Administrative Assistant

Detailed Responsibilities:
Office Administration
Knows how to “keep the lights on”; proactively manages office space, inventory of office supplies, utilities, etc. to keep the office running smoothly
Serves as the point of contact for administrative communications, ensures all enquiries – email, phone and in person – are attended to, and routes necessary information to the appropriate parties
Negotiates with vendors and manages relationships to ensure consistent and timely supply of services
Travel & Logistics
Coordinates and ensures smooth execution of executive and team travel, events, meetings, etc.
Manages executive and team calendars, keeping them up-to-date and attending to urgent matters concerning them
Facilitates expense submission process for executive team
Basic Finance, Invoicing and Payments
Ensures that records are kept accurate and up-to-date; Has working knowledge of basic bookkeeping and
Supports invoicing and payments processes; tracking and processing invoices and payments in good time
Liases with accounts team to make sure all accounts are in good standing

2 – 6 years’ experience in Office and Systems administration
A degree or certificate in Business Administration or a related course
Excellent written and verbal communication skills
Strong organizational and planning skills in a fast-paced environment
A creative mind with an ability to suggest improvements
You have experience as an Office manager, Front office manager or Administrative assistant
Excellent time management skills and ability to multi-task and prioritize work
Attention to detail and problem solving skills
