    Overall Responsibilities:

    Specific tasks:

    Ensure the Youth Empowerment Strategy is mainstreamed in all DSW programmes.

    Requirement & experience

    SPECIFIC ROLES AND RESPONSIBILITIES
    Program and Business Development Support
    SPCO will lead the program teams and oversee all Somalia and Kenya programs and communications requirements including working with the NEAR programs.
    SPCO will work with the country program team in designing, developing new business opportunities and coordinating with the country teams. The role will include drafting of concept notes, proposal writing and performing background research. The SPCO will also be required to work closely with the program technical team, and the program design and quality unit and may be asked to lead proposal writing under the guidance of Executive Director and country team.
    Supporting in program management and communication including drafting regular internal and external communications, taking minutes of meeting, organizing appointments for Executive Director and taking responsibility for logistics for meetings and events, and following up with key project team members to ensure
    that the team is making progress against deadlines etc.
    Draft and edit monthly and quarterly program reports
    Manage electronic resources, files and databases needed for program management and business development systems for the organization. Maintain file for each grant with regular update filing on the progress and outcomes (assessment reports, studies, donor correspondences and external reports)
    Attend donor and coordination meetings on behalf of Adeso and actively engage in networking for funding opportunities and partnerships
    Assist in organizing, reviewing and coordinating the various field requests such as financial, procurement and programs for Executive Director processing and approval. As needed draft memoranda of understanding, development of teaming agreements, and other institutional agreements under the guidance of the Senior Program and Communications Officer.
    Supporting the coordination and preparations of the Head of Departments meeting, the quarterly program review meetings, and monthly senior management meeting among others.
    Supporting the preparation of speeches, presentations and other communication materials for the Executive Director as needed.
    Develop operational policies to ensure compliance and due diligence requirements where gaps exist.
    Social Media & Fundraising Management**
    Develop and execute social media strategies to leverage editorial content across a variety of channels as well drive reader engagement
    Manage Adeso’s current social media accounts;
    Assess Adeso’s current social media presence and determine which new channels offer the best opportunity to
    increase the organization’s online presence;
    Set targets for increasing Adeso’s visibility and reach via Facebook, Twitter, LinkedIn and other selected social networking sites;
    Analyze and optimize monthly social engagement analytics and ad performance on all platforms;
    Monitor monthly social performance ensuring the yearly goals are met or exceeded;
    Maintain a list of all social media accounts log-in information and always make sure HQ has the most up-to-date information; and,
    Develop and implement social media campaigns, including use of paid advertisements.
    Develop and manage online fundraising campaigns using Facebook, Gofundme, Globalgiving, and more.
    Content Development and Editorial Support
    Draft, edit and disseminate Adeso case studies and success stories to maximize their use on the website and social media;
    Support the writing and editing of Adeso’s publications, including annual reports;
    Promote Adeso in relevant social media and network spaces and manage the production and delivery of appropriate outreach material, including key publications such as the annual report.
    Provide direct support in the implementation of the Adeso to the Strategic Plan and Fundraising Strategy.
    Supporting Adeso in helping to establish social enterprises and other business/income generating opportunities including researching for opportunities and helping to develop operational systems for such enterprises and investments.
    Undertaking any other assignments, as may be determined by the Executive Director

    Job Description
    Accountability: Commercial awareness and strategic partnering

    Translation of the strategic plan into the annual plan and ensure execution of specific projects.
    Assist CEO to track and provide analytical reports on the development of strategic initiatives, financial performance and the market
    Develop and communicate strategic roadmap and ensure implementation of the business strategies.
    Complete all reporting activities accurately and on time

    Accountability: Operational Process Support

    Act as initial point of entry for escalated client queries. Redistribute the resolution or respond directly to the stakeholders where appropriate and report only major issues to the Managing Executive or Business Unit Head.
    Take personal accountability for resolving complaints lodged directly with the Managing Executive.
    On a monthly basis, compile a summary of the projects and initiatives underway in the business unit and provide an update to the Managing Director on progress, risks and issues.
    Coordinate the preparation of formal performance reviews conducted by the Managing Exec/BU Head by supporting direct reports to collect their portfolios of evidence and collating results from multi-source feedback for each direct report prior to the performance discussion.
    Review financial reports prepared by line managers in the business unit and advise the Managing Exec/BU Head of substantial issues and actions that have been created to address these.
    Review all new marketing and internal communication material from a style and content perspective prior to it being reviewed by the Managing Exec/BU Head and request required changes before presenting for signoff. Monitor BOP error rejections ensuring errors are handled within the prescribed time frames. Identify recurring BOP errors and institute corrective measures
    Act as key advisor to the Managing Director by providing knowledgeable review and recommendations based on an assessment of proposed process or product changes submitted by process owners or managers in the business unit. Support these managers to refine business cases if required.
    Ensure that tactical decisions taken by the Managing Director are communicated to the correct audience in a timely manner and gauge the understanding and commitment from the audience.
    Take charge of general office administration including ordering of stationery and etc.
    Ensure that adequate reserve stock is ordered.
    Enforce company policy in terms of procedures including travel, cell phone, expense claims etc. (i.e. responsible for controlling signatures, taking policy into account, urgency and effecting timeous forwarding of documents).
    On request from the Managing Director attend selected committee meetings on his/her behalf including operational risk forums and project steering committees to stay up to date with operational conditions and provide early warning any probable issues and proposed solutions.

