    Reporting to the Regional Director, the Communications Consultant will collaborate closely with the Headquarters, Regional, Country Offices and Programme Presences (RO/CO/PP) colleagues to ensure communications strategies, media relations and organizational outreach efforts are aligned with corporate communications policies and initiatives.

    Develop and produce communication and advocacy instruments and materials, including the annual report, briefing materials, press releases, and articles and coordinate its dissemination through effective channels;
    Identify and launch information opportunities, activities, approaches and platforms and partners;
    Provide advice on advocacy materials and coordinate launching flagship initiatives and publications in the region;
    Lead the engagement and supervision of video producers and other communication specialists to produce audio/ visual material on UN Women’s work;
    Develop brochures, factsheets, stories from the field to inform media and general public at the regional level;
    Follow guidelines from and report to HQ

    Manage media relations for the RO

    Lead relationship building with press in country; maintain and update database of relevant press;
    Respond timely and clearly to media inquiries and to a variety of inquiries and information requests; prepare related correspondence; identify topics, background information, news-related development and coverage of interest;
    Organize roundtable discussions, press conferences, and briefing sessions with press;
    Facilitate interviews with senior managers; connect media with UN Women subject experts;
    Finalize talking points.

    Oversee the RO web / online presence

    Oversee and maintain (regional) websites, including developing design and content;
    Coordinate COs’ web-presence in the line with corporate web policy;
    Develop regional social media strategy
    Oversee and manage (regional) social media accounts in line with corporate social media policy.

    Functional Areas Responsibilities
    Receiving

     Receiving: Receive parts into the Aftersales and Technical Warehouse ensuring ordered and received parts match, and that the invoice is as per the delivery note.

    Parts Sales

     Sales: Receive customer and workshop orders and ensure all orders are processed within the stipulated timing, accurately and with utmost customer enthusiasm in mind.
     Invoicing: Notify Finance of all non-warranty parts for invoicing to respective customers.

    Warehousing  

    Labelling and Binning: Ensure all parts received are accurately labelled with part name and number as ordered and bin all received parts in their
    respective bins (Aftersales, Technical and Production).

    Warehouse Operations: Adhere to the laid down warehouse operating procedures and policies as per the Mobius warehousing ICP.

    Inventory Management

     Segregation: Ensure warehouse is well organised and damaged parts are segregated and concerned persons notified of the damages.
     Stock Take: Participate in monthly cycle stock counts and prepare reports as required.
     Stock Audits: Support inventory audit as and when required.
     Reporting: Support with inventory report generation. This includes sales order trends, delivery note trends, stock items from various warehouses.

    Stock Movement/Control

     Part Movement: Ensure all parts movement is done through the system as per customer order and workshop repair orders.
     Dispatching: Package ordered parts securely and ensure dispatch to customer directly or to their respective representatives or courier company of choice.
     Warranty: Ensure all warranty and goodwill parts have their respective workshop repair orders and delivery notes.

    Aftersales Support

     Parts Collection: Support supply chain with collection of parts from suppliers as and when needed.
     Improved profitability – Increasing market share based on budget, carry out market surveys and prudent management that ensures 2-3 stock turns per year are maintained.
     Customer service and satisfaction – Ensure customer orders are completed on time, promptly with utmost courtesy and consideration.
     Administration and reports – All parts stock levels and transactions correctly recorded, know how to use the parts catalogues and manufacturer lists,
    maintain liaison with other business departments, manufacturers, OEM’s, Suppliers, and major customers.

    Office Function

    Arrange ticketing for SG at least one week before a trip and provide information on weather conditions at destination. On return, ensure trip reconciliation within 24 hours of return from trip
    Arrange visa to be ready for trip at least two weeks before the trip. Ensure reconciliation of visa receipts within 24 hours of payment for the visa.
    At least 2 days before a trip, per diem and any documents (e.g. working documents, magazines) to be carried for any meeting to be ready and handed to SG.
    Send out accurate invitations for meetings at least 30 days before Executive Committee (EXC) or Annual General Assembly (AGA)
    At least two days before meetings, water/refreshments and other logistics to be ready
    Write minutes as directed and the minutes be completed within 3 working days from end of meeting.
    Maintain up-to-date and accurate contact details for CEOs, partners and invitees to AFRAA AGAs and other events. Hard copy of updated list of CEOs to be given to the Secretary General every first week of each month
    Ensure signed Minutes of EXEC and AGA meetings are filed and readily available at all times
    Ensure minutes of EXEC are sent to the Chairman within 2 weeks of EXEC meetings and sent to all EXEC members within 2 working days of receipt from the Chairman.
    Prompt the Secretary General (SG) about actionable matter arising from EXEC/AGA meetings according to timelines in Summary Decisions
    Each time there is a new member CEO appointed or key industry partners or regional international organization, draft a congratulatory letter for the Secretary General to sign within 2 days of receipt of the information
    Carry out translations into French as directed before 30 days to the relevant meeting (EXEC or AGA)

