission of periodic financial reports;
In coordination with Program Coordinators, Country Directors, and Regional Directors, and under their guidance, keep regular and close communication with donor focal points;
Be prepared to identify and escalate any grants compliance issues that may have an impact on CIVIC’s performance and reputation, and support proactive and responsive mitigation measures;
Contribute to mapping potential partners, competitors, and other existing projects in a given thematic or geographical area;
Support the Development and Program teams in program design and innovation workshops;
Help to identify and analyze new funding opportunities;
Contribute to writing specific sections of concept notes and proposals;
Compile information from other CIVIC teams to draft other parts of the proposal package;
Conduct desk research on context analysis;
Create, maintain, delete, or merge folders and channels of internal and external communication as needed;
Keep and manage internal and external information related to past, current, and future donors, programs, and projects;
Participate in “budget vs. actuals” meetings and support follow-up decisions and recommendations;
Remind Finance team about upcoming donor reports, audit reports, and other required actions to fulfill contractual obligations;
Follow-up with senior leadership and management on action steps stemming from audits, donor due diligence conclusions, and programmatic recommendations from internal reflection sessions;
Support communication and visibility efforts;
Conduct and support other related tasks.
Job Purpose: Under the supervision of the Africa and MENA Director, the Associate will play a key role in ensuring compliance with CIVIC’s grants, producing quality reports to donors, and supporting fundraising efforts.
Requirements/Qualifications
University degree in social science, political science, human rights, peacebuilding, or related field;
Minimum 3 years of work experience with BA or 1 year of work experience with MA;
Excellent writing and editing skills in English;
French proficiency is a strong asset;
Business development or grants/program management experience in the NGO sector is an asset;
Familiarity with African context and/or conflict prevention, security, and protection of civilians;
Demonstrated knowledge of design, monitoring, and evaluation is an asset;
Cultural sensitivity, flexibility, and mature judgment to perform professionally in a fast-paced, high-pressure atmosphere;
Team player, well organized, self-motivated.
