    Position Summary

    Reporting to the Supervisor – Corporate Entitlement, the Entitlement Officer will assist the supervisor in the management of billing corporate guidelines (entitlements) by ensuring correct and accurate mapping in the system.  Claims vetting before dispatch and analysis of rejected claims to minimize the level of bad debts.

    Key Responsibilities: 

    To offer prompt and satisfactory services to internal and external clients as per the established policies and procedures of the department to enable overall accomplishment of the departmental goals
    Participate in ensuring that all the billing points are updated on new / closed accounts, corporate clients’ administration guidelines on timely basis and they adhere to the same
    Opening/closing of accounts as advised by relevant corporate clients and in line with the hospital guidelines on the same
    Assisting in monitoring of invoice returns and taking appropriate action on clinical queries as per the set deadline
    To assist in organizing and holding meetings with corporate clients to discuss status of their accounts regarding entitlements, exclusions and returned invoices and overall clinical reconciliation sign off
    Participate in Continuous Entitlements Education (CEE) for Clinical and non -clinical areas for excellent service delivery
    Assist in the coordination of renewal of corporate agreements and fulfillment of terms of the administration rules and guidelines from corporate clients
    Maintenance of timely and accurate departmental reports e.g., accounts opened/closed, rejection rate, individual corporate performance, copay schedules, CME meeting minutes
    Participate in preparation of all Institution and Financial audits to enable the Department to achieve its quality objectives
    Report any incidences regarding corporate credit management to the Supervisor
    Assist in the maintenance and monitoring of Master Register of Corporate accounts from inception to expiry timelines in order to hedge against provision of services to expired accounts.
    Continuous monitoring of hospital and outreach billing to ensure all claims comply with corporate requirement including but not limited to ensuring e-diagnosis is captured.

     
    Qualifications and skills required

    Diploma in Nursing or equivalent
    Kenya Certificate of Secondary Education (KCSE) with mean grade C or its equivalent
    Proficient in MS Office Suite
    Formal training in customer care or equivalent demonstrated experience.
    A minimum of 1 (one) years’ experience in a busy claim vetting and assessment department
    A minimum of 1 (one) year’s exposure in clinical practice.
    A minimum of 3 (three) years’ experience in a busy accounting/credit management department
    Excellent communication skills both written and oral
    Excellent customer service skills
    Good interpersonal skills: Ability to build relationships among team members

    Job Summary

    The AIMIX project (Inclusive Artificial Intelligence for Accessible Medical Imaging Across
    The AIMIX project (Inclusive Artificial Intelligence for Accessible Medical Imaging Across Resource-Limited Settings) is a research project that aims to develop artificial intelligence aided pregnancy screening using low-cost fetal ultrasound. The study is being conducted as a collaboration between the Aga Khan University, The Kilifi County Department of Health, University of Barcelona and other institutions. This position is required to contribute to recruitment of participants, data collection and follow-up for the AIMIX research study and related studies.
    The successful will be required to conduct the following activities at the health facility: Screening and recruitment of study participants, clinical and non-clinical data collection, sample collection and handling, anthropometry assessment and simple clinical assessments and follow-up of participants. Follow-up will include contacting participants for birth outcome data as well as contacting other health facilities in the region to retrieve birth outcome data.
    S/he will also be trained to perform simple ultrasound procedures. He / She will report to the Study Coordinator.
    He / She will be required to comply with stipulated guidelines on all study activities. The study nurse will be required to be sensitive and considerate throughout the encounter with participants, their families and other health facility staff and at all times to display a professional attitude.
    The position is based at Rabai sub-county Hospital in Kilifi county. The role will include some local travel within the study area – between health facilities and to communities. The role may require shift work including nights, weekends and public holidays. The nurse is to have and maintain active practice licenses in Kenya and may be required to contribute to clinical care at the respective health care facilities.

    Responsibilities

    Contribute to the design of studies and study activities involving ultrasound in pregnancy and gestational age assessments
    Alongside the study/project coordinator, plan and coordinate all study ultrasound related activities
    Plan patient flows to ensure efficiency
    Ensure seamless flow of patients through the various clinical and research activities
    Train study research assistants on research procedures involving obstetric ultrasound and associated data collection
    Regularly check the quality of procedures and saved videos of scans done by team members to ensure compliance to SOP and good quality
    Regularly check the quality of the data collected for research activities related to ultrasound
    Supervise staff engaged in ultrasound procedures – nurses and other research assistants
    Contribute to preparation of scientific reports and publications
    Be directly involved in participant screening, informed consent, recruitment, follow-up and data collection
    Contribute to engagement with participants and communities at the health facility and in community sites

