    Program Coordinator (Family Strengthening Program)

    Position Summary:
    Reporting to the Location Program Director and the Family Strengthening Manager, the Program Coordinator (Family Strengthening Program – FSP) will play a crucial role in the planning, implementation, monitoring, and reporting of FSP interventions aimed at improving the lives of vulnerable families and communities in Nairobi. This will include working with staff from both the location and national office, the children, caregivers, strategic community structures & actors as well as partners based on professional social work practice, ethics, values and principles to achieve sustainable development. He/she may also take up representational role on behalf of the Program Director where needed.
    KEY RESPONSIBILITIES
    Programme Implementation and Coordination:

     Ensure identification of local needs and resources, Develop Quality Annual work plans and budgets as part of increasing local relevance of interventions
     Ensure all Family Strengthening Program interventions in Nairobi are implemented within schedule, plans, budgets and regularly reviewed in full compliance with the available organizational policies and Program Guidelines
     Oversee selection and verification of new program beneficiaries in liaison with location team, implementing partners where applicable, community committees and local authorities.
     Ensure that Family Strengthening Program interventions are inclusive and implemented in a multisectoral approach together with key stakeholders focusing on Child Protection, Education & Youth Empowerment, Health, MHPSS, WASH and Livelihood Support so as to facilitate Self-Reliance for targeted families & communities
     Liaise with location M&E officer to ensure that appropriate controls, monitoring and evaluation tools are in place and being utilized in a timely manner and as required.
     Ensure program data is continuously captured, validated and updated on SOS Children Villages Program Database (PDB) and or any other approved system.
     Conduct and/or attend regular weekly and monthly planning/progress meetings as needed internally
     Support HR office in the management of a Complaints and Feedback Mechanism and ensure it is known and utilized by program participants/staff.
     Perform any other duties as assigned by supervisor

    Program Development:

     Map resource mobilization opportunities at local level and participate in developing new concepts and proposals in collaboration with national and regional office teams for program scale up & impact
     Effectively manage staff performance ensuring competent and motivated staff, conduct bi-annual staff appraisals, encourage on-the-job coaching, identify and address learning/training needs opportunities
     Take lead in building FSP staff capacities in Child Protection, Education & Youth Empowerment,
    Health, PSS, WASH & Livelihood sector interventions through trainings and other information sharing avenues to handle program activities effectively With the support of National Office team, identify, formally engage and build capacities of key implementing partners (FBOs, CBOs, NGOs) to enable them effectively intervene in direct service delivery work on behalf of SOS Children Villages Kenya in Nairobi and beyond.

    Quality Assurance – Monitoring, Reporting and Documentation

     Assign staff to ensure activities are carried out as per developed work plan and budget Conduct field visits, monitor program activities progress and expenditures and report any deviations or challenges to the Program Director.
     Prepare Program reports as per agreed frequencies (monthly, quarterly, bi-annual and annual progress reports), documenting achievements/success stories, challenges, and lessons learned for internal and external reporting.
     Maintain accurate and organized project documentation, including budgets, activity plans, reports and program participant’s files
     Contribute to the development and implementation of monitoring and evaluation plans to measure program impact and effectiveness.
     Participate in regular program review meetings, team meetings and other monitoring mechanisms to assess program progress and resolve implementation bottlenecks.
     Proactively enforce controls and checks as well as ensure effective and timely response plans to all financial and audit findings on FSP initiatives and take the needed measures to prevent future recurrence

    Advocacy, Networking & Partnerships

     Collaborate closely with key Government line ministries and other likeminded partners to ensure program quality during implementation as well as provide technical support and assistance as and where needed for program sustainability purposes
     Assist and participate (representation) in organized meetings, trainings, workshops and thematic assessments by key national & county government departments and/or consortium partners/networks.
     Support program participants to engage in advocacy activities with duty bearers and strategic community structures at the Ward/County level to address and inform national level advocacy initiatives.
     Continuously provide content to communications office by sharing impact stories and high quality photos in line with SOS CV communications guidelines for external communication & visibility