    Accountability: Administrative Support

    Manage the diary of the Managing Director, in an efficient manner by using Outlook, to set up meetings requested by the line manager or to accept meetings requested by others where the manager’s presence is needed.
    Track and monitor the acceptances and declines obtained from the relevant parties that have been invited to the meeting. Where possible, resolve issues independently but where needed escalate any concerns and issues to the manager.
    Liaise with relevant parties to re-schedule any meetings, based on a request from either the manager or the original meeting organiser.
    Print all documentation relevant to the meetings and prepare daily meeting packs and give them to the manager for their reference. Liaise with the in-house travel agency to make the travel bookings for any domestic and international trips the manager is required to make and in so doing ensure adherence to the required travel approval process.
    When requested to by the manager, attend in team meetings in order to take the minutes of the meetings. Ensure that the minutes are typed, approved by the meeting chair and distributed to the relevant parties within the agreed time period.
    Ensure that the action points are shared immediately after the meeting and follow up for resolution of the same.
    Oversee the planning and execution of business events for the Managing Director/BU Head such as employee discussion forums, product launches, customer entertainment events and formal functions.
    Prepare the key themes presentations and reviews for the Managing Exec/BU Head by researching and packaging detailed content. Ensure that presentations are designed to reflect the business unit’s brand and Managing Exec/BU Head’s personal style.
    Screen requests for meetings or events to be attended by the Managing Exec/BU Head and determine which ones would be appropriate for personal attendance and which ones should be delegated to other managers in the business unit.
    Liaise with the travel agency to make the travel bookings for any domestic and international trips the MD is required to make and in so doing ensure adherence to the required travel approval process

    Accountability: Governance and Control

    Support the Managing Director/BU Head in the signoff process for risk events (losses and write-offs) by obtaining all investigation documentation and making recommendations on whether the BU should take the loss or whether it should be absorbed by a different area. Liaise with other mandate holders in the BU to ensure that they follow a rigorous process before approving write-offs.
    Review all write-offs and near misses each month and provide a report to the Managing Director/BU Head on trends identified and recommended actions.
    Monitor compliance with policies and procedures, identify areas of non-compliance and incorporate/ recommend remedies.

    Scope of Work
    Develop three high quality, creative and clear illustrations suitable for conveying information and representing ideas so they are easily understood by target groups.
    Expected Deliverables

    Work in close consultation with the Communications team at DSW Kenya;
    Work from the DSW Kenya office or own convenient location and submit deliverables through email as requested and on time.
    Be willing to modify, edit, or totally change illustrations as per feedback provided.
    Submit full colour, high resolution and editable versions of illustrations and designs in layered Adobe Photoshop, Illustrator, InDesign and PDF documents.

    Required

    Creatively done illustrations that are of the highest artistic quality.
    Persuasive designs that are easily appreciated and retainable by the target audience persuading them to undertake the communicated message Language, geographical landmarks etc.

    National Team Coordinator – Monitoring, Research & Evaluation

    Reporting to: National Department Manager-Programs and Projects
    General Responsibilities:
    The National Team Coordinator- Monitoring, Research & Evaluation will lead design of M & E frameworks, analysis and management of data emanating from all DSW projects, develop base – mid and end line evaluation, support preparation of project reports, support project design, and provide technical assistance to both program staff and in monitoring and evaluating activities and programs. He/She is responsible for the maintenance of all project data in line with donor requirements and other key stakeholders.
    Specific Responsibilities:

    M&E system development, standardization and management
    Overall design and implementation of all monitoring and evaluation processes and procedures.
    Lead the design of efficient and user friendly M&E framework & tools to capture quantitative and qualitative data that would be appropriate for M&E and reporting.
    Working in close collaboration with HO, coordinate the Management of tools and database for M & E.
    Periodically validate in coming data prior to being coded in the M&E system.
    Programme Development and support
    Facilitate the development and maintenance of the logical framework matrix of the current and new projects being designed.
    Facilitate periodic review and monitoring visits of programme performance of all DSW kenya funded programmes.
    Contribute towards the development of new action programmes/programme design.
    Reporting and Documentation
    Ensure the collation and documentation of assessments, relevant program data, lessons learned and good practices, while ensuring that these materials are well archived, easily acceptable but also protected.
    Support production of high quality reports and other written documents for submission to donors and other stakeholders.
    Facilitate dissemination of M&E results generated from projects implementation as deemed appropriate.
    Research, partnership and Networking
    Support internet based research on funding and partnership opportunities for DSW Kenya as well as to build information base for programming.
    Official Liaison person between DSW and partners in issues of M&E.
    Work with project officers at the national level to coordinate data management, documentation and publications.
    Collaborate with project staff and implementing partners, prepare reports on M&E findings for internal and external stakeholders.
    Capacity building of staff and partners
    Support the training of local partners and programme staff on the M&E framework for the projects, which will not be limited to data collection, quality assurance, data management, and report writing.
    Provide day to day technical support to staff and partners should gaps in the M&E processes arise.

    Requirements and Experience

    A successful candidate must possess a Bachelor’s degree in Social Sciences or Statistics with at least three (5) years’ work experience in NGO setting leading M & E.
    Post graduate training in Project Management, Monitoring & Evaluation and related fields an added advantage
