PROJECT SUMMARY
Adeso is leading in the implementation of Disasters and Emergencies Preparedness Program (DEPP) Innovation Labs, a 22 months’ project under the AIM (Adeso, iHub MasterCard) Consortium. The objective of this program is to increase preparedness and resilience of disaster-prone communities in Garissa and Marsabit counties of Kenya by drawing on their deep knowledge of pastoralist communities.
The Consortium has formed Maarifa Kona community innovations labs in Garissa and Marsabit where rural communities are participating to find ideas, prototype and scale innovations for commercialization. It is from this background that a number of community innovators are engaged with the labs to refine and prototype their ideas.
BACKGROUND FOR CONSULTANCY
Maarifa Kona is an Innovation Lab that was created under the Adeso, iHub and MasterCard (AIM) consortium. It functions as a community ideas space in the rural counties of Marsabit and Garissa, Kenya in which the communities can explore and develop better innovative mechanisms to build resilience and preparedness in the face of drought.
We exist to:
To support inventors to develop practical solutions and new ideas to prepare for and manage drought
To create a new learning environment and accessible approach where people feel at ease sharing their experiences and testing their ideas.
Our focus areas include:
Food security
Water management
Livestock protection
Other interventions related to drought e.g. alternative livelihoods, early warning systems etc.
SERVICES TO BE PERFORMED:
The main goal is to produce a series of videos documenting the Maarifa Kona DEPP Innovation Lab core activities and noteworthy outcomes. The videos will profile the journey of 10 innovators from two counties, capturing their experience through our innovation process, gains, impact and expectations as they complete the incubation phase of the programme. The videos and pictures should be able to tell a story of innovators and the process by incorporating the following components:
The community problem(s) and inspiration to join the Maarifa Kona innovation process;Their growth as a result of key learnings/lessons-learnt/takeaways from the Maarifa Kona innovation process;High-level briefs of their innovation and potential impact to their communities;The excitement, anxiety and expectation of the future in regard to their social innovations;Snippets of key activities during the incubation phase (incorporating user testing, training and community engagement sessions)
These videos and pictures will serve as visibility materials for the upcoming National Product Unveiling to be held on 19th April 2019 and London Demo Day on 7th May 2019.
The videos and pictures shall also serve as a marketing and best practices resource tool.
As the financier and sole owner of the property, Adeso will provide approval, input and direction in all key stages of development of the film.
CONSULTANCY PERIOD
The consultancy period will be for a period of 2-3 weeks.
SPECIFIC DELIVERABLES
Specific Project Deliverables:
The main responsibilities of the Contractor (Videographer) are as follows:
Travel to the designated sites in Garissa and Marsabit to meet, interview, picture and film identified stakeholders and film appropriate activities and other scenes that reinforce and support the purpose of the video production (context, landscape, culture). Travel is currently planned for the following dates, although these may change:
Marsabit: 10th – 15th March 2019 (inclusive of travel days)
Garissa: 16th – 23rd March 2019 (inclusive of travel days)
Provide all technical equipment required to deliver high quality production including managing the transport and safety of this equipment.
Realise production and post-production processes (filming, editing, dubbing, subtitles, music, voice-overs, graphic design and titles, etc.)
Obtain client approval in all the key stages (video concept and script, rough cut, final version) and incorporate required amendments.
Successfully satisfy all assignment deliverables as specified within the Terms of Reference.
Submit all original documentary footage (rough material).
Note: Adeso shall retain copyrights to all original footage taken during the production of the videos.
Specific Deliverables to Adeso:
A total of 10 elevator Innovator profile videos will be produced with each not exceeding 10 minutes. Adeso will provide the themes.
One Maarifa Kona documentary, not exceeding 25 minutes, providing key highlights from the innovator profiles/stories with the following elements:
Catchy sound bites from the innovator stories, including appropriate links
Short interviews with program staff/mentors/community members
B-roll/cutaways of key activities (user testing, training, past Demo Day footage etc.)
Environmental shoots to establish context.
One short online edition of the documentary not exceeding 8 minutes with relevant graphics, music, voice over, links etc.)
Based on the approved scripts the Contractor should record voice overs, and include subtitles where applicable.
The videos shall be shot in this format: Full HD 1080 and delivered in an external HD device the master videos as well as stream-able web clips:
In English language, entirely subtitled (including a voice over recording where applicable)
A collection of high resolution action oriented/thematic pictures (a minimum of 100), adequately edited (in Jpeg and RAW) capturing different elements of the programme (innovators, Innovation Labs and community). This should be accompanied the photo log (spreadsheet) with captions for the collection of submitted pictures.
Adeso shall retain copyrights to all photographs, video and original footage at the field sites taken during the implementation of this project. The final products will be used in perpetuity by Adeso and the AIM Consortium.
Applicable Timelines:
The project will commence upon the date of signing of the Agreement and be implemented over an approximate 2 to 3 weeks period as follows:
Filming for this production will commence on 11th – 22nd March 2019.
The “rough” cut videos will be submitted by 1st April, 2019 at the latest.
The final production is to be submitted and copies delivered by 7th April 2019 at the latest.
The Contractor may adjust any or all of these deadlines forward (i.e. submit ahead of the deadlines).
Services and Facilities to be Provided by Adeso:
Adeso will:
Provide a concept, briefing and technical content for the features.
Provide all logistics (travel) and accommodation, with the exception of daily meals, at the project sites – Garissa and Marsabit.
Approve an interim script (developed by the Videographer) before production starts.
Guide in identifying locations and resource people for interviews.
Accompany the Production Team on location and assist for the realization of the interviews.
Provide appropriate pre-existing video footage and photographs related to Maarifa Kona where necessary.
Provide approval at all key stages of the process and before final submission.
Note: Adeso will not provide any health or personal accident insurance to the contractor for the period of the task.
COPYRIGHT AND INTELLECTUAL PROPERTY RIGHTS
In consideration of the fees paid, the Consultant expressly assigns to Adeso any copyright arising from the works the consultant produces while executing this contract. All images (whether used for online or print purposes) must however bear the consultant’s photo credit, as specified by international intellectual property rights. The consultant may not use, reproduce or otherwise disseminate or authorize others to use, reproduce or disseminate such works without prior consent from Adeso.
