Communications Assistant

Under the overall supervision of the Head of Programme and Policy Development and the direct supervision of the Head of Mission Support and Innovation Unit, the successful candidate will be responsible of developing communication materials, both print and digital, to raise awareness and to share key messages with all target audiences.

Core Functions / Responsibilities:

In particular the incumbent will:-

Support the implementation of IOM Kenya’s communications activities with a focus on institutional and donor visibility guidelines.
Gather, prepare and disseminate public information on project activities in the Kenya Country office.
Contribute by preparing, in a timely and regular manner, focused, highly readable written and audio-visual materials, and ensuring consistent visibility of IOM Kenya Office activities.
Support the publication, distribution, and tracking of the IOM Kenya monthly programmatic updates (both digital and print versions) and other relevant products.
Assist in writing news articles for the Mission’s website and update the website with relevant information in coordination with the ICT and Information Management Units.
Assist in implementing communications and public relations activities of IOM Kenya. Draft public information material for IOM’s bi-weekly press briefing notes, website and social media in English.
In coordination with Head of Mission Support and Innovation Unit and Programme Managers, compile, draft, edit and ensure the timely submission of the periodic reports for IOM Kenya.
Contribute to the preparation of annual work plan for communication activities of the Mission and ensure its effective implementation.
Create digital content for IOM Kenya’s social media accounts and website.
Liaise with Head of Mission Support and Innovation Unit and Programme Managers to cover project activities and events. Interview IOM beneficiaries in the field and draft multimedia human interest stories.
Monitor international and national press, with a specific focus on high mobility areas in Kenya. Draft press releases in English.
Support relationship-building efforts with local government, regional national news outlets, and journalists in Kenya.
Maintain up to date content on the IOM Kenya website.
Participate in the preparation of communications and visibility plans and reports for project proposals and donor reports, in coordination with the Programme Manager.
Coordinate the administrative actions to the Head of Mission Support and Innovation Unit and Programme Managers as needed.
Ensure a proper and regular distribution of IOM visibility materials to partners, diplomatic missions and other relevant institutions in Kenya.
Organize theme events in the mission including the annual Migrant’s Day based on the theme of the year, in coordination with Head of Mission Support and Innovation Unit and Programme Managers.
Organize trainings/ workshops on photography and graphic design for IOM Kenya staff to enhance field reporting, photo documentation and publication.
Provide support and coordination to address the communication and visibility needs of Sub-Offices.
Coordinate production of promotional material and liaise with suppliers, monitor work in progress and distribute the products developed.
Keep abreast of new technologies and propose adoption of relevant new communication technologies.
Maintain a calendar of events and a communications mailing list in order to coordinate media coverages when relevant.
Perform any other related duty as may be assigned.

REQUIRED QUALIFICATIONS AND EXPERIENCE

Education

Completed High School Degree/Certificate in Degree in Communications/Journalism or a related field from an accredited academic institution with five years of relevant professional experience;

or

Bachelor’s Degree or Equivalent Degree or Higher in the above fields with three years of relevant professional experience.

Experience

Experience in handling communication and information activities.
Experience in designing, editing informational materials and reports.
Strong writing experience in English is required.
Strong working knowledge of Microsoft Word, Excel, Power Point and other Microsoft applications.
Knowledge of Adobe InDesign and Photoshop required.
Experience with graphic design and video editing an advantage.
Proven knowledge and use of social media platforms for awareness-raising and advocacy purposes.
Strong writing, speaking, and translation skills for documents and in meeting settings.
Willingness to assume duties and responsibilities in all communications areas, as needed.
Proven ability to design effective communication products, lead formulation of communication messages and strategies.
Experience or knowledge of marketing and/or copy writing and copy editing.
Able to interface across units and departments within IOM to extract relevant information.

Skills

Drives and fosters understanding of Media and Communications concepts amongst key personnel in IOM.
Correctly and effectively applies knowledge of traditional and social media.
Proven ability to maintain strong working relations with relevant Government counterparts, international organizations, and private sector entities.
Excellent communication and negotiation skills.
Excellent report writing skills.

Language

Fluency in both written and spoken English and Kiswahili is required.
