    Job Description

    The Kenya Procurement team is responsible for all purchases that keep our program running for over 350,000 smallholder farmers. We are seeking a team lead to manage the Kenya Procurement team, implement standardized processes, execute with sustained quality improvements, and drive 3-5% of purchasing cost out of the system.
    You will coordinate across teams at One Acre Fund-Kenya to maintain the consistent flow of purchasing information and ultimately deliver a world class purchasing department at the feet of our 750,000+ clients.
    Responsibilities

    Team Management

    Mentoring a 10+ person team consisting of purchasers, stores officers & QC officers
    Coaching purchasers to identify high quality, high level suppliers and how to negotiate for best pricing and terms
    Holding the team accountable to strong integrity and performance standards
    Working with multinational staff and suppliers
    Identifying opportunities to grow the team and working with manager on recruitment of strong local talent

    Defined Processes and Team Vision

    Implementing procurement mechanisms and systems by incorporating procurement best practices and identifying strong, long-term supplier relationships
    Mapping out current procurement practices on the Kenya team to identify and implement cost- and time-saving improvements.
    Standardize practices to improve efficiency, effectiveness, and customer service
    Set a 6-12 month vision for the procurement team to realize 3-5% cost savings across items, communicate realistic lead times to requestors, and deliver with 95% accuracy in quality and timeliness
    Build excellent inventory , quality assurance systems to support procurement operations

    Manage day to day purchasing Execution  

    Triaging requests as they come in to assess lead times and project possible delays and challenges
    Running quarterly forecasting activities across teams to come up with a quarterly procurement plan
    Maintaining accurate procurement data in the SAP system
    Ensuring purchases are supported with sufficient documentation (PO’s, contracts etc.)
    Running annual product tendering exercises to ensure we have preferred vendors for all frequently purchased products to minimize RFQ frequency and maximize savings.
    Saving costs for the organization – every purchase order is an opportunity for negotiate for better prices and better payment terms for the organization. You don’t take no for an answer and you bring suppliers to understand the value of giving discounts to One Acre Fund.
    Working closely with logistics teams to minimize delivered costs
    Working closely with other internal teams to reduce overall spend
    Maintaining and improving procurement process transparency

    Manage procurement support functions

    Overseeing execution of strong inventory management practices in procurement stores – including data management, best practices etc. You make sure our monthly inventory counts are accurate or quickly resolved if anything is missing.
    Developing best practices for mitigating risk to One Acre Fund through enhanced quality assurance mechanisms for procurement material

    Representing the Procurement team to Kenya Leadership

    Communicating expertly and effectively with leadership to ensure they understand your team vision and what you’re doing to get there

    Liaising across client and stakeholder departments to ensure procurement is always supporting the broader country’s mission

    Communicating back to the procurement team the broader organization and country team’s goals and how the procurement team supports those goals
    Responding to feedback from leadership team and key stakeholders in a timely, consistently respectful fashion

    Strategy & Vision

    Writing

    As an in-house reporter, you’ll identify compelling One Acre Fund stories and trends to share globally.

    Reports To: Case Investigations Team Lead
    Job Description: The Case Investigations Associate will mostly be based in the field, carrying out field visits to interview farmers and field staff, and collect statements. The information collected will be used to resolve farmer complaints around inputs, repayment and the quality of One Acre Fund services.
    The agents will be responsible for resolving all cases raised by farmers in the shortest time frame to the highest levels of satisfaction. This is very visible and important position that cuts across many departments at One Acre Fund and supports senior field directors in their execution duties as well as informing and guiding senior departmental heads on programmatic issues.
    Your Role
    Case Management