     
    Requirements

    Liaise with health facility staff to identify potentially eligible study participants for recruitment into specific studies and sub-studies
    Communicate to prospective study participants about the research study
    Screen and recruit study participants including administering informed consent
    Clinical and non-clinical data collection from study participants
    Perform anthropometric measurements and vital signs measurements for study participants
    Collect, transport and log biological samples for the study
    Conduct clinical measurements and clinical tests (eg. point of care tests, bedside tests) for the study
    Conduct special study procedures for the study including simple ultrasound procedures
    Retrieve ultrasound images for research participants from the clinical and research databases
    Retrieve participant data on perinatal outcomes from the clinical databases
    Conduct participant follow up for assessment of perinatal outcomes
    Create summary reports for activities and relevant events affecting the study as guided by the study coordinator
    Attend training sessions and obtain relevant competency in skills essential for the role
    As guided by the study coordinator, plan for data collection activities on a weekly and monthly basis
    To handle study equipment with care and to ensure safe storage

    Qualifications, Experience, and skills required:

    Bachelors degree in Medical Engineering, Industrial Technology or related field
    Have knowledge on anatomy, electro-mechanical medical equipment functioning and Imaging equipment technical maintenance. 
    Must be computer literate with excellent communicatIon and interpersonal skills, very good analytical and organisational skills. 
    Must be registered and/or eligible for registration with the Association of Medical Engineers of Kenya and/or Engineering Board of Kenya.
    Qualified Biomedical Engineering professional with at least 8 to 10 years of experience in a hospital environment.
    Should have worked in a lead role in the field of medical equipment management and maintenance with supervision or managerial responsibilities for a minimum of 5 years.  
    Previously worked/ lead on quality projects/ initiatives at departmental level.
    Experience with internal audits, ISO inspections and JCIA inspections.
    Trained and hands-on experience on Hi-tech medical equipment used in diagnosis, treatment, and monitoring.

    Assist at anesthetic emergency by performing duties such as aspirating secretions from the trachea and pharynx, deflating airways cuffs, and provide emergency airway equipment. Remove monitoring equipment after surgery.
    Assist with the transfer of post operative patients to the Post Anesthetic Care Unit (PACU) under the direction of the anesthesiologist, surgeon and nurse.
    Assist with the transfer of ventilation and/or anesthetized patient to the intensive care or high dependency unit under the direction of the anesthesiologist, surgeon and nurse.

    Job Purpose:

    Key responsibilities
    Risk Management:

    Monitor non-transferable admissions with financial difficulties to determine when they become transferable
    Represent finance on the Long Stay committee comprised of the clinical leadership and finance
    Provide recommendations regarding care plans for flagged cases
    Carry out clinical resolutions to completion

    Process Management

    Prepare, implement, and review procedures and policies for handling flagged cases within finance while incorporating the clinical considerations

    Always ensure availability of feedback to stakeholders

    Care Management

    Review medical files for all cases flagged by finance to establish suitability of medical recommendations affecting discharge
    Highlight and investigate flagged cases with the potential for financial risk arising from medical recommendations, and advise finance and the long stay committee
    Update finance on progress and care plan flagged cases
    Ensure timely preparation of documents for flagged cases by respective clinicians
    Ensure accurate and timely communication between clinicians and patients regarding patient costs and clinical guidelines

    Referrals Management

    Create relationships with other hospitals in Kenya and region for ease of transfer
    Liaise with other hospitals to source appropriate beds and acceptance for flagged patients
    Arrange for transportation of flagged patients from AKUHN to receiving hospital
    Ensure handover of the transferred patient at the receiving hospital

    Qualifications and skills required:

    Bachelor of Medicine and Bachelor of Surgery or equivalent Bachelor’s degree in a clinical area

    Job Summary
    The successful candidate will ensure proper handling, preparation and dispensing of investigational medicinal product and standard of care drugs in accordance with established policies and procedures.
     Responsibilities

    Review all CRU research related studies for pharmacy impact;
    Create pharmacy portion of research study budgets;
    Liaise with the Chief Pharmacist on research trial implications;
    Manage clinical investigational drug inventory;
    Create and maintain research pharmacy binder;
    Prepare, dispense and distribute intravenous investigational medicinal products and standard of care drugs as required in a protocol and in line with established procedures and policies;
    Dispense oral investigational products and standard of care drugs, as required in a protocol and in line with established procedures and policies; 
    Together with the Clinical Research Pharmacist, perform training/education for the clinical research team (and others, as necessary), including new research pharmacy members;
    Ensure that equipment used for investigational medicinal products and standard of care drugs storage and preparation are functioning properly; and
    Perform cross functional and/or other duties as assigned or requested by manager.

    Requirements

    Diploma in Pharmacy;
    2 years working experience in hospital pharmacy
    Registered with Kenya Pharmaceutical Association;
    Current Practicing License from Pharmacy and Poisons Board;
    Aseptic Technique Training; and
    CITI / Research training preferred.