    Administrative Functions

    Application for renewal of contracts to be made at least two months before expiry date of contract
    Observe AFRAA working hours especially that work starts at 0830 hours at all times
    Answer phone within first 3 rings
    Within 24 hours before a trip, ensure that a memo about the Director/Manager designated to act in the absence of the SG is signed and distributed to staff
    Dress smartly and decently during working hours
    Maintain office area in a neat and tidy manner at all times and ensure chronological and regular filing of documents at least within 12 hours of completion of tasks
    Maintain accurate diary of SG meetings every Monday or if it is a holiday, the next working day Relations
    Work cooperatively with other staff in AFRAA whenever carrying out your duties
    Arrange for presents and gifts for CEOs and other senior guests visiting AFRAA at least two days before the visit.

    Must be calm and be able to work under pressure for example during conferences/meetings

    Functions:
    Lead the design, coordination and implementation of the Generation Equality Phase II project in the region:

    Coordinate the overall project work plan development and implementation according to Strategic Note and Phase II Pro Doc;
    Liaise with the regional counterparts, donors, UN Women and partners to ensure the project results are achieved and resources are managed;
    Prepare and present work-plans, periodic narrative progress reports and expenditures status reports to UN Women and other stakeholders as necessary;
    Establish systems for project planning, implementation and monitoring in collaboration with partners;
    Record and maintain documents on relevant project activities, issues, and risks.

    Manage coordination with regional partners and other stakeholders:

    Strengthen Commitment Makers’ capacities to implement commitments;

     Provide support and guidance to Country Offices in establishing and convening multi-stakeholder platforms for collective action:

    In consultation with Country Offices, establish and implement demand-driven country identification process against agreed criteria for pathfinder country pilots;
    Provide technical support to Country Offices for the establishment of pathfinder country pilots;
    Convene at least one annual high-level political dialogue on Generation Equality themes, harnessing the energy    of Action Coalition leaders and commitment makers and Compact Signatories, as a methodology to advance concrete advocacy objectives;
    Support mainstreaming inclusive, intergenerational, and multi-stakeholder structures    in    countries    by    developing    and disseminating evidence-based knowledge on the suggested    roles    of    these    structures/    their governance   mechanisms/   composition/modus operandi / partnerships’ management;
    Lead and deliver an advocacy and communications strategy at regional and national levels to bring visibility to Generation Equality core objectives; showcase regional and country level stories of impact and drive co-ownership and co-accountability;
    Support    Action Coalition    Leaders    and    Compact    Board Members in   actively   engaging   in   the   Action Coalitions/the   Compact   structures and regular   meetings;
    Facilitate cross-thematic collaboration between Action Coalitions/Compact that break up siloes, advance thematic synergies and foster collective action;
    Support Leaders and Commitment Makers in the annual commitments reporting to produce the annual accountability report.

    Functional Areas Responsibilities

    Receiving

     Receiving: Receive parts into the Aftersales and Technical Warehouse ensuring ordered and received parts match, and that the invoice is as per the delivery note.

    Parts Sales

     Sales: Receive customer and workshop orders and ensure all orders are processed within the stipulated timing, accurately and with utmost customer enthusiasm in mind.
     Invoicing: Notify Finance of all non-warranty parts for invoicing to respective customers.

    Warehousing  

    Labelling and Binning: Ensure all parts received are accurately labelled with part name and number as ordered and bin all received parts in their
    respective bins (Aftersales, Technical and Production).
    Parts & Inventory Officer 2 of 3 Mobius Motors  
    Warehouse Operations: Adhere to the laid down warehouse operating procedures and policies as per the Mobius warehousing ICP.
     Health & Safety: Understand and apply all the health and safety precautions required in the warehouse.

