    JOB PURPOSE
    We are looking for a person with internal communications experience and a solid grasp of new technology who is excited to network with staff in 90+ countries to unite and inspire them, through innovative communications, to champion the organisation as one global community.
    The role focuses on identifying, developing, and executing optimal technical and other communications solutions (infrastructure and channels) for reaching and connecting internal audiences at World Vision. The person most fit for this role would have strong technical knowledge of tools and digital delivery mechanisms for effective global communications, including SharePoint and Poppulo. They would also have experience and an appetite to assist in managing learning capability projects and platforms, and leading engagement among different networks of staff.
    MAJOR RESPONSIBILITIES

    Oversee functionality of Global Internal Communications platform
    Recommend and employ communications best practices, effective technologies, and best software and delivery mechanisms to deliver internal communications and key communications projects.
    Manage and implement the technical delivery of stories, news, and updates to staff via the intranet, online newsletters, and other channels.
    Identify technical communications research, guidance, tools, and techniques for communicating organisational priorities and supporting team deliverables.
    Devise processes and efficiencies to deliver organisational storytelling on time
    Measure, evaluate, and report on communications activities, channels, and projects through the use of metrics, surveys, focus groups, and evidenced-based evaluations.
    Lead the communications network across all of World Vision’s offices to share resources and learning, and to promote alignment with global communications resources and guidance.
    Update, manage, and promote the Global Communications e-learning managing system.
    Assist in developing, designing, and promoting learning projects including e-courses for key communications capabilities.
    Support communications activities that engage and inspire staff at all levels.

    Key Responsibilities

    Commodity/cash Management

    Ensure that all commodities/cash are properly accounted for and bring to the attention of the Project Manager any discrepancies in accounting.
    Ensure that distribution plans are prepared and approved in advance to enhance efficient field operations.
    Ensure that damaged/unfit commodities are kept separately at the FDPs. Arrange for the disposal of all commodities unfit for human consumption upon receipt of the necessary authorization. Ensure proper documentation of such activity in the proscribed form in case there are damages at the centers.
    Ensure that Last Mile Mobile Solution (LMMS) system is implemented, utilized and monitored.
    Ensure that commodities/ Cash are received by the targeted beneficiaries. Spot-check FDP stores to ensure they are properly maintained and all equipment functioning properly.

    Monitoring, Reporting and Documentation

    Ensure the implementation of CFA/FFA activities is in line with the design and serves the needs of the community
    Conduct weekly/monthly project monitoring visits and prepare reports
    Consolidate monthly plans, ensure implementation and share updates on work progress against the plans.
    Ensure all records are maintained as per CBTD, commodity manual and Cash transfer guidelines.
    Review distribution center visit reports and align them to the program design
    Document the contribution of the projects to child wellbeing outcomes to assess impact and advice programming.

    Supervision

    Provide overall supervision of field monitors
    Engage in identification and recruitment of field monitors
    Ensure that field monitors maintain a daily activity schedule
    Spot check field monitors to see if they are at food distribution centers/project sites
    Ensure that a list of authorized names with signatures for relief committees is compiled.
    Monitor and manage performance to field monitors throughout the project cycle

    Stakeholder Engagement & Capacity building

    Ensure coordinated engagement with the Community, Government authorities, WFP and other stakeholders
    Provide updated information to internal & external partners
    Participate in identification of training needs and ensure proper training and develop capacity for field monitors.

    Capacity-build staff & managers on use of Workday including implementation of new modules
    Maintain and update Workday on any employee changes/movements
    Analyze regional absence requests on a monthly basis and alert managers on pending approvals
    Support people managers to ensure adherence to annual leave plans

    Staff Onboarding and Engagement

    Co-ordinate and conduct orientation of the new staff recruited at the Region and program level.

