Chief Of Staff

About the Role
The Chief of Staff (CoS) will be instrumental in the running of the Office of the CEO. They will be supporting the implementation of operational objectives and working closely with the Office of the CEO to ensure the various business functions are running smoothly.
Duties and Responsibilities
Operations

Maintains customer confidence and protects operations by keeping information confidential
Prepare technical reports by collecting, analyzing and summarizing information and trends
Validate resource requirements and develop cost estimate models
Suggest changes to senior management using analytics to support your recommendations
Maintain office supplies inventory by checking stock to determine inventory level in addition to anticipating needed supplies
Maintain management information systems (manual or computerised)
Using content management systems to maintain and update websites and internal databases
Ensure operation of equipment by completing preventive maintenance requirements and troubleshooting

Executive Support

Be mindful of the CEO’s time and maintain his schedule by routing correspondence planning and scheduling meetings, conferences, teleconferences, and making travel arrangements
Represent the CEO by attending meetings in his absence
Provides historical reference by developing and utilizing filing and retrieval systems as well as recording meeting discussions
Prepare annual estimates of expenditure, maintain budgetary and inventory controls and make recommendations to management

Research and Reporting

Study current system capabilities and practices then design and recommend modifications and improvements
Conduct and coordinate financial, product, market, operational and related research to support strategic and business planning
Perform daily, weekly and monthly reviews and analyses of current processes using operational metrics and reports
Maintains professional and technical knowledge by attending educational workshops, reviewing professional publications, establishing personal networks and participating in professional societies

Project Management

Define project requirements by identifying project milestones, phases and elements. This includes forming project teams and establishing a project budget
Monitor project progress end-to-end by tracking activity, resolving problems, publishing progress reports and recommending actions
Create informative, actionable and repeatable reporting that highlights relevant business trends and opportunities for improvement
Delegate work as and when necessary to ensure successful completion of projects

Desired Candidate Profile
Does this sound like you?

You have a Bachelor’s Degree in legal, finance, business management, agribusiness, project management or Psychology
You have 3 to 9 years of relevant work experience
You are extremely organized with strong time-management skills
You have great experience with Microsoft Office
You are a great communicator, both written and verbal
You have the ability to impact operations and effect change without being confrontational
You have amazing relationship building and management skills
You love travelling and meeting new people (about 80%)
You are detail oriented, analytical and inquisitive
You are able to work independently and in a team
Experience with Software Design & Maintenance is a huge plus
You are a big-picture thinker and have great forecasting skills
You are able to work well under pressure and have fantastic problem-solving skills