    FORMAL QUALIFICATIONS & EXPERIENCE REQUIREMENTS

     Bachelor’s Degree in Development studies, Project Management, Community Development Studies or related Social Science Discipline.
     A minimum of 5 years working experience preferably in NGO setting, two (2) of which must be at a supervisory level.
     Good experience and knowledge of Child Protection & Youth Development policies & guidelines
     Proven ability to conceptualize, innovate, fundraise, manage programs and staff
     Proven ability to cultivate long term mutually beneficial partnerships with local communities, key state departments, CSOs and Corporate organizations at various levels – national to county
     Ability to work under pressure, make decisions and multi-task.
     Enthusiastic and connects well with people of all backgrounds, and able to inspire and motivate
     Experience with Budget and Financial reporting
     Excellent communication, facilitation, presentation and representation skills.
     Excellent computer skills, including proficiency in working with various databases as well as Microsoft Office (Word, Excel, PowerPoint, Outlook).

    Position Summary:
    Reporting to the National Director and a member of the Senior Management team, the overall purpose of the position is to contribute to the attainment of MA Kenya Strategic objectives through effective leadership and management of the Human Resource and Administration function for SOS Children’s Villages in Kenya and developing HR Services from an operational and strategic perspective. The incumbent will ensure that the HR function is aligned to SOS Children’s Villages in Kenya business and deliver sound and cost effective people management practices, system procedures and best practices through continuous improvement and prioritization. The position holder will provide practical, consistent, and proactive support, direction and advice to the SMT, People Managers and all staff on HR policies.
    KEY RESPONSIBILITIES AND MAIN RESPONSIBILITIES
    Strategy delivery:

     Lead in conceptualizing, designing and implementing the people strategy to meet the MA Kenya Office needs.
     Support staff and line managers with change management while facilitating necessary employee support program as well as legal considerations
     Develop the HR Budget for proposals and awards and monitor spending to ensure budget compliance.
     Develop/ Update HR policies, programs and systems to support the achievement of the MA Kenya country office’s goals.
     Oversee standardized HR processes throughout MA Kenya, assist in the development of localized procedures as required
     Champion Gender Equity and Diversity initiative and staff wellness programs in the country office.
     Champion Prevention of Harassment, Sexual Exploitation and Abuse (PHSEA) in the MA country office

    HR Strategic Planning:

     Development of HR Strategy of SOS Children’s Villages in Kenya and ensure alignment with the organizational goals and objectives
     Development and implementation of human resources planning, assisting with the new/existing departments to have needed staff with the right competence on time, both at national office and locations.
     Devise and implement metrics as and when needed
     Provide guidance and support to staff in completion of “Staffing Models” (workforce planning);

    HR Management:

     Provide advisory support to Senior Management Team (SMT) and all Managers on all HR aspects as required
     Ensure efficient recruitment and staffing to meet programmatic and operations needs of the MA Kenya office.
     Ensure effective on boarding, induction and orientation of the staff.
     Develop best practices in HR management
     Providing direction in the annual HR planning process and prioritize activities for the HR department including staffing and organization, reward management, MA Kenya Office structure, staff contracting and exit processes.
     Advise the National Director on HR needs and surpluses and the required action.
    Develop Effective Employee Relations Program
     Communicate human resource policies across the organization
     Advice in reviewing and revising salary structure, pay policies, job grading etc.
     Review and recommend employee benefit programs, and security, safety and health program to respective teams for approval and implementation.
     Implement compensation and benefit policies and practices to ensure that staff are rewarded in
    line with both general market practice and individual performance level
     Determine and recommend employee relations practices necessary to establish positive employee-employee relationships and employee-employer relationships
     Work directly with line managers to assist them with employee relations matters.