    Program Coordination and Management (30%)

    Coordinate and Manage Relationships with credible research institutions to support research component in the Program under the agreed framework.
    Participate in Nakuru, Baringo, Elgeyo-Marakwet and West Pokot County Environmental Stakeholders Forums/Technical working groups as well as supporting WVK Program officers and Cluster Managers on engagement in relation to Environment and Climate change and articulating FMNR objectives in the forums.
    Participate in the coordination of FMNR vision trips within the targeted Program areas
    Increase the visibility of WVK and ANCP by maintaining active engagement and advocacy on FMNR and Cluster/County related matters
    Participate in development of innovative FMNR, Climate Change Adaptation and other Resilience Building concepts and proposals for building community resilience for fundraising as well as marketing FMNR to various Learning forums
    Build and Maintain effective communications and pro-active relationships with partners at the counties, including visits by donors
    Collaborate with line ministries and departments in providing technical support and assistance to the program

    Ensure operation standards of the Program is maintained leading to acceptable ANCP/DFAT requirements
    Provide leadership and Ensure through Program Officers and cluster accountants, the timely and appropriate utilization of budgeted resources for all FMNR related Program
    Ensure Program expenditure remains within the acceptable levels and ANCP/DFAT compliances (25% 1st Qtr and 75% for 3 Qtrs) Ensure timely achievement of Program targets on a monthly basis
    Austere budget utilization monitoring, generate quarterly procurement plans & tracking, contracts management & consultants, adherence to donor and grants contract agreement, adhered to asset management business processes, team review meetings, Risk Register as part of MMR, Share products of WVK (FMNR) engagements with partners from County level.

    Ensure that ANCP donor grant requirements are adhered to during FMNR Program implementation and monitoring and the relevant reports (weekly, quarterly, semi-annual and annual) are submitted in a timely manner and meet the donor quality expectations.
    In collaboration with design monitoring and evaluation team, Consultants, FMNR and ADP teams, ensure all Program indicators are properly baselined, monitoring and mid or end term evaluation of FMNR Program is done as per the FMNR proposal and DIP and that any recommendations are promptly acted upon.
    Take lead in the documentation and sharing of best practices on livelihood mainstreaming and the dissemination of any Program technical reports.
    Facilitate community identification of issues, needs, assets and resources which help children thrive in a participatory and inclusive way.
    Together with Program officers develop and roll out community-based monitoring system for key child wellbeing indicators and targets.
    Plan tracking for key CWB indicators of strategic relevance from secondary and primary data, with partners and communities.
    Review the learning and monitoring reports developed during the reporting period and using them as the basis for the Program report
    Use innovation in Monitoring data to compile the necessary monthly, quarterly and annual reports for forwarding to the Regional manager, NO as well as support office as advised
    Provide technical support in new innovations for the Program including carbon credit
    Contextualize and utilize planning guidelines for the CRIFSUP Program
    Ensure accurate and quality Annual Development Plan (AD Plan) and Detailed Implementation Plan (DIP) for the program in place and utilized
    Work closely with the CRIFSUP DMEAL Coordinator to effectively support the program to carry out all measurements and assessments – baselines, assessments, designs, monitoring and evaluations – in accordance with donor requirements and WV established standards, policies and procedures;
    Coordinate with the CRIFSUP MEAL to ensure that appropriate controls, monitoring and evaluation tools are in place and being utilized in a timely manner;
    Ensure the program achieves Child Well-Being Outcomes in line with the organization’s Ministry Framework and Development Approach, and WVK’s strategic priorities and the program designs.
    Develop monthly schedule for monitoring together with communities and partners;
    Ensure community capacity building plan on monitoring is in place and utilized;
    Participate in monthly data collection – (involving communities and partners) using the standardized tools
    Apply Contextualized and utilized reporting guidelines
    Generate quality Monthly Management Reports (MMR) informed by accurate analyzed data written using language that is appropriate to the reader and in line with World Vision reporting guidelines;
    In liaison with Communications Officer, Develop context specific electronic and live media communications on program activities
    Work with DMEAL Coordinator ensure effective reflection and learning forums in the counties
    Work with DMEAL Coordinator to build the capacity for designing, monitoring, evaluating and learning from market-based approaches – to collate, synthesize and communicate the evidence base for the economic development component.
    Participate in quarterly monitoring visits to the field to review progress, gather stories of change associated with Market systems development, sustainable natural resources-based VCs, and financial inclusion to identify and address strategic gaps;