    Familiarize with all cases of farmer complaints through phone calls to One Acre Fund, through working with the Customer Service Call team
    Meet with the Customer Service Call Team each week to review open cases and ensure the investigation database is up to date
    Prioritize weekly cases to follow up and prepare a travel schedule
    Investigate and acquire relevant documentation including budgets and records for farmer refund payments, UAP insurance payments and inputs delivery documents to detect any anomalies and errors and launch investigations based on the following:
    UAP Insurance: work closely with expense auditor in charge of UAP payments to investigate complaints on this
    wrongly dropped farmers at qualifiers deadline
    refunds for dropped clients and refunds for overpayments
    customer care issues and staff harassment to farmers
    cases on Incentive Fraud, Input fraud and stolen inputs by field staff
    ghost farmer issues
    mobile repayment fraud related issues
    Group Leader level training as follow ups from investigations
    core package issues
    HR related issues
    warehouse staff input balances
    Forward all investigation reports to the relevant parties to ensure resolution and case closure
    Provide recommendations for documentation and process improvement on an ongoing basis
    Any other duty assigned by supervisor

    Field Visit Activities

    Schedule visits to investigate cases with Field Directors, Field Leaders and Group Leaders as appropriate
    Meet with impacted and affected parties and obtain written statements and evidence such as default acknowledgement forms and reports from relevant parties for recovery of cash lost by One Acre Fund staff
    Arrange any follow up appointments to help with the investigation

    Departmental Liaison Activities

    Work closely with the regional teams on any requirements for the cases and advise on appropriate resolution and recommendations
    Liaise closely with HR and District Office Administrators on all pending disciplinary actions from cases investigated
    Work with the Investigation Management to examine processes and policies to prevent future occurrences

    Job Description
    The Finance Advisory Services (FAS) team is made up of in-country associates that are the trusted advisors to country leadership teams in the area of financial sustainability. Taking vast amounts of financial intelligence from budgets, spending patterns and projected work plans, FAS provides concise, actionable advice around how to allocate scarce resources to best achieve the country’s scale and impact goals. The goal of our small group of financial consultants is complete financial sustainability. 
    As a young organization, we are ready to hand over significant responsibility for specific, well-defined strategic initiatives as well as day-to-day management of our financial systems. As such, we are seeking an exceptional professional with 3+ years work experience, and a long-term career interest in international development. They will serve in a career-track position that combines financial and operational analysis with management experience.
    We are seeking a candidate to be based in Kakamega, Kenya and support the country leadership team for our Kenya program. 
    Primary Duties and Responsibilities
    Typical tasks will include:

    Supporting Country Leadership to determine strategy by providing strong financial recommendations. Using the financial intelligence gained in the above priorities, the FAS Associate will work with the country leadership to ensure that a solid strategic plan is in place to meet all impact and scale goals.
    Develop and Support Key Strategic Projects.

    Supporting/developing data strategy for Operations Innovations, Field, and Logistics such as:

    Building a repayment analysis tool
    Building analytic capacity, to be specified (training staff, developing standards)

    Maintaining fertilizer projection model
    Other projects as needed

    Financial Analysis and Driver of Sustainability. The FAS Associate is tasked with pushing the country towards sustainability; you will provide reports on district and country-wide spending to budget performance, and will oversee the measurement of Financial KPI’s, and detailed EOY projections that will include unexpected costs as well as financial risks, ensuring appropriate action. The Associate will provide analysis and recommendations for improved efficiency, cost-effectiveness, and product pricing.
    Annual Budget Facilitator and Champion. With support from the rest of the Finance team, the FAS Associate will spearhead the annual budgeting process, including tools training, workshop facilitation with department heads and review of the compiled budgets.
    Country Finance point of contact. The FAS Associate will act as the main country representative and project manage a variety of finance-related projects by working to connect our FP&A, Accounting, and Treasury teams with country teams. The Associate will also be the main point of contact for the org-wide finance leadership on the Kenya program. This includes presenting the country’s monthly results to all finance leadership across the organization, including providing a clear and concise explanation of the analysis on current results and future risks and projections. 
    Manage and Mentor Staff. To support the above-mentioned activities, you will recruit, manage and develop a small team (one to five) of experienced staff that will assist with your analysis and communications goals.
