    Job Purpose

    Requirements

    Ensuring that all documentary and other evidence is well preserved and stored, all files are in place and well updated and coordinating the entire litigation process.
    Making quarterly litigation reports to the Head of Legal on the progress of the matters.
    Approval of court pleadings before they are filed in court.
    Appearing as a witness for the Company where requested by Legal Counsel/ Head of Legal / Management
    Preparation of witnesses for hearing- pre trial briefing with the lawyers.
    Accompanying of witnesses to court.
    Arranging and attending strategy meetings with the lawyers on how to proceed.
    Follow up with lawyers on the progress of court matters.
    Negotiating out of court settlements in the best interest of the Company

    Debt Collection

    Assisting business in the drafting and issuance of demand letters
    Attendance of LCC meetings
    Following up debtors to pay up debts, working out payment terms with debtors and actual collection of debt
    Advise to the LCC on collectability of debts
    Update to Head of Legal on progress / need to instruct external lawyers

    Property matters

    Assistance in the drafting of letters of offer in the acquisition of leases.
    Perusal and confirmation of the terms of the conveyancing documents prepared by external lawyers.
    Ensuring that the company’s interests are properly secured for example by registering mortgages and charges over properties where advance payments are paid such as advance rents for leased properties.
    In disposal of properties, advise to the company on the process, legal requirements and documentation.

    Personnel matters

    Advise to the Company on labour and employment issues.
    Advise to the company on staff disciplinary matters.
    Advise to the Human Resource Manager on compliance with the current Employment Act 2007, Work Injury Benefits Act, Retirement Benefits Act among other laws that may touch on employment.
    Advise to the Company on the interpretation, implementation and adherence to the Human Resource Manual and Policies.

    Job Purpose
    This role is to ensure the integrity of transactions LOBP stocks (physical vs accounting outputs)

    LOBP Focal Point LOBP for creating new customer in SAP.
    Export order coordination.

    Continuous spot stock audits to ensure FIFO compliance.
    Main Accountabilities:
    Stocks Management.

    Ensure accurate handover of finished products from filling floor to warehouse daily.
    Ensure daily finished goods inventory reconciliations both SVLK and VEK inventories of goods under SVLK control.
    Ensure daily close out of inventory cycle count differences.
    Continuously review shelf life and state of finished goods and packaging materials in LOBP to prevent obsolesce. Liaising with laboratory and production teams to undertake any corrective actions to salvage absolute write off.

    SAP Transactions Management.

    Responsible for the integrity of SAP finished goods transactions (book vs physical) between physical and SAP book stock. Follow up for daily closure of any differences.
    Conduct SAP transactions integrity checks on a weekly basis and highlight any open/incomplete transactions. Monitor the actions necessary to redress the anomalies SAP.
    Oversee monthly stock take and pre stock activities to ensure all process orders and purchase orders are closed before stock take and ensure timely and accurate posting of monthly counts in SAP.
    Undertake process integrity reviews/audits monthly for all inventory transactions in SAP against physical documents processed for these transactions to verify process integrity.

    Export Markets Co-ordination.

    Review export trucks availability as per ERD’s to ensure timely and accurate dispatch as per loading order. Follow up corrective action with Logistics Manager and planning to optimize performance and improve OTIF.
    Review all received export PO’s from planning teams and maintain a tracker for executed orders and pending orders with clear action plans. Follow up on comments in back-order report made by planning.
    Follow up on export documentation with clearing agents to ensure timely release of export trucks from the depot. Manage all copy documentations and archive for safe custody.
    Coordination of weekly Export OTIF RCA.
    Ensure transfer of all export deliveries within the month to the expo location (SAP) to achieve OTIF KPI.
    Ensure that there are optimal stocks at MSAT enough to cover Exports through timely communication sent weekly and advising the planning department on the NIL and LOW stocks in MSAT on a weekly basis.

    Account Management.