    Inventory Management

     Segregation: Ensure warehouse is well organised and damaged parts are segregated and concerned persons notified of the damages.
     Stock Take: Participate in monthly cycle stock counts and prepare reports as required.
     Stock Audits: Support inventory audit as and when required.
     Reporting: Support with inventory report generation. This includes sales order trends, delivery note trends, stock items from various warehouses.

    Stock Movement/Control

     Part Movement: Ensure all parts movement is done through the system as per customer order and workshop repair orders.
     Dispatching: Package ordered parts securely and ensure dispatch to customer directly or to their respective representatives or courier company of choice.
     Warranty: Ensure all warranty and goodwill parts have their respective workshop repair orders and delivery notes.

    Aftersales Support

     Parts Collection: Support supply chain with collection of parts from suppliers as and when needed.
     Improved profitability – Increasing market share based on budget, carry out market surveys and prudent management that ensures 2-3 stock turns per year are maintained.
     Customer service and satisfaction – Ensure customer orders are completed on time, promptly with utmost courtesy and consideration.
     Administration and reports – All parts stock levels and transactions correctly recorded, know how to use the parts catalogues and manufacturer lists,
    maintain liaison with other business departments, manufacturers, OEM’s, Suppliers, and major customers.

    Functional Knowledge & Skills

     2 years related experience in stores and stores management

    Job Responsibilities
    Office Function

    Arrange ticketing for SG at least one week before a trip and provide information on weather conditions at destination. On return, ensure trip reconciliation within 24 hours of return from trip
    Arrange visa to be ready for trip at least two weeks before the trip. Ensure reconciliation of visa receipts within 24 hours of payment for the visa.
    At least 2 days before a trip, per diem and any documents (e.g. working documents, magazines) to be carried for any meeting to be ready and handed to SG.
    Send out accurate invitations for meetings at least 30 days before Executive Committee (EXC) or Annual General Assembly (AGA)
    At least two days before meetings, water/refreshments and other logistics to be ready
    Write minutes as directed and the minutes be completed within 3 working days from end of meeting.
    Maintain up-to-date and accurate contact details for CEOs, partners and invitees to AFRAA AGAs and other events. Hard copy of updated list of CEOs to be given to the Secretary General every first week of each month
    Ensure signed Minutes of EXEC and AGA meetings are filed and readily available at all times
    Ensure minutes of EXEC are sent to the Chairman within 2 weeks of EXEC meetings and sent to all EXEC members within 2 working days of receipt from the Chairman.
    Prompt the Secretary General (SG) about actionable matter arising from EXEC/AGA meetings according to timelines in Summary Decisions
    Each time there is a new member CEO appointed or key industry partners or regional international organization, draft a congratulatory letter for the Secretary General to sign within 2 days of receipt of the information
    Carry out translations into French as directed before 30 days to the relevant meeting (EXEC or AGA)

    Administrative Functions

    Application for renewal of contracts to be made at least two months before expiry date of contract
    Observe AFRAA working hours especially that work starts at 0830 hours at all times
    Answer phone within first 3 rings
    Within 24 hours before a trip, ensure that a memo about the Director/Manager designated to act in the absence of the SG is signed and distributed to staff
    Dress smartly and decently during working hours
    Maintain office area in a neat and tidy manner at all times and ensure chronological and regular filing of documents at least within 12 hours of completion of tasks
    Maintain accurate diary of SG meetings every Monday or if it is a holiday, the next working day Relations
    Work cooperatively with other staff in AFRAA whenever carrying out your duties
    Arrange for presents and gifts for CEOs and other senior guests visiting AFRAA at least two days before the visit.
    Quality Objectives
    Must be calm and be able to work under pressure for example during conferences/meetings
    Maintain confidentiality in all matters pertaining to the office of the SG
    Ensure that the office area is not unduly noisy during working hours
    Report incidences of indiscipline by staff such as absenteeism, poor time keeping, poor performance of duties whenever they occur
    Any other duties as you may be allocated by your supervisor from time to time

    Requirements:
    Minimum Qualifications

    Bachelor’s degree in Business Administration, Communications or equivalent.
    Relevant work experience in offering executive office support.
    Fluency in written and oral French plus English is a MUST.

