Boarding Officer – Ships Agency

Duties & Responsibility:
Operational Duties

Attend and participate in pre-planning meeting for all vessel calls
Assist in preparing manifests both manual and systems based.
Preparing crew shore passes on vessel call.
Booking for Pilotage
Co-ordination of vessel Master, marine team to ensure safe and timely vessel berthing
Expediting cargo discharge and or loading, ability to maintain proper stowage throughout the operations.
Preparation of outward cargo documents and lodging, vessel clearance/sailing of vessel.
Coordinating with departments regarding vessel husbandry services.
Crew change management, to process documentation, provide transport and any other crew requirements for on and off signers
Any other duty assigned by supervisor and HOD from time to time.

Communication

Advising principals on loading/discharging queries and progress report.
Updating the customers, agency team, stakeholders on vessel performance on all the platform.
Preparation of SOFs, be checked and approved by the ships master
Ability to synchronize with other vessel suppliers and monitor performance
Emailing principles sailing reports/documents.

Stakeholder Management

Liaising with principles and KPA staff regarding berthing position
Liaising with government officials to obtain vessel clearance upon berthing

Equipment Management

Coordinating and marshalling offshore equipment on berthing prospects.
Advising technical team on equipment requirement for each vessel to ensure proper utilization.
Assessing and conducting equipment repairs, during vessel operations

Draft Survey

Organizing, scheduling and completing vessel and barge draft surveys for all vessel calls, to ensure acceptable standards are maintained.
Examine vessel sounding and advising the captain on the state of vessel during berthing, operations and sailing of the vessel
Prepare and submit draft survey reports for each vessel call to the various stakeholders.

KEY PERFORMANCE INDICATORS

Timely submission of documents.
Timely Vessel berthing.
Even vessel discharge/loading.
Max intervals 2 hours intervals hold completion.
Max 2 hours interval vessel sailing upon cargo operation completion.
Timely daily discharge report and submission of the SOF to the office.
Minimum trimmer working hours as per department set targets.
Zero complain from the principal and the Master.
Timely sharp reports.

Qualifications

Professional qualification in shipping (ICS),
Maritime Studies
IT Proficiency in all Office Suites packages.
ICMS training and knowledge in navigating
the Kentrade system an added advantage.
Knowledge on ERP software a must.
A minimum of 2 years progressive
experience in Ship Operations.
Valid Drivers License.