    Focal point for creating new customer accounts in LOBP.
    Coordinate releases as per MoA in case of manual loading request, back-order release, and manual invoicing for release from the depot.
    Monthly circulation of block invoice of all loadings done within the month to export markets to ensure timely payment and release of accounts.
    Manage monthly capturing of orders and following up raising of all credit notes in SAP for all pricing variances in the system per market as per procedure.
    Ensure daily circulation of the sales performance tracker ensuring visibility of the monthly sales forecast and pending open orders to load and invoice out to meet the business sales plan.
    Coordinate the weekly export order review meeting with planning teams to ensure customer gets products on time in full.
    Communicate readiness notification to all export customers after confirmations of availability of all products by the planning teams and production teams in the weekly review meetings.
    Fill in for Logistics Manager in times of absence. Make executive decisions, hold meetings, and provide accountability.

    IPS Management.

    Ensure accurate Inward Processing scheme (IPS) end to end weekly reconciliations.
    Ensure the integrity of IPS transactions in SAP. Monitor the FG invoicing and actions necessary to redress anomalies in SAP.
    Maintain a tracker for IPS executed orders and pending items with clear action plans.

    Requirements

    Minimum Degree in supply chain management or Equivalent
    Experience in operations 2 years and above.
    Experience in Accounting and or Audit processes will have an added advantage.
    Good communication skills with both colleagues and third parties
    Customer service experience and exposure to handling freight forwarders will be an added advantage.

    Planning and recommending short- and medium-term logistics business strategy and standards for the Supply Hub.
    Initiation of the stock management policies and procedures including stock control, quality systems and damaged stocks.

    Lubricants Sales Supervisor Field Based Account Manager – LPG Packed Sales

    Job Purpose:
    Support Delivery of expected Retail Lubes Volume, Grow sell-out of lubes at station, Enhance clean, Hygienic and bright stations/service bays, execute lubes marketing initiatives to improve sell out, maintain and develop strong customer relationships, whilst at same time adopting defend and growth strategies.
    Principal Accountabilities:
    Sales

    Ensure Site meets Monthly Target for their Lubes Volume.
    Ensure LPG targets are met per site
    Increase Lubricants Sales through retention and recruitment of new customers at assigned sites.
    Push for LPG Sell-out and recruit new customers
    Push to grow LPG sales to increase our market share
    Ensure Lubes sales record and OE elements (AVA) compliance at 100%. Through recording, Observing and analysing site’s Lubricant sales (Especially high turnover SKUs) Weekly
    Build rapport & maintain good relationship with all customers and TMs
    Contributes to Sites success by meeting Lubricant Sales Goals
    Market monitoring and Intelligence – Maintain database of the market size, competitors and market shares. Provide regular market intelligence such as pricing, new customers, competitor activities etc.
    Defend business from competition by working along with OS to aggressively follow-up on site lubes prospects around the station to make purchase. And Identifying specific site lubricant sales opportunities and following through in assisting stations to acquire such customers
    Ensuring Retail sites compliance with lubes stocks availability, visibility and active selling (AVA). Carry out regular equipment audits at customer sites and advise / take timely remedial action. Liaise with Engineering where necessary on equipment installations, maintenance and other technical requirements.
    Make sure LPG cages are well merchandised, Branded and price well displayed
    Monitor LPG stocks at stations to avoid stock-outs
    Monitor Cylinder Float holding per sites
    Conduct Basic trainings to OS on product knowledge

    Clean, Hygienic and Bright site

    Enhance Clean, Hygienic and safe site by ensuring CSAs/OS/mechanics/Qms have complied with proper PPE & Clean uniform
    Conducting site Audits through check lists to ensure clean and bright standards at sites are adhered to
    Ensure proper merchandising of MDUs, cleanliness of service bays, and good housekeeping at service bay

    Marketing

    Ensure proper execution of customer value propositions (CVPs) for initiatives such as VRPT (Vivo Retailer Portal Tool), Service Bay/Motorbike booth Operations and Pitstop/free checks execution at forecourts
    Continuously Execute Marketing initiative to improve sell out (AVA agenda, Cheki Mbele initiative) etc.

