Executive Assistant

We are looking for a highly skilled and efficient Executive Assistant/ Personal Assistant to support on of the senior executives in our organization. This role demands exceptional organizational abilities, the capacity to coordinate high-level internal and external engagements, and a deep understanding of operational efficiency in a fast-paced environment. 

The ideal candidate will thrive in a tech-savvy, innovation-focused workplace and play a pivotal role in enabling the executive to drive strategic objectives effectively.

Key Responsibilities:

Executive Support: Provide comprehensive administrative support to the senior executive, ensuring seamless day to day operations. 
Meeting Coordination: Organize and manage high-level internal and external meetings, including preparing agendas, taking minutes, and ensuring actionable follow-ups are tracked and executed within set timelines. 
Strategic Task Management: Act as a gatekeeper and key point of contact for the executive, prioritizing and managing critical tasks, emails, and correspondence. 
Operational Efficiency: Proactively identify and implement improvements in processes, systems, and workflows to enhance the executive’s productivity and time management. 
Action Item Tracking: Monitor and follow up on deliverables from meetings and ensure accountability across teams for timely completion of assigned tasks. 
Travel & Logistics: Manage travel arrangements, prepare itineraries, and coordinate logistical details to optimize the executive’s time. 
Stakeholder Engagement: Represent the executive professionally in interactions with high-profile stakeholders, fostering strong relationships and effective communication. 
Technology Proficiency: Leverage IT tools and platforms to manage schedules, track performance metrics, and provide reports. Expertise in IT-related workflows and digital tools is essential. 
Confidentiality & Discretion: Handle sensitive information with the utmost confidentiality and professionalism.

Qualifications & Skills:

Educational Background: Bachelors degree in Business Administration, Communications, IT, or a related field. 
Professional Experience: Minimum of 5 years of experience as a Personal Assistant to C-suite executives, preferably within a tech or creative organization. 
IT Expertise: Proficiency in modern office technologies, digital tools, and software platforms (e.g., Microsoft Office, Google Workspace etc.) 
Efficiency-Driven: Proven track record of improving operational efficiency and implementing systems that streamline executive workflows. 
Organizational Excellence: Exceptional time management, prioritization, and multi-tasking skills. 
Communication: Strong verbal and written communication skills, with the ability to engage with stakeholders at all levels. 
Problem Solver: A proactive and resourceful individual who can anticipate needs and provide solutions. 
Adaptability: Flexibility to handle changing priorities and a fast-paced environment.