    Advocacy: Policy and Budget Influence (10%)

    Develop and maintain close relationships with the donor, Government, partners, and other relevant stakeholders.
    Ensure that the Program and partners are actively represented in coordination structures.
    Participation in Kenya or international conferences to share findings from the Program and support improved programmatic impact.
    Engage and/or get involved to provide support in policy dialogues and identify synergies or opportunities to advance project objectives.

    Qualification, Skills and Knowledge

    Minimum of 7 Years of work experience in Managing multi agency livelihood and Resilience grants in Pastoral and or Agro-pastoral regions.
    Membership with professional body; EIK or FSK
    Experience with ANCP/DFAT donor Programs is an added advantage
    Knowledge in renewable energies and alternative technologies are of advantage;
    Good understanding of Sustainable NRM models e.g. FMNR and other landscape restoration techniques, Tree based value chains, Market systems strengthening’s, Disaster Management, Peace Programming, GEDSI and Governance.
    The holder of this position must be a results orientated person who can handle a heavy work load as well as manage and satisfy multiple and at times conflicting organizational, donor and other stakeholder demands and;
    S/he must also have ample experience in public relations and be a strong team player
    Must have skills and ability to provide training and mentorships;
    S/he must be a self-starter, able to work under minimum supervision and maintain good relationships.
    Practical experience working with local communities, government, private sector, institutions and traditional authorities in pastoral and agro-pastoral ASAL regions;

    Bachelor degree in the fields of: Social Science, Science in Economics, Statistics or related field.

    Develop a high performing marketing function  to build organizational capacity to raise local sources of funding to better and more sustainably support the ministry World Vision
    Provide strategic direction for business development to pursue  funding, through support in the development and implementation of the external engagement plan as well as via identification of resources, key stakeholders and relationship building and management;
    Work with Business Development Unit to develop related capacity statements, funding proposals, with particular focus on the private sector, philanthropists and Kenyan high net worth givers.
    Manage the production and provision of high quality information resources and materials for donor and public engagement

    Social Media Marketing

    Develop and oversee effective social and multimedia strategy across channels

    The purpose of this role is to produce significant global disaster management reports and data trends by consolidating, analyzing, interpreting, and summarizing information from more than 30 countries. These reports are utilized to strengthen management’s decision-making and leverage World Vision’s food assistance to stakeholders or donors.
    This position will also produce various monitoring tools to ensure that effective internal and risk management, and cost efficiency are delivered to field offices that have food assistance, cash/voucher programming, WFP, UNICEF, UNHCR, and OCHA grants. He/She will also provide technical support or online training to field offices in accessing the Disaster Grants database and producing disaster management reports. Additionally, the holder of this position will contribute in maintaining data integrity in various internal and external databases and to the enhancement of disaster management information systems to improve accounting and reporting and to adapt to the changing landscape in information technology.
    Major Job Responsibilities:
    50% -Data Analysis, Monitoring, and Reporting