    Staff Development:

     Supervise the implementation of staff development and ensure talent development and management.
     Advise on staff training needs and support the implementation of both formal and non- formal staff training programs
     Support in conducting specialized training programs on key HR areas like, Mission, Vision,
    Values, Who We are, Our Brand and other key areas of focus for staff knowledge and development
     Review the clearance and exit surveys for employees leaving the organization for feedback on improvement and staff development areas.
     Where necessary and on identified needs, the HRM will undertake facility visits to support facility heads at project level.
     Coordinate and follow through the administration on the delivery of staff learning and development initiatives as per the needs identified
     Promote SOS Children’s Villages in Kenya performance culture initiative to enhance collaboration across the organization HR policies, procedures and reporting:
     Formulate, maintain and update human resource management policies for MA Kenya Office and ensure standardized HR processes are implemented across MA Kenya Office and assist in the development of localized procedures as required.
     Ensure that all contracts i.e., employment, insurance and consultancy, adequately comply with SOS Children’s Villages policy, international laws, local laws and donor requirements.
     Track Audit reports, lead the HR team in developing action points and follow up the implementation of the audit actions points related to HR aspects

    Recruitment/On & Off boarding

     Lead recruitment process and take accountability of the whole process
     Preparation of interview reports and presentation for review and approval with interview outcome summary for the senior management roles
     Facilitate employment verification and background check screenings for applicable candidates;
     Help design and implement the new hire orientation and on-boarding program and procedures in compliance to SOS Children’s Villages in Kenya policies and procedures
     Oversee Off- Boarding process for all staff exiting the organization including conducting exit interviews, termination of benefits etc.
     Provide excellent customer service via email, phone or in person; answers questions from employees and the general public regarding human resources issues, and responds to employment verification requests and other requests for information.

    Building a committed and effective staff team

     Supports facility heads to develop and maintain effective and open channels of communication, in order to form a cohesive and supportive team
     Support to create and maintain enabling working environment and promote staff wellness.
     Ensure harmonious employee relations that foster achievement of individual and organization
    goals and objectives across the MA County office
     Effective, consistent and fair administration of the staff welfare package across the country office
     To conduct regular field visits in a bid to create interactive and open relationships between staff and management

    Promote good working relationships and positive discipline.

     Support and endeavours to uphold the rights and responsibilities of each staff member, as outlined in the SOS Children’s Villages in Kenya Terms and Conditions of Service (Employee Handbook), in order to promote positive discipline at all levels. This will involve provision of expert advice to facility heads on contents of the terms and conditions of Service (Employee Handbook)
     Participate in disciplinary committee hearings as assigned by the National Director. Also support facility heads in resolving conflicts and major employee grievances, which cannot be solved within the relevant facility.
     Provide support, understanding and counsel to staff. Open communication is maintained at all times.
     Support employee relations with professionalism; support investigations to resolve issues/conflict in the workplace
     Act as an impartial mediator in disciplinary procedures and ensure it is administered in an equitable and fair manner and meets all legal and labor regulations and requirements
     Maintain an effective negotiation process and harmonious employee/employer relationship

    Payroll management/HRIS and Benefits administration

     Supervise and ensure that payroll has been processed in a timely, efficient way, ensure that manner ensuring completeness and accurate documentation
     Review the payroll report before approval and payment

    Compliance, Administration & Management

     Conduct internal spot check audits to ensure compliance with internal and external regulations; assist with compilation of statistics and material in support of affirmative action and various compliance requirements
     Maintain all HR files with ease to navigate physical and electronic files in compliance with document retention policies
     Ensure compliance with all labor laws and minimization of legal exposure

    Performance Management

     Advise on the performance management process including; creating a plan to manage annual  reviews, conduct training on goal -setting, utilize budgets to organize development activities and work one on one with managers and employers
     Support in ensuring timely completion of the annual performance evaluation process
     Facilitating performance management process through proper documentation tracking and coding of appraisal documents and proper identification of key development areas.
     Review, develop and implement effective employee performance management system, aligned with SOS Children’s Villages guidelines; train line managers and provide advice and support for performance management issues
     Implement Succession Planning Program in alignment with SOS Children’s Villages guidelines.

    Administrative Support

     Manage day-to-day office operations; oversee and coordinate overall office activities and provide administrative support to the executive leadership
     Manage relationship with facilities management; coordinate office maintenance and support needs
     Support the development of simple but effective Human Resources administrative procedures, in accordance with the policies of the SOS Children’s Villages in Kenya
     Keeps records of benefits plans participation such as medical Insurance, WIBA, GPA & Life Insurance and insurance of all assets in the organization.
     Ensuring that all contracts for vendors are updated.
     Oversee the work Health and Safety responsibilities as identified in the OSHA guidelines.