    Duties and Responsibilities

    Functions:

    Lead the design, coordination and implementation of the Generation Equality Phase II project in the region:

    Coordinate the overall project work plan development and implementation according to Strategic Note and Phase II Pro Doc;
    Liaise with the regional counterparts, donors, UN Women and partners to ensure the project results are achieved and resources are managed;
    Prepare and present work-plans, periodic narrative progress reports and expenditures status reports to UN Women and other stakeholders as necessary;
    Establish systems for project planning, implementation and monitoring in collaboration with partners;
    Record and maintain documents on relevant project activities, issues, and risks.

    Manage coordination with regional partners and other stakeholders:

    Strengthen Commitment Makers’ capacities to implement commitments;
    Prepare and apply regional /country specific technical guidance on leveraging UN system mechanisms, platforms and potential entry points for UN system coordination to ensure the delivery of the Generation Equality commitments, including through the development of joint UN initiatives and the production of joint thematic knowledge products;
    Develop and implement a regional/country strategy to support the implementation of partners’ Generation Equality commitments in alignment with the RO / CO Strategic Note and Phase II Pro Doc;
    Develop and implement a regional/country monitoring mechanism to ensure the implementation of UN Women’s own Generation Equality commitments where relevant;
    Develop and deliver a Commitment Maker Engagement Strategy at regional and country levels to ensure engagement of new Commitment Makers and Compact signatories;
    Partner with Action Coalition Leaders, Compact Board and catalytic members at regional and country level to issue calls to action to advocate for implementation of commitments;
    Provide technical support and capacity building through mechanisms such as tools, resources, round tables, and learning events to priority Commitment Makers to strengthen commitment implementation at regional and country level;
    Organize peer-to-peer learning sessions and strategic dialogue events for Commitment Makers at regional and country level;
    Coordinate with existing regional bodies, of which UN Women is a member, to drive commitments implementation and UN system coordination;
    Undertake assessments of commitment makers’ strategies and plans to ensure adequate focus to invest in civil society and youth organizations.

     Provide support and guidance to Country Offices in establishing and convening multi-stakeholder platforms for collective action:

    In consultation with Country Offices, establish and implement demand-driven country identification process against agreed criteria for pathfinder country pilots;
    Provide technical support to Country Offices for the establishment of pathfinder country pilots;
    Convene at least one annual high-level political dialogue on Generation Equality themes, harnessing the energy    of Action Coalition leaders and commitment makers and Compact Signatories, as a methodology to advance concrete advocacy objectives;
    Support mainstreaming inclusive, intergenerational, and multi-stakeholder structures    in    countries    by    developing    and disseminating evidence-based knowledge on the suggested    roles    of    these    structures/    their governance   mechanisms/   composition/modus operandi / partnerships’ management;
    Lead and deliver an advocacy and communications strategy at regional and national levels to bring visibility to Generation Equality core objectives; showcase regional and country level stories of impact and drive co-ownership and co-accountability;
    Support    Action Coalition    Leaders    and    Compact    Board Members in   actively   engaging   in   the   Action Coalitions/the   Compact   structures and regular   meetings;
    Facilitate cross-thematic collaboration between Action Coalitions/Compact that break up siloes, advance thematic synergies and foster collective action;
    Support Leaders and Commitment Makers in the annual commitments reporting to produce the annual accountability report.
    Coordinate advocacy and communications efforts at to bring visibility to the Generation Equality follow up and support its progressive policy agenda. 

      Manage the monitoring and reporting of the project:

    Supervise and manage staff, review performance and mentor/ coach staff [as applicable];
    Gather and compile all information necessary for monitoring and reporting from the planning to the evaluation stages;
    Monitor the implementation of activities and the expenditure of funds; oversee regular monitoring visits;
    Finalize annual and quarterly reports;
    Provide project inputs to Regional Office reporting;
    Ensure the delivery of baseline, monitoring, evaluation plans and reports.

     Contribute to Resource Mobilization efforts on Generation Equality:

    Actively support resource mobilization on the Generation Equality Project Document and expand / deepen UN Women’s overall partnerships in the region;
    Contribute to the whole-of-organization approach of Generation Equality in collaboration with UNW colleagues and in alignment with the approved Generation Equality Project Document.

    Manage financial resources and supervise staff:

    Supervise and manage staff, review performance and mentor/ coach staff [as applicable];
    Develop and prepare annual workplans, financial resources of the programme including budgeting and budget revisions, and expenditure tracking and reporting;
    Oversee and monitor the allocation and disbursement of funds to participating partners;
    Ensure appropriate actions are taken to optimize use of programme funds.
