    The Position
    This is a full-time position based in Nairobi and Kajiado
    Job description
    This position reports to the COP with responsibility for the coordination of implementation of technical, operational and administrative work streams for timely and seamless execution of activities. The role of this post is to provide administrative and secretarial support services to the senior management, including Principal Investigator/Project Lead, the COP and DCOP. The Program Associate is responsible for ensuring the smooth running of senior project offices including management of information and following up on implementation of management
    decisions.
    Duties and Responsibilities

    Provide executive assistance and secretarial support services to senior management,
    ensuring smooth running of the senior management offices and effective processing of information and data
    Provide effective office operations, systems and procedures facilitating team work and the work, collaboration and timely implementation of executive actions
    Manage immediate PI/COP office operations with respect to communications, meetings and work flow; and identify priority issues that need PI/COP attention;
    Establish internal tracking systems and procedures for correspondence and documents; monitor work progress and cases of priority
    Arrange appointments and maintain PI/COP calendar, as well as support communication needs of the PI/COP
    Organize high-level meetings including taking responsibility for finalization of meeting agenda, invitations, production and distribution of documentation, and preparation of minutes of meetings.
    Distribute meeting reports and information; and ensure follow-ups on required actions.
    Organize and facilitate administrative work of the office including establishing internal procedures and tracking systems for correspondence and documents; receive, screen and register correspondence and documents.
    Collect and prepare briefing materials for PI/COP trips and special meetings;
    Undertake travel arrangements for COP/DCOP
    Establish and maintain a records management system containing reference materials and confidential records as required
    Prepare correspondence for the supervisor’s signature
    Establish follow-up systems of actions taken and reports to the PI/COP.

    Minimum requirements
    At a minimum, the PA will have:

    A Bachelor’s degree in either Public Administration, Journalism, Secretarial Studies,Law, Language Studies or related field.
    At least two (2) years’ experience in a similar position in a large organization
    Possess superlative communication (written, spoken and electronic) skills

    Terms of appointment

    Background
     This is a Newborn and Infant Health Research Global Health Unit programme on stillbirth and neonatal death prevention and management in Sub Saharan Africa and South Asia. The studentship is in the thematic working area on effectiveness of a community-based peer-support programme  for  women  who  give  birth  to  stillborn  babies  and  have  co-morbidities  (fistula)  in Kenya.  The  expected  output  is  to  have  a  context-appropriate,  feasible  intervention  to  improve support for women after stillbirth and obstetric fistula  in Kenya, and a protocol for a large-scale trial.   
    Required skills and experience 

    A minimum of three (3) years post-qualification experience in midwifery, public health or any other related field.
    Understanding of current context of care after stillbirth including physical psychological, social and economic sequelae of obstetric fistula.
    Previous experience of participatory approaches and qualitative research methods would be an asset.
    Strong communication and organisational skills.

    The Position

    Responsibilities

    Maintain the Learning Management System to ensure optimal functionality and its website to ensure a suitable look and feel and current and updated front pages
    Maintain accurate LMS records and analyze Big Data to gauge effectiveness of trainings and provide advisory reports to the management
     Auditing of compliance of LMS tasks and activities to the University policies and procedures
    Assign roles and responsibilities to team members and corporate clients and define user roles.
    Review e Learning content before it is accessed by the target audience to ensure it meets the agreed organizational standards.
    Make consultations with other internal and external teams in order to implement the best learning practices across the LMS
    Keep track of the freshly uploaded relevant courses, materials, and workshops within the LCMS and monitor for any issues in access and navigational configurations.
    Recognize and resolve the issues that may appear when it comes to course design, its configuration or infrastructure.  Make sure that the LMS issues are resolved properly and fast to fix bugs and unexpected errors.
    Any other duties that may be assigned by the e–Learning Coordinator and the Sub–recipient Project Director.

    Required Qualifications and Experience

    Bachelor’s degree in Computer Science, Information Technology, or another related field or Equivalent.
    A Master’s degree is an added advantage.
    Minimum experience of five (5) years
    Has a relevant variety of technical skills that are relevant for LMS management, including PHP language, MySQL, JavaScript, web design, graphics design, HTML/CSS, and web 2.0 technologies.
    Has strong interpersonal skills, able to liaise with diverse stakeholders
    Has advanced organizational and time management skills.
    A solution–oriented team worker with a keen eye for details
    Familiarity with the compliance requirements of an academic institution environment.
