    Job Details
    The Regional Finance Department leads the financial management and accounting teams throughout the MEESA region.
    The Regional Business Analyst support the Regional Finance Manager in providing financial leadership and management in the region, champion innovation in business processes and ensure effective financial information system is maintained all times. The RBA also directs the regional Office’s accounting, treasury, financial and internal control practices/systems working closely with the Plan Kenya Shared Services. The maintenance of its financial records and the preparation of its financial reports.
    This role further supports the Regional Finance Manager (RFM) to implement global and regional financial strategies.
    Dimensions of the Role

    The role has no supervisory role in the Regional Office Finance Department and but closely interact with 15 Country Finance managers and their teams. Supports the implementation of global and regional financial strategies in the region and to provide timely and reliable financial information and analysis that leads to effective decision making at the Regional Level.
    Contributes to MEESA’s strategic objective for Finance by ensuring effective business critical support information is in place and contributing to maximize the availability of resources for programs by cost effective financial processes and other operating activities by timely and accurate management reporting.
    Provides permanent support to in – country Finance teams in order to improve overall transparency and accountability in Plan’s external financial reporting.
    This role is involved in the review and consolidation of regional finance reports for a Regional budget worth € 120,000K.

    Accountabilities

    RESA Region Financial Analysis & Reporting

    Interact with Plan Accounting system, extract data per Country Office (CO) and prepare financial reports tailored for different clients in the region
    Make analysis of the report presented and communicate to management on the status
    Provide observations, gaps and areas requiring improvement / recommendations
    Prepare and or review monthly regional financial reports before sharing with management
    Support the RFM with timely and reliable financial information
    Ensure monthly financial reports presented in a timely manner to the Regional Management with clear highlights of areas of concern affecting business.
    Support effectiveness and efficiency by ensuring sound business analyses and the provision of key management information.

    RESA Region Technical Focal Person in system i.e. SAP, BPC, HRIS etc.

    Focal person in system issues relating to finance raised by CO before escalating to System specialists i.e. technical issues in finance
    Liaison or capacity building to staff on work around in SAP, BPC, HRIS among other initiatives
    Testing or trouble shooting issues around finance systems that are working and those that are not and feedback to IH leads
    Support in FAD set up, project set up

    Business planning Processes for the Region

    Facilitate and coordinate business planning processes for the ROSupport the RFM in Consolidation and review planning inputs for the MEESA RegionFacilitate and coordinate business planning processes for the RO.Support the RFM in consolidation and review planning inputs for the MEESA Region.
    Support the Regional Finance Manager in communicating instructions and milestones within the region for business planning, including long term planning, budgeting, quarterly forecasting and cash flow forecasting
    Support the RFM in consolidating and reviewing planning inputs from countries.
    Monitoring key monthly, quarterly and annual financial performance measures of country offices and regional office, provide advice on corrective measures and opportunities on a timely basis and implement actions required related to financial standards
    Preparation and/or review of business plans and funding requests from countries and departments within the region, challenging the assumptions and quality of the data and presenting these on behalf of the region to Global Hub (GH) for funding and approval
    Supporting development and execution of country funding plans

    Ensure appropriate financial controls processes, procedures and systems are in place and adhered to in the ‘’Regional Office & more Importantly in the Region’’

    Working with Plan Kenya Shared Services team, support in ensuring monthly review of all regional office projects being implemented are monitored monthly.
    Follow up finance – related audit actions for the Regional Hub (RH) and implementation of global financial policies and procedures within the region
    Identifying key financial risks and reporting these to the RFM for inclusion in the Regional Risk Register. Recommending and implementing mitigating actions to address key financial risks.
    Maintaining a high degree of awareness of the risk of fraud and necessary fraud prevention measures and ensuring that the global fraud policy and fraud incident reporting and investigation requirements are met
    Implementation and accurate use of global finance systems within the RH.