    HSSE

    Undertake service bay HSSE and Cleanliness audit at each site visit.
    Do TNT/PI reporting for service bay/Customer Champions staff

    Requirements
    Job Knowledge, Skills & Experiences:

    University Graduate in Business or technical related fields
    Experience in customer account/relationship management, sales, negotiation, and business analysis.
    Results driven, with sound business and commercial acumen
    Good team Player, with ability to provide solutions that are creative and innovative

    Lubricants Marketing Operations Manager

    Job Purpose:
    Overall, the role is responsible for supporting the development of marketing plans and programs for lubricants and measurement of implementation impact within the different Lines of Business and channels in the OU: B2B Direct, B2C Indirect, and Retail, through market analysis and deployment of appropriate market understanding and measurement metrics that meet the brand and business objectives. Specifically, the role should:

    Provide the relevant insights regarding market trends (customer and competitor) as inputs in the development and review of business/marketing programs and identification of growth opportunities.
    Participate in the development of the OU marketing plan and marketing initiatives in line with the country business strategy.
    Lead and own the lubricants S&OP, forecasting processes and the lubricants S&OP portfolio/product lifecycle management, price management, marketing research and marketing initiative post implementation reviews.

    Principal Accountabilities:
    Market Insights and Understanding

    Conduct brand, market and competitor analyses that feed into country lubricants marketing plan development.
    Coordinate, deploy and manage identified/agreed marketing research projects aimed at providing insights that inform product, brand and channel strategies.
    Continuously scan the environment to identify new opportunities and provide feed of suspects into the SPANCOP pipeline.

    Product Lifecycle & Portfolio Management

    Manage the running of the Product Lifecycle Management (PLM) process from product introduction to withdrawal.
    Prepare business cases for new product/SKU introduction, underperforming SKU withdrawal and liaise with the Africa PLM Manager on business case approvals, product label/packaging development.
    Continuously analyze portfolio performance and make recommendations to achieve a robust portfolio that reflects the local market needs.

    Pricing

    Conduct periodic value chain analysis, regular updates to brand maps for key SKU’s and make recommendations to extract maximum value and meet price positioning objectives.
    Monitor pricing performance for key SKU’s, including cost trends, provide analysis to inform pricing positioning and review mechanism for B2B customers.
    Ensure the master Wholesale & Recommended Retail list price is up to date and any changes are communicated to all relevant stakeholders.
    Provide new product pricing recommendations in liaison with the Lubricants Marketing Manager

    Marketing implementation

    Provide support for key lubricant marketing projects and initiatives including evaluation of return on marketing investments (pre and post implementation, concept testing for new products, new product potential/market penetration evaluation, preparation of marketing investments business cases, ad-hoc analysis as may be required from time to time.
    Manage the procurement of marketing materials for agreed campaigns/marketing initiatives to ensure best value in liaison with CP/initiative owner and in compliance with CP policies.
    Monitor and challenge utilization of the SP&A as per planned marketing activities to ensure spent is within approved budget.
    Improve marketing communication decisions through analysis of the different media options and their effectiveness using appropriate marketing metrics.

    Demand Panning

    Lead, manage and drive effectiveness in lubricant sales forecasting across the organization as the lubricant sales & operations process focal point to achieve business goals.
    Liaise with the sales team to capture any new activities that impact demand and sales forecast and make necessary adjustments to sales forecasts accordingly.
    Coordinate and convene the lubricants S&OP meetings in liaison with the Supply Manager and follow up to ensure agreed actions are closed out by all parties.

    Others

    Support and participate in the on-ground implementation of marketing initiatives, agency supervision and performance evaluation on need basis.
    Monitor and control the Sales and Marketing budget.
    Provide ad-hoc analysis as may be required from time to time by the B2B/B2C Marketing Manager

    Key Challenges:

    Strike a good balance between focus on the internal and external environments.
    Ensure alignment with multiple stakeholders, sometimes with competing needs and priorities.
    Achieve necessary influence to drive the lubricants agenda across different lines of business.
    Ensuring timeliness in provision of scheduled and ad hoc analysis from multiple and often independent sources

    Requirements

    A university degree preferably in business, marketing or related field
    At least 3 years of experience in marketing with strong analytical skills.
    Experience in an FMCG setting and digital marketing while not essential is an advantage.
    Good understanding of Retail, B2C and/or B2B markets
    Ability to draw insights from data and communicate them to different audiences with ease.
    Good project management, communication and presentation skills.
    Self-motivated and individual with good commercial instinct and customer orientation
    High proficiency in Microsoft Excel, PowerPoint and other common computer programs.
