Main Purpose / Objective of the Position:
Decision Making Authority
This position has the authority to:
Execute all Key Performance Areas as stated on this form and in line with the Company approval framework and policies and procedures.
Experience / Education:

Grade 12.
One-year general management experience.
One-year general facilities management / co-ordination experience.

Skills Required:

Computer literacy (MS Office).
Basic accounting principles, incl. budgeting.
People management.
Verbal and written communication skills.
Negotiation skills.

Knowledge Required:

Basic facilities management functions and principles.
Company policies and procedures.
Company structure and policies.
Occupational Health and Safety principles.
Switchboard system and processes.
Service level agreements.
Procurement policies and procedures.

Competencies Required:

Communication, Methodical, Customer & Quality Focus, Drive and Productivity, Teamwork and co-operation.

Major Drivers of Work Volume:

Business requests, number of events, number of job cards.

Interface / Relationships With:

Internal: Various on-site departments / functions
External: Service providers

Facilities Co-ordination 65%:

Manage and conclude service requests from departments for various services or products.
Manage works orders and ensure completion by the deadline date.
Management of service requests ITO building aspects.
Procurement of products on request from departments or as per site requirements.
Administration of suppliers.
Management of meeting room(s) equipment.
Ensure Occupational Health & Safety compliance.

Finance Management 20%:

Compile annual budget.
Adjustment on budget projections.
Control of monthly budget.
Reporting on budget deviations.
Financial reporting: production figures, utilization, etc.
Debtors control on outstanding payments.
Management of cost recoveries.

Service Level Management 15%:

Ensure outputs of SLA with contractor are maintained
Check, manage and monitor compliance of all Service Level agreements on site
Review contractual obligations with external providers and revise if necessary
