Executive Assistant/Office Manager

Job Description SummaryThe position reports to the Head of Mastercard Labs for Financial Inclusion. The (EA/OM) will be required to perform general administrative duties to support day-to-day operations in such areas as telephone coverage, scheduling of meetings, travel arrangements, expense reporting, calendar management, taking and distributing meeting minutes, copying, screening mail, ordering supplies, and maintaining records.Role

Proactively manage the calendar of the Head of Mastercard Labs, taking into consideration different time zones and culture of a global organization
Seamless organization of relevant customer, management and cross functional meetings, providing all necessary support (i.e. IT, catering, etc. as required)
Flawless execution of all business travel for Head of Mastercard Labs, including expense management and travel booking on a timely basis
Serve as administrative liaison with others within and outside the company
Management of visits by Mastercard seniors to Kenya and Kenyan customers to global destinations, where the Head of Mastercard Labs is involved
Manage all contracting, sourcing, finance and vendor relationships in compliance with company policies
Manage all items related to and act as a point person for internal and external audits
Work on business projects to support the Head of Mastercard Labs on an ad hoc basis
Must be able to self-direct, self-motivate and work effectively with others at all levels of a global organization (i.e. team members, senior leaders, executive management and customers)
As the role will involve high-level client contact and may be exposed to sensitive information, both internally and externally, it is important to demonstrate confidentiality, good business judgment and diplomacy
Ability to function as a team member in a time-compressed, highly dynamic and ambiguous environment to ensure deliverables are achieved

About You

Proficient knowledge of the MS Office Suite, including Excel spread sheets and functions, Word and PowerPoint skills
High proficiency in Outlook
Attention to detail
Excellent written and verbal communication skills
Demonstrate ability to manage time and multiple commitments
Strong problem solving skills and ability to proactively anticipating solutions
Ability to self-motivate and self-direct
Positive attitude and strong orientation toward team work
Bachelor degree required