    Legal Counsel

     Liaise closely with external legal counsel as required and manage labour disputes with employer bodies, government agencies and labour relation authorities.
     Prepares and submit quarterly reports on litigation status.

    Board Reporting & Compliance

     Preparing and developing Board papers for approval.
     Prepare and submit quarterly reports on staff data, staffing trends, turnover rate for decision making.
     Providing updates on the HR initiatives undertaken during the period.
     Developing of policies for Board of Trustees review and approval.

    FORMAL QUALIFICATIONS & EXPERIENCE REQUIREMENTS

    Bachelor’s Degree in Human Resource Management with 12 years’ experience as a HR generalist in the Internal Non – Governmental Organization.
    Or Master’s Degree in Human Resource Management or related field with 10 years’ experience as a HR generalist of which 5 years should be in Senior management.
    Should be a member of a recognized human resources professional body (IHRM) and in good standing and MUST be a Certified Human Resource Professional (CHRP).
    Outstanding competencies in Microsoft Office and the ability to use HRIS technology (PayMaster, Navision, D365 etc.)
    Conversant with labor legislation related to human resources and employee management
    Ability to maintain confidentiality in a professional manner

    Key performance areas and main responsibilities:
    Fundraising and Donor Liaison

    Proactively identify institutional partnership opportunities at the national/local level (from bilateral, multilateral, international organization and embassies and foundations) that match organizational priorities and donor requirements.
    Develop a comprehensive database of potential donors and update the same regularly to ensure clear potential funding opportunities for SOS Children’s Villages in Kenya based on thorough research and intelligence gathering
    Writing expression of interests, concept notes and proposals and related applications for both grants and contracts under the strategic guidance of the HFDC. This includes: background research, stakeholder analysis, data collection & analysis, consultation processes, development of narrative proposal, coordination of grant proposal budget development and production of all associated documents to a high standard in accordance with donor requirements
    Develop and maintain good relationships with donors by ensuring regular communication, knowledge exchange and effective reporting.
    Working with the HFDC, be the link between SOS Children’s Villages in Kenya and donors especially in management of institutional funding contracts. Ensure regular communication with the SOS Children’s Villages international and regional offices

    Donor Contract Management

    Prepare and submit IPD monthly updates and quarterly reports to the Head of Fund Development and Communications (HFDC)
    Coordinate, monitor and assess the quality of donor reporting making sure that donor requirements are met during the project implementation, monitoring and evaluation and phase/close out
    Responsible for Donor Contract Management (DCM) of institutional (restricted) grants, including contract preparation, development of consortium agreements, teaming agreements, monitoring of compliance with donor requirements, submission of reports.
    Create and maintain grant records in the ProDIGI Grant management system for all institutional donor contracts.
    Undertake routine donor contract administration for country programmes and ensure all grant files; (electronic, system and paper) are complete and kept up to date.
    Establish a close cross-functional working relationship with the Finance, Communication and Program and other departments and provide advice to ensure synergy in donor budgeting, contract management and reporting.

    Strategy, Capacity Building

    Develop and implement an institutional fundraising and partnership strategy in line with the needs of SOS Children’s Villages Kenya and ensure this is infused within the organizational strategic plan, global IPD Strategy 3.0 and national plans
    Ensuring Senior Management are appraised of all strategic opportunities, challenges and risks in relation to potential funding opportunities, including key relations, grants and contracts.
    Analyzing the funding environment vis á vis SOS Children’s Villages in Kenya’s strategy, plans and priorities, mapping key donors and identifying trends in funding and implications for SOS Children’s Villages in Kenya; Review and implement the recommendations of the donor market survey
    Train and support relevant staff in Project Cycle Management and Logical Framework Approach among other models and approaches for project design and management
    Build fundraising capacity within the programme team, by training staff on proposal development, funding trends and policies, donor relations, reporting, contract management, etc.
    Document learning on the implementation of donor-funded grants and contracts, in order to improve understanding of donor requirements and to improve SOS Children’s Villages in Kenya’s overall grant performance and compliance

