Overall purpose of the role:
The Finance Coordinator (FC) is responsible for supporting the finance department of DRCs Kenya Country Program. S/he is responsible for ensuring compliance to DRC and donor finance rules, regulations, systems and reporting and to supports the budget holders to ensure timely, responsible, cost effective and accurate use of funding. The Finance Controller is responsible for providing technical support to field-based finance officers. S/he is required to ensure that best practices are identified, documented and disseminated across field locations.
Duties & Responsibilities:
Review and control journals from all field locations ensuring timely upload in the Accounting System
Review bank reconciliation statements and vouchers from the Field Offices to ensure that they are executed according to the Operations Handbook and other requirements, and give relevant feedback to the Field Offices
Review and take corrective action on partners finance reports/submissions, undertake regular reconciliation of all partner accounts in liaison with partnership finance officer.
Review and approve fund requests from Field Offices to the country office.
DRC Kenya Payments review and processing.
Ensure timely request of funds from DRC HQ in Copenhagen to Country Office and requesting field offices.
Ensure all statutory deduction VAT & Withholding Tax, utility bills are being made on time and in liaison with the Finance Manager and HOSS, engage with authorities or other stakeholders to ensure tax requirements are met accordingly.
Ensure relevant consolidated monthly finance APIs for are completed and submitted to the HoSS by the 15th of every month.
Ensure timely and complete archiving of financial documents (Cashbooks, scanned supporting documents, reports, audit reports, etc.) on Share point.
Coordinate preparation and use of budget control tools (trackers) by finance officers
Carry out regular control visits to field offices.
Provide finance inductions for incoming staff and lead the project kick-off process for finance section.
Support the development of new proposals by generating financial information for budgeting and ensuring CO operating costs are adequately budgeted.
Ensure timely preparation of all donors’ financial reports.
In liaison with the Finance Manager & HoSS, ensure new projects are set up within one month of contract signing.
Organization timesheet focal person.
Review of payroll and medical insurances and upload into dynamics on monthly bases & provision of monthly reconciliation schedule for salary ledger.
DRC Kenya donor instalment update in dynamics, and Monthly reconciliation of all donor accounts.
Undertake Monthly run distribution of all salary-related postings.
Trial balance sheet ledger reconciliation on quarterly bases
Monthly preparation of Month end closure file annex and sharing with Finance Manager and HoSS for review before 13th of each month.
Support all DRC Kenya audits and donor verification exercise.
Experience and technical competencies:
Degree in Finance/Accounting
CPA PART 3
5 years of experience
Knowledge of donor rules and regulations
Education:
Bachelor of Business Administration Finance Option
CPA Part three

Conditions
Contract: 1 year’s contract with possibility of extension, subject to funding and performance. Salary and other conditions are offered in accordance with DRC’s Terms of Employment.
Availability: January, 2024
Duty station: The position will be based in Nairobi Kenya, with frequent travel to field locations