    Champion of Strategic finance Innovations in the region

    The Business analyst is expected to examine the practices, procedures and processes and recommend better ways of doing things
    Suggest thoughts on better ways of working, input on shared services approaches and creating of the hub.
    Document and share learnings in financial management in various countries
    Share reflections on the transition process in the RH role in offering strategic finance, ‘basically think beyond the debit and credit’

    Support the Regional Finance Manager on any other assigned tasks i.e

    Cost and benefit analysis, Payroll analysis, Taxation, investigations, Short deployment covers to Countries with gaps

    Knowledge
    • Bachelor’s degree in Accounting or related field, post graduate education is an added advantage
    • Professional Financial/Accounting qualification i.e. CPA (K) or equivalent
    • Knowledge of the sector and the financial management issues specific to it an advantage

    Role Purpose
    Innovation to Inclusion (i2i) is a new project funded by the Department for International Development (DFID) under Aid Connect UK to ensure people with disabilities are engaged in waged employment, particularly in the private sector. i2i is a 44-month project (including an 8-month co-creation period) focused on Kenya and Bangladesh, with a third country potentially to be introduced during project implementation.  The project is implemented by a consortium led by Leonard Cheshire together with a diverse and complimentary group of northern and southern actors.
    As a leading organisation for gender equality and inclusion, Plan International works with the consortium members to ensure that the i2i project and its interventions address the specific vulnerabilities, risks and barriers to access facing women with disabilities.  In Kenya, Plan International will also deliver a gender-transformative pilot project to support 100 women with disabilities to access waged private sector employment.
    Dimensions of the Role
    Based in Nairobi and reporting to the Area Manager, Nairobi, the main purpose of the Project Manager is to oversee the implementation of Plan International Kenya’s deliverables under the i2i project, linking closely with the Plan International Kenya Gender Coordinator, other colleagues within the Country Office and in Plan International UK, as well as i2i consortium partners in Kenya. 
    The incumbent should have good understanding of the interface between innovation and inclusion programming and should be familiar with working with the private sector especially within the areas of business, economic empowerment, partnerships with government, and civil society. Experience working with Disabled People’s Organizations (DPOs) on social and economic inclusion – particularly of women with disabilities – will be an added advantage.  Additionally, s/he will be familiar with managing large donor projects and ensuring compliance with donor guidelines and regulations.   The position holder must be willing to adhere to Plan International’s values and sign – and abide by the principles of – the organisation’s policy on safeguarding children and young people.
    Accountabilities

    Implementation of project deliverables: Technical quality assurance to project development and implementation

    Realize implementation phase deliverables:
    Support development of Plan International Kenya Pilot project design on employment inclusion of women with disabilities;
    Support the development and execution of gender analysis for the i2i consortium;
    Support the development of i2i consortium gender mainstreaming strategy;
    In collaboration with the project Gender Coordinator, provide technical gender support to consortium partners, private companies and TVETs;
    Coordinate the realization of i2i project monitoring and evaluation deliverables; including the project baseline and end term evaluation of the project;
    Contribute to the development of a learning paper on what works well in employment inclusion of women with disabilities;
    Lead the technical support on employment inclusion for person with disabilities in the i2i consortia;

    Lead Plan International Kenya’s engagement in the scaling up of the i2i project to a third country
    Monitoring and evaluation, accountability and learning:

    Ensure robust monitoring of project activities, outputs and outcomes as per the project Monitoring, Evaluation and Learning framework;
    Support the development and roll out of inclusive, gender-sensitive beneficiary feedback mechanisms;
    Regularly monitor project risks and ensure action is taken to mitigate negative impacts
    Suggest and oversee implementation of course corrections to strengthen programme quality, as necessary
    Identify and document learning on gender mainstreaming emerging from the consortium’s work in Kenya order to inform and strengthen programming, and for sharing across the sector

    Project management:    

    Represent Plan International Kenya in monthly consortium coordination meetings and in engagements with external stakeholders on the project;  
    Draft timely project narrative and financial reports;
    Report monitoring data to the consortium’s online M&E system on a quarterly basis;
    Provide regular updates to Plan International Kenya senior management on project implementation, progress on activities, risks, etc.;
    Ensure compliance with Plan International Kenya and donor policies, requirements and regulations;
    Ensure smooth/efficient project performance and effective management of and communication with project team, other internal and external contacts.