    Produce reports on cash transfer and number of beneficiaries supported by food assistance, cash and voucher programming, WFP and 3UN grants by consolidating, classifying, analyzing and summarizing data of more than 100 projects on a monthly, quarterly and yearly basis.
    Produce monthly monitoring report for required WFP financial reports such as sunsytem core report and financial review notes to ensure that these are properly in placed in FFR database and to monitor financial performance of National offices. This report also monitors the budget posted in Sunsystem based on FLA to oversee over and under expenditure of projects.
    Produce monthly project close out monitoring report to track projects that are closed or not yet closed within 90-day close out period. This report aims to ensure that cost-efficiency are implemented in all food assistance projects. This also monitors the project’s final WFP financial report and close out certificate are placed in FFR database.
    Produce monthly monitoring report on draft and signed commodity summary statement to ensure that these documents are accurate and in placed in Disaster Grants database for timely accrual of Support offices.
    Produce monthly Disaster Grants database monitoring report by checking all required food assistance reports such as monthly narrative report, cash transfer report, commodity tracking systems reports, specifically, commodity status report, recipient status report, loss summary report, distribution tally, receipt summary and physical inventory report are placed in the database for global reporting and analysis, and for audit purposes. This report also tracks the project documents such as project proposal, budget narrative, project summary table, donor agreement and implementation agreement. 
    Provide support to Information and Reporting Manager in calculating ‘Cost per beneficiary’ through statistical analysis and determining appropriate datasets
    Produce year-end commodity inventory report that captures food tonnage and food value by gathering inventory reports from National office, consolidating, analyzing and summarizing data.
    Produce valuation report of food tonnage to requesting Support offices who need the allocated food value (USD) for their specific projects. 
    Produce LMMS collection report that captures list of projects that are using LMMS for beneficiary registration and the cost equivalent to monthly number of beneficiaries reached.
    Prepare LMMS and CTS invoice and send to National offices who are utilizing the systems in their food assistance projects. LMMS payment is collected on a monthly basis while CTS is on an annual basis.
    Produce annual analysis on food assistance training conducted globally or in the National office
    Support information and reporting manager in producing DM Food and Cash Voucher Programmes Performance report
    Provide data inputs on various food assistance policy research and other food assistance initiatives
    Create various DM reporting analysis templates which may arise on various initiatives

    35% Food Assistance Community of Practice (Food CoP)

    Produce monthly and/or quarterly newsletter by gathering relevant food assistance information that can be shared to Food CoP members. The newsletter includes World Vision external engagement, news, articles and resources, success stories, Interest groups’ updates, upcoming events and Food Assistance courses.
    Maintain and update WVcentral Food CoP pages, DM team sites, Interest Group pages, Food CoP library and serve as the first point of contact for questions, uploads and support requests from the members
    Provide support in organizing quarterly townhall by gathering relevant information for the meeting, scheduling in zoom and sending invite to Food CoP members

    Coordinate with Programme Support Officers any discrepancy in DGD information to ensure data integrity in reporting and analysis
    Provide support to National offices having technical issues posting food assistance reports in the Disaster Grants database by granting access to users, or posting reports in the database on behalf of the National Office.
    Suggest design and processes in the improvement and efficiency of systems to improve accounting and reporting and to adapt with the changing landscape in information technology.

    Knowledge and Qualifications for the Role

    At least 3 years of previous business analyst, data mining and statistics work experience.
    At least 1 year of relevant IT work experience
    Bachelor’s degree in Mathematics, Statistics, Economics, Development Studies, international relations, and other related field.
    Knowledge in food assistance, emergency response, development and NGO operations

    Project Coordination, implementation and technical guidance

    Project Monitoring, Evaluation & Reporting

    Work with the MEL unit to develop M&E system relating to the M&E plan ensure outcomes are tracked and reported.  
    Ensure timely preparation of periodic reports and project documents in line with the donor and world vision standards
    Work with the LIPs and key government departments to conduct regular progress monitoring of the beneficiary households.
    Support LIPs to prepare timely and quality reports as per donor and WVK standards
    Coordinate periodic monitoring visits and meetings with LIPs to review project performance and utilization of project data to prioritize areas for action and improvements

    Facilitate linkages for the uptake of green business or jobs for AGYW and youth (organic agriculture, renewable energies, recycling businesses, such as solid waste management, eco-tourism).

    Qualifications, Skills and Knowledge

    Minimum 6 years of experience Four (4) years of which must be in USAID OVC Household Economic Strengthening programming
