    Junior Stores Assistant

    The Junior Stores Assistant will be a cornerstone supporting a key office of the company’s operations, General Stores. You will support the store assistant in receiving requisitions (in advance for planning and ad hoc for issuance), generating master requisitions for procurement, issuance, stock-keeping and management, store maintenance, routine stock-taking, and reporting (weekly/daily/monthly) of consumables and general store items.
    Roles & Responsibilities:
    Receiving requisitions and Issuing consumables

    Review requisitions and issue consumables to requesters (If stocks are available).
    Receive, review, and consolidate requisitions into a master requisition for procurement’s use in purchasing (for the items unavailable at the store).

    Store maintenance

    Ensure the store is clean and well always maintained.
    Consistently organize store items for easy stock taking, and tracking and ensure shelves and items are neatly arranged.

    Stock-taking and inventory maintenance

    Regularly updating bin cards for inventory tracking.
    Filing and safe storage of store-related documents.
    Performing routine stock takes; daily, weekly, and monthly and accurately reporting these numbers.
    Planning and forecasting consumable requirements in collaboration with finance to ensure the store is adequately stocked.
    Assisting finance in performing monthly store audits.

    Store operations and compliance

    In charge of enforcing store policies and procedures set in place by ensuring all staff members using the store adhere to the said policies.
    Be the custodian of all store documentation and policy documents of reference.

    Skills and qualifications:

    Diploma in Supply Chain Management, Procurement and Logistics, or a related field.
    Certificate in Storekeeping or Inventory Management.
    Experience in using ERP systems will be an added advantage
    Strong work ethic, with proven ability to work independently and complete tasks within deadlines.

    We are seeking an HR Supervisor to supervise all human resources functions and activities across Victory Farms sites. The successful candidate will deeply understand all HR disciplines, including but not limited to recruitment, benefits, compensation, employee relations, and training and development. They will be a critical thinker who can see the big picture and help the HR team develop creative solutions to complex problems. The HR Supervisor will form part of a team of trusted advisors to line Managers and a champion for our company culture.

    RESPONSIBILITIES: 
    Contract Management 

    Ensure employee contracts are renewed on time. 
    Scan all contracts and upload them to the HRMS 
    Send a monthly report on the update of contracts expired and the status of renewal 
    Track all employee probations and ensure that the same is communicated to managers (both short and long contracts). 
    Sit in on all probation reviews and make notes. 
    Ensure all employees have received probation feedback and the same has been filed. 

    Employee Relations

    Handle all disciplinary cases and grievances, ensuring all relevant documents have been shared on time. 
    Ensure all transfers are tracked and the relevant documents issued to employees 
    Attend all HR monthly meetings, and address issues as they arise. 
    Manage recruitment, attendance, and remuneration of temporary workers.  
    Onboarding new employees in the HR system for ease of access and navigation. 
    Track attendance records and communicate in case of any anomalies. 
    Assist the HR Manager in managing employee relations at the workplace by among other things, scheduling regular meetings with employee representatives. 
    Answer employee questions and address employee concerns with the company; including employee safety, welfare, wellness, and health. 

    Employee Records

    Ensure all employee documents for the entire HR cycle are updated on the digital filing system. 
    Ensure all contracts are updated in individual employee files within the stipulated timeline. 
    Suggest process improvement relating to records Management and retrieval. 

    Payroll Process 

    Addition of new hires in the HR system 
    Ensure accurate payroll reports are sent to the manager on or before the stipulated time 
    Manage employee separation, and ensure the relevant documentation is shared with the HR Manager for payroll on time. 
    Confirm statutory details are accurate as part of the preparation for payroll 
    Draft all relevant documentation leading to payroll changes such as deduction letters, and salary review letters. 
    Provide documentation of employee attendance, bonuses, and personal time to be used in payroll preparation.

    HR Reporting and Project Management 

    Prepare and share monthly HR reports and analytics for decision-making. 
    Follow up with the Directorate of Occupational Safety and Health to ensure employees involved in occupational accidents are compensated. 
    Coordinate HR projects in liaison with the HR Nairobi office.

    QUALIFICATIONS:

    Bachelor’s Degree in Human Resource Management or related field. 
    Minimum of 5 years of supervisory experience in a commercial organization.  
    Must have experience as a Human Resource generalist. 
    Certified Human Resource Professional (CHRP) 
    Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy. 
    Proficient with Microsoft Office Suite or related software.

    Your primary responsibilities will consist of 4 categories:
    PROCESSING OPERATIONS

    Oversee our day-to-day processing operations, ensuring that processing operations are running efficiently and effectively. This includes managing the processing department staff and resources and ensuring that processing targets are met.
    Work hand-in-hand with the Quality Control team to ensure all QMS processes and SOPs are tracked to ensure the highest standard of fish is delivered to our branch network
    Develop and implement strategies to improve operational efficiency and productivity by developing new processes or procedures, identifying, and resolving operational issues, and implementing quality control measures to ensure processing output meets the required standards.
    Set and monitor processing KPIs, and making necessary adjustments to ensure that these KPIs are met or exceeded. You will also work with other departments such as LCs and Sales to ensure processing operations area aligned with overall organizational goals and objectives.

    FARM LOGISTICS PLANNING AND MANAGEMENT

    Oversee day-to-day Lake Logistics Operations, by working closely with the Lake Logistics Manager to ensure key targets are met or exceeded.
    Work closely with the Lake Logistics Manager to develop and implement strategies to optimize the use of resources, minimize costs, and maximize efficiency. You will also collaborate with other departments such as production to ensure logistics operations are aligned with the overall goals and objectives of the organization.
    Oversee the management of logistics resources such as boats and other equipment and be responsible for developing and implementing safety policies and procedures, ensuring compliance with regulatory requirements, and monitoring key KPIs related to logistics operations.
    Identify opportunities for improvement and innovation to enhance logistics operations.

    WAREHOUSING MANAGEMENT

    Develop and implement strategies to optimize warehouse operations, improve inventory management, and minimize costs. You will be responsible overseeing receipt, storage, and distribution of items within the warehouse and ensuring they meet the required standards.Specifically oversee management of resources such as staff, equipment, and space within the warehouse. You will develop and guide implementation safety policies and procedures, ensuring compliance with regulatory requirements, and monitoring KPIs related to warehouse operations.
    Optimizing processes including deployment of automated tools to simplify the inventory management process.
    Make informed decisions regarding inventory management, order fulfillment, and distribution / issuance strategies.

    ENVIRONMENT AND SAFETY MANAGEMENT

    Develop and implement strategies to improve EHS standards, minimize risks, and ensure 
    compliance with regulations; while collaborating with other departments such as Corporate Affairs and Human Resources to ensure that EHS policies and procedures are aligned with overall organizational goals and practices.
    Oversee development and implementation of EHS policies and procedures including risk assessments, incident reporting, and emergency response plans.
    Work closely with the EHS Supervisor in developing training programs on EHS policies and  procedures for employees and that they are aware of their responsibilities about maintaining a safe workplace.

    QUALIFICATIONS and SKILLS:

    10+ years of experience in managing operations, logistics, and supply chain functions within an organization.