    Management of project resources:

    Line manage the Gender Coordinator in line with Plan International Kenya HR policies and practices;
    Liaise with HR to ensure project staff are in place to deliver project activities;
    Monitor expenditure to ensure spending is as per the approved project budget;
    Review expenditure reports on a monthly basis and make adjustments as necessary (including through re-forecasting exercises)

    Relevant master’s degree in economics, gender, social sciences or international development
    At least 5 years’ experience in project/programme development and/or management in the context of economic empowerment projects/programmes
    Strong understanding of innovation in development and experience of designing and/or implementing innovative approaches

    Dimensions
    The post holder reports to the Country Director (CD).  The position does not supervise anyone.  However, it has close working relations with Operations Director, Program Director and all the CD’s supervisees on certain tasks e.g. following up on reporting and the Administration Department.
    Accountabilities

    To provide administrative and programmatic support to the CD and in his/her absence to the Nominee.
    Ensures that a comprehensive diary is maintained and communicated well in advance with logistical arrangements.
    Provide logistical and programmatic support to Director of Operations and Program Director and anyone else at the discretion of the CD.
    Act as the initial contact point for the Country Director’s Office.  On a daily basis, respond promptly to questions from Senior Leadership Managers who need to contact and get responses from the CD.
    To co-ordinate, monitor and make travel and logistical arrangements for the CD and other senior directors.
    Prepares documentation to support the office of the CD and its functions and to meet deadlines in processing CD correspondence.  Monitors incoming mail and forwards to respective departments/units.
    Co-ordinate the preparation of briefing information for the CD relating to travel/conferences, working closely with departmental colleagues as appropriate.
    Provide back-up support to ensure the effective and timely response to requests from Donors, other NGOs, press and media, staff and partners of Plan.

  • Country Change Partner and Transformation Lead

    Country Change Partner and Transformation Lead

    Dimensions of Role: The Country Change Partner & Transformation Lead (hereafter referred as CCPTL) role requires working collaboratively with all staff, stakeholders and organisational structures in order to lead Plan International Kenya through both a time sensitive remediation change process and through an organizational wide transformation in pursuance of the 100 Million Reasons Global Strategy.
    This role will utilize change management principles, processes, and tools to focus on driving transformation that will enable Plan Kenya to achieve Plan International’s Purpose and Global Strategy. The role is expected to take a lead in informing and/or designing the change strategy, assessing stakeholder impacts and organizational readiness, recommending and/or implementing appropriate communication, training, and behavioural change solutions, and measuring effectiveness to enhance organization, group, and individual performance.
    The CCPTL will be a member of the Country Management Team (CMT) and will in principle

    Work with our leadership teams to strengthen how we operate, including modernising our business processes systems and the way we work;
    Work with various teams leads to ensure we have a well-designed Country Office strategy and product(s) that are fully integrated into a transformation implementation plan and
    Work with various leadership teams within the Country Office and at the Regional Office and ensure delivery of the intended outcomes emanating from both, a time sensitive remediation plan and a Transformation Strategy on time and on budget whilst ensuring that our people are engaged in the new ways of working

    The role will enable faster employee adaption of new ways of working by focusing on engaging people with change and helping to embed and grow a values and performance driven culture.
    Anticipated and specific deliverables from the transformation process include:

    Implementation of a time-sensitive and a risk managed remediation process that informs a re-engineered Organisational operating model and Archetype;
    Re-engineered “end to end” internal business processes and portfolio management to enhance organisational performance across key functional areas, including but not limited to Business Operations, Program Unit, Human Resources and Business Development;
    Contribution to a Country Aspiration and Goal Setting development process, including identification of skills requirement across functional areas;
    Supporting documentation e.g. Risk Profile, Results Framework, Milestone Plan, Change Assessment and Business Case, as need arises.

    Typical Responsibilities – Key End Results of Position:

    Determine and drive the pace needed to implement the Global Strategy through a well-structured remediation and transformation process;
    Leading a change process that ensures staff own the change process while balancing the need for time-sensitive remediation processes;
    Provide overall guidance to the transformation process to ensure timely implementation, optimised cost and expected quality;
    Ensure buy-in and support for both a time sensitive remediation change process and for the wider transformation process across all stakeholders, including the Country office and Regional Office leadership team; whilst allowing for deep reflections by leadership, of lessons learnt and sharing of how to do things better;
    Coordinate the multi-level change required for transformation to achieve the aspirations of RESA and the Global Strategy;
    Catalyse implementation of the new strategy across Plan International Kenya by utilising the transformation framework;
    Provide concise reporting to enable visibility of the transformation process and a consistent and coherent message around the status, progress and significant changes.

