JOB SUMMARY / PURPOSE:
Do you have a knack of getting things done in amazingly excellent standards, thinking outside the box and pre-empting the moves of C-Level? It would help to also have the ability to figure out reports and work on them with a keen eye for detail – well this might just be for you!
The Executive Assistant to CEO and MD will provide administrative support to the CEO and MD by monitoring various communication channels coming into the CEO and MD, drafting communication on their behalf, planning and organizing meetings and travel. The EA must have a deep understanding of the company and the general dynamics of the industry.
DUTIES AND RESPONSIBILITIES:
Schedule management for the CEO and MD
Travel management for the CEO and MD.
Call and email internal and external stakeholders directly on behalf of the CEO and MD to schedule meetings.
Representing the CEO and MD in calls and meetings when they are unavailable.
Tracking and following up on progress of various projects in corresponding departments.
Drafting, preparation and reviewing of documentation for the CEO and MD.
Handling confidential information and documentation on behalf of the CEO and MD.
Preparation of CEO and MD reports and presentations as assigned.
Performing research and carrying out data analysis as the need arises from the CEO and MD office.
Working with senior leadership and other internal stakeholders to coordinate and take record of meetings, team retreats and social events.
Assist internal teams with tracking correspondence and data.
Own the coordination of projects as assigned such as management team retreats; meetings and developing templates for team communications.
Maintain and update the contact lists of the network of external advisors, consultants and key stakeholders for the CEO and MD office.
Coordinate the administrative aspects of special projects as approved and assigned by the CEO and MD.
Perform any other duties related as requested or as responsibilities dictate.
JOB REQUIREMENTS:
Degree / Higher Diploma in Business Administration / Management.
3+ years experience in C-Level support.
Excellent computer skills.
Excellent communication skills – written and verbal.
Professional discretion.
Excellent research and presentation skills.