    Partnership Development and Networking

    Establish and maintain regular contact with donors by organizing donor roundtables, face-to-face meetings, attending donor forums etc.
    Supporting the HFDC, ND and programme team to develop new and existing relationships with key donors and potential consortia partners
    Negotiate collaboration with partner institutions and government departments in support of SOS Children’s Villages in Kenya subject to approval from HFDC.
    Coordinating and facilitating consortia formation and strategic partnerships with other like-minded organizations/or local implementing partners for joint proposal development processes
    Coordinating capacity assessments and due diligence checks of potential local partners to be included in proposals
    Developing MOUs, pre-teaming agreements or other required documentation in relation to consortium formation and partnership development.
    Represent SOS Children’s Villages in Kenya in sector level meetings (development and humanitarian/emergency) and other networking forums and use this to aggressively develop funding partnerships
    Participate in regional IPD networking and training forums and contribute to development of new IPD strategies to improve practice
    Developing material to help promote SOS Children’s Villages in Kenya amongst potential donors, partners and key Government representatives, including briefings, capacity statements and presentations
    Work closely with the General Secretariat in ESAF regional office and International Office in order to ensure coordinated contact with donors.

    Formal qualifications & Experience Requirements

    Minimum Bachelor and preferably Master Degree, in the Social Sciences (social work, psychology, social-pedagogy, community development or economics) and, additionally, a Project Management qualification.
    Minimum 7 years working experience in the field of Project Management for Institutional Donor funded projects
    He/she should have 7 years’ extensive experience in planning, securing and managing funds from institutional donors as well as a thorough understanding of development programming.
    Potential candidates should demonstrate evidence of medium/large proposals they have developed and won 2M USD)
    A thorough understanding of program design and development especially in the sectors of Education, Health, Livelihoods, Gender and GBV, Child Protection, Advocacy and Emergency Preparedness and Response.
    Experience in social science research; the candidate should have extensive experience conducting assessments, evaluations etc.
    A thorough understanding of Donor Contract Management, Project Cycle Management, and training approaches is required.
    Experience of capacity building non-funding staff in all aspects of funding and contract compliance.

    Demonstrable experience in planning, resourcing, implementing, controlling, monitoring & evaluation of and reporting on projects, preferably in the social sciences arena, including donor-funded programs.

    Proven experience in leading a team.

    Sponsorship Officer

    ROLE PURPOSE:
    Reporting to the Sponsorship Coordinator, the Sponsorship Officer ensures effective and quality management process for the Sponsorship work. He/She will keep in mind the overall purpose of sponsorship is maintaining existing sponsors as well preparing inspiring reports for the new sponsors. She/he will act in the best interest of the child according to the United Nations Convention on the Rights of the Child (UNCRC) guidelines.
    KEY RESPONSIBILITIES
    DIGITAL CONTENT DEVELOPMENT – PHOTOGRAPHY AND VIDEOGRAPHY;

     Create digital content in form of photos and videos for upload in the DS app and IG ADAM as required by the International Sponsorship Office.
     Support in the process of developing the SPO LAB Digital Content at the facility level.
     Review pictures of individual children and make sure they are up to the standards before printing and dispatch to sponsors.
     Makes sure that photographs of all sponsored children are duplicated & labelled according to the number of child sponsors and send to the right sponsors

    COMMUNICATION – Production of Quality Sponsorship Communications in line with Sponsorship guidelines and commitments;

     Ensure all communication is participatory and reflects the child’s voice.
     Ensure the children and young persons Mid and End year reports prepared are a real reflection of their holistic development, high quality and engaging to the recipients both internal and external.
     Download and print all End of year reports from DS app for all sponsors. Prepare and edit Christmas mail (photos, drawing and card) to be dispatched to the sponsor together with the End of year report.
     Ensure accuracy and timely dispatch of information to both the sponsors and the facilities.
     Ensure that all the new children admitted to the villages are properly and timely registered into the DS app.
     Attend to all correspondence from the International Office, the sponsors, and the children promptly as stipulated.
     Prepare child profiles as per international office requests
     Screen parcels and letters from sponsors and dispatch them to respective villages on a quarterly basis.
     Review departure notices prepared by program sponsorship officers, verify the information included on the document is valid and file it accordingly.