    Supporting the Africa Led Movement to End FGM – Advocacy Lead

    This role can be located in any of the following programme countries: Ethiopia, Kenya, Nigeria, Guinea, Sierra Leone, Mali, Somaliland/ Somalia.
    The Opportunity
    Plan International seeks an outstanding Advocacy Lead [Contingent on proposal award ] to lead the Consortium’s influencing work, positioning it as a reliable partner for FGM issues at international level and building the movement to eliminate FGM in Africa as part of the anticipated Supporting the Africa Led Movement to End FGM Programme across 6 countries (Kenya, Somaliland/ Somalia, Nigeria, Guinea, Sierra Leone, Mali) with an expected budget of approximately £35 million over five years. Advocacy Lead will provide advice and capacity building support to Country Offices, and Consortium partners (networks and organisations) at multiple levels, with a particular focus on youth-led and women-led organisations, to strengthen their organisational and activism capacities; to enable their active participation in campaigning; and to increase their leadership on FGM.
    The project will focus on accelerating the pace of change to end FGM and achieving results at scale. The programme looks at achieving change at scale in the chosen countries, but also reinforcing this with a more global approach to grassroots networks and campaigns/advocacy. The programme will deliver community-level projects to end FGM by changing attitudes and behaviours towards harmful practices, empowering communities to protect the safety, rights and choices of women and girls.
    Responsibilities

    Undertake in-depth power and policy analysis of the structures, systems and networks in participating countries, regional and international levels to identify key influencers and key opportunities for changes in law, policy, budget and behaviour that will drive the achievement of the strategic goals and objectives set by the consortium, in close consultation with the component 2 lead within the UN Joint Programme
    Collaborate with media and campaigns lead within the consortium to agree key campaigning and advocacy targets and approaches and messages
    Lead and manage the design and implementation of an FGM Influencing Strategy, in coordination with staff and partners, by taking an integrated approach to influencing. Review and update the Influencing Strategy as appropriate in response to the evolving context
    Ensure strong linkages with the Programmes and Monitoring, Evaluations and Research (MER) staff so that advocacy and policy approaches are based in evidence, well monitored, and adapted based on assessment
    Identify and build strategic partnerships and engagement to advocate and negotiate with diverse, relevant external actors’ such as organisations, networks, political contacts, technical experts, civil society, and other key stakeholders to further the delivery of the FGM influencing agenda and build a stronger movement

    The Person

    In order to succeed in the challenging and varied role, you will have extensive experience in the following areas:
    Demonstrated experience in using with success key influencing strategies such as advocacy, lobbying, movement building, or policy development

    Plan International seeks an outstanding Safeguarding Advisor to provide safeguarding technical support to the design, implementation and monitoring of the anticipated Supporting the Africa Led Movement to End FGM Programme which will be implemented across 6 countries (Kenya, Somaliland/ Somalia, Nigeria, Guinea, Sierra Leone, Mali) with an expected budget of approximately £35 million over five years.
    The project will focus on accelerating the pace of change to end FGM and achieving results at scale. The programme looks at achieving change at scale in the chosen countries, but also reinforcing this with a more global approach to grassroots networks and campaigns/advocacy. The programme will deliver community-level projects to end FGM by changing attitudes and behaviours towards harmful practices, empowering communities to protect the safety, rights and choices of women and girls.
    Responsibilities

    Provide safeguarding advice across the consortium during programme design/co-creation phase and implementation to support the successful integration of safeguarding into operations.
    Develop a programme safeguarding framework based on Plan safeguarding minimum standards and monitor its timely implementation.
    Ensure the well-functioning and alignment of the safeguarding incident reporting system with Plan in country safeguarding reporting mechanisms.

    Dimensions of the Role
    Working under the overall direction of the Business Development Manager (BDM), the Senior Business Development (BD) Coordinator will play a critical role in the development and realization of an ambitious business development country strategy. The role will support the BDM in market research, identification of emerging trends as well as coordinating specific end to end bid development, which may include but not be limited to synthesis of the opportunity, partner identification and managing of assigned proposal development teams and with a view to leading collaborative teams that promote winning proposals.
    Under the direction of the Business Development Manager, the incumbent will support the identification of new business development and identify new funding opportunities and ensure appropriate tracking of such bids in line with Plan Kenya systems and standards and oversight for business development end to end business processes for bids as assigned.

    DIMENSIONS OF THE ROLE
    Under the general direction and guidance of the Director of Programme Strategy, Quality and Development s/he will ensure influencing/advocacy and right based approach to programming are incorporated in the design and implementation of all projects. The position holder will coordinate all advocacy work in the Country Programme and act as the liaison with influencing partners at National level. S/he will also ensure coordination of capacity development in influencing and RBA for project implementation in order to contribute to Plan Kenya’s strategic areas of distinctiveness and the Global goal and ambition of impacting lives of 100 Million girls by 2022. The position holder is expected to provide technical support to project staff to ensure programme and influencing objectives are successfully achieved, with frequent visits to the field to support high quality programme implementation.
    She/he shall also provide leadership in the implementation of the Country’s Advocacy and Child Rights strategy and monitor its effective roll-out and represent Plan Kenya in forums and working groups, including collaboration with and participation in Plan CR global networks. She/he will support the overall country strategic intent to focus on ensuring that the most marginalised children achieve their rights to learn, lead decide and thrive.
    Accountabilities
    Strategic Planning and Programme Development (30%)

    Lead the review of Plan Kenya’s advocacy and Influencing policy to align it with the global policy on programme and influencing. The position holder will also support development of the country strategy and ensure the influencing agenda is well articulated reaching the 100 Million girls by 2022
    Support the mainstreaming of Influencing and right based programming across all the thematic areas of Plan Kenya’s work, ensuring collaboration with other technical leads to support quality implementation of the right based and influencing agenda. In addition, ensure all new programmes support the achievement of Plan Global and National strategic and thematic objectives and ensure alignment with the Government of Kenya policies and legal frameworks in child rights.

    Maintain a good filing system for sponsored children data (cancelled files) in the office.
    Ensure availability of credible and usable sponsorship information in child data system
    Provide monthly feedback to sponsorship field staff and partners to enhance quality communication products.
    Ensure all processed sponsored children files are dispatched to the field in a timely and organized manner.
    Ensure stock and inventory control for the sponsorship department
    Ensures that Plan International’s global policies for Child Protection (CPP) and Gender Equality and Inclusion (GEI) are fully embedded in accordance with the principles and requirements of the policy including relevant Implementation Standards and Guidelines as applicable to their area of responsibility. This includes, but is not limited to, ensuring staff and associates are aware of and understand their responsibilities under these policies and Plan International’s Code of Conduct (CoC), their relevance to their area of work, and that concerns are reported and managed in accordance with the appropriate procedures.

    Key relationships
    Communication is very vital and this position maintains a daily contact with Sponsorship Coordinator and the Sponsorship Officers in order to achieve the desired targets.
    An effective working relationship with other functional networks within the Program Office and with the Sponsorship Administrator at the Country Office for technical back up is necessary.
    Technical expertise, skills and knowledge
    Educational Qualifications, skills and experience

    Diploma in community Development or related field.
    Computer literate (MS Office Word, Internet Explorer, Excel etc.)
    At least two years’ experience working in similar position.
    Fluent in written and oral English and Kiswahili.
    Computer skills and Internet knowledge.
    Proven typewriting and proof reading skills.

    ROLE PURPOSE
    This role will ensure that sponsorship communications are entered in child data as per the corporate standards.  This will ensure production and quality standards are met for continuous relationship between the Organization and National offices.
    Dimensions of the Role
    The post holder reports directly to the Sponsorship Coordinator.
    Accountabilities

    Ensure that all sponsorship communication items are accurately entered into the child data system before the close of every month.
    Tracking and processing of incoming communications in a timely manner and as provided for by the sponsorship guidelines.
    Ensure all outgoing communications are processed in child data system after quality checks to meet corporate requirements.
    Utilization of the child data system as per Plan International policies.  This is as regarding access, uploading & extracts processing.
    Regular tracking and updating of to-do’s to aid in timely feedback.