    SPONSORSHIP SOFTWARE and POLICY GUIDELINES;

     Support the National Sponsorship Coordinator- the Sponsorship officer will be required to access the IG ADAM and the DS app software for information and weekly updates on Sponsorship.
     Know, understand and comply with the requirements of the International Sponsorship Guidelines on how to use and operate the Sponsorship Software.
     To work with the Sponsorship Services International Policy Support Document and other related Guidelines in order to enhance quality in Sponsorship work.

    DATA MONITORING AND DOCUMENTATION;

     Maintain an organized documentation system that has been laid out for the Sponsorship Department as well as generate feedback to Sponsorship Coordinator.
     Ensure that all children’s and young person’s files have the required legal documentations both internally and externally.
     Continuously update the DS app.

    RELATIONSHIP MANAGEMENT – establish healthy relationships with the stakeholders in

    order to meet the stipulated goals;
     Systematically build and nurture relationships with International sponsors to ensure long-term support.
     Ensure teamwork is adhered to within the department and the entire co-workers.
     Support the children and young persons to understand their responsibility in contributing towards the Sponsorship program while carrying out the sponsorship monitoring and evaluation.
     Drafts and writes memos, takes minutes of sponsorship meetings and gives replies to general queries as instructed.
     Sorts out information for the purpose of children progress sponsorship letters from other sources at the national office.

    CAPACITY BUILDING – Learning & Knowledge Sharing;

     Support in the implementation of the outlined Guidelines in the Sponsorship Policy Documents.
     Conduct trainings during the Sponsorship Facility visits for the SOS mothers and other Coworkers
     Support to facilitate the annual Sponsorship Workshop to Sponsorship Co-workers.

    QUALIFICATIONS/ EXPERIENCE:

    Bachelor’s Degree or equivalent in Business related/ Journalism and Communication studies
    Must have good knowledge of Computer applications, Photography, Videography and Editing.
    A minimum of 5 years of experience in the sponsorship field.
    Previous experience in handling sponsorship work in child -focused organizations is required

    Job Summary:

    Reporting to the Head of Fund Development & Communications, the Institutional Partnership Development Manager supports and leads SOS Children’s Villages in Kenya in the development of partnerships with institutional donors, in order to significantly increase and diversify the financial resources available for National Programs. H/She plays a crucial role in enhancing the capacity of SOS Children’s Villages in Kenya’s team in grant acquisition, effective grant management, and strategic donor engagement, positioning and partnerships with major institutional donors. H/She collaborates with the Head of Fund Development & Communications, the National Director and the Program Team to secure institutional funding for SOS Children’s Villages in Kenya. H/She develops and implements institutional partnership strategies, writes concept papers, proposals and other grant application documents and is a key contributor to the growth of the funding portfolio. H/She also manages the day to day donor relationships with bilateral donors, governmental institutions, embassies and any other relevant national or international organizations.

    Fundraising and Donor Liaison

    Proactively identify institutional partnership opportunities at the national/ local level (from bilateral, multilateral, international organizations and embassies and foundations) that match organizational priorities and donor requirements. Develop a comprehensive database of potential donors and update the same regularly to ensure clear potential funding opportunities for SOS Children’s Villages in Kenya based on thorough research and intelligence gathering
    Writing expression of interests, concept notes and proposals and related applications for both grants and contracts under the strategic guidance of the HFDC. This includes: background research, stakeholder analysis, data collection & analysis, consultation processes, development of narrative proposal, coordination of grant proposal budget development and production of all associated documents to a high standard in accordance with donor requirements
    Develop and maintain good relationships with donors by ensuring regular communication, knowledge exchange and effective reporting.
    Working with the HFDC, be the link between SOS Children’s Villages in Kenya and donors especially in management of institutional funding contracts. Ensure regular communication with the SOS Children’s Villages international and regional offices

    Donor Contract Management

    Prepare and submit IPD monthly updates and quarterly reports to the HFDC and regional office
    Coordinate, monitor and assess the quality of donor reporting making sure that donor requirements are met during the project implementation, monitoring and evaluation and phase/close out
    Responsible for Donor Contract Management (DCM) of institutional (restricted) grants, including contract preparation, development of consortium agreements, teaming agreements, monitoring of compliance with donor requirements, submission of reports.
    Create and maintain grant records in the ProDIGI Grant management system for all institutional donor contracts.
    Undertake routine donor contract administration for country programmes and ensure all grant files, (electronic, system and paper) are complete and kept up to date.
    Establish a close cross-functional working relationship with the Finance, Communication and Program and other departments and provide advice to ensure synergy in donor budgeting, contract management and reporting.

    Strategy, Capacity Building

    Develop and implement an institutional fundraising and partnership strategy in line with the needs of SOS Children’s Villages Kenya and ensure this is infused within the organizational strategic plan, global IPD Strategy 3.0 and national plans
    Ensuring Senior Management are appraised of all strategic opportunities, challenges and risks in relation to potential funding opportunities, including key relations, grants and contracts.
    Analysing the funding environment vis á vis SOS Children’s Villages in Kenya’s strategy, plans and priorities, mapping key donors and identifying trends in funding and implications for SOS Children’s
    Villages in Kenya; Review and implement the recommendations of the donor market survey
    Train and support relevant staff in Project Cycle Management and Logical Framework Approach among other models and approaches for project design and management
    Build fundraising capacity within the programme team, by training staff on proposal development, funding trends and policies, donor relations, reporting, contract management, etc.
    Document learning on the implementation of donor-funded grants and contracts, in order to improve understanding of donor requirements and to improve SOS Children’s Villages in Kenya’s overall grant performance and compliance

    Developing MOUs, pre-teaming agreements or other required documentation in relation to consortium formation and partnership development.
    Represent SOS Children’s Villages in Kenya in sector level meetings (development and humanitarian/emergency) and other networking forums and use this to aggressively develop funding partnerships
    Participate in regional IPD networking and training forums and contribute to development of new IPD strategies to improve practice

    Minimum Qualification and experience

    Minimum Bachelor and preferably Master Degree, in the Social Sciences (social work, psychology, social-pedagogy, community development or economics) and, additionally, a Project Management qualification.
    Minimum 7 years working experience in the field of Project Management for Institutional Donor funded projects
    He/she should have 7 years’ extensive experience in planning, securing and managing funds from institutional donors as well as a thorough understanding of development programming.
    A thorough understanding of program design and development especially in the sectors of Education,
    Health, Livelihoods, Gender and GBV, Child Protection, Advocacy and Emergency Preparedness and Response.
    Experience in social science research; the candidate should have extensive experience conducting assessments, evaluations etc.

    Reporting to the National Director, the Head of the Fund Development & Communications (FDC) provides leadership and spearheads fundraising initiatives in the organization. S/he is expected to achieve growth in local income generated from corporates, individuals, trusts and philanthropic foundations. S/he is to develop/update a strategic vision for the Fund Development and Communications function and roll out a strategy for diversification of income to ensure a growing and diversified income to increase the financial self-sufficiency of the organization. S/he will take the lead in making contact with potential corporate supporters, major donors, individual givers and funders. S/he will spot opportunities to engage, making full use of all our networks and experience as well as carry out rigorous monitoring and evaluation of activities to measure financial return on investment and the impact in relation to our strategic aims. In addition to defining, implementing and fulfilling the medium-term FDC strategy reflected in the National Strategic Plan of the organization.

    Income Growth and Diversification

    Grow existing local annual fundraising net income by a minimum of 5% annually. This will be by among others carrying out fundraising campaigns, donor servicing, donations in-kind, new pursuits to individual and corporate donors
    Recruit new donors both individual and corporate donors to raise additional local annual net income. This will be among others engaging corporates to give for specific causes/campaigns either in cash or donations in-kind and recruiting individuals for either sporadic and committed donations via direct mailing, online marketing, face to face, digital, telephonic, bequests
    Develop partnerships with grant making trusts/Foundations representatives and oversee the preparation of proposals and funding applications to meet funders’ needs
    Service existing donors and retain at least 60% of existing cooperate and individual donors annually

    Financial Management

    Provide input into the annual budget through feasibility calculations.
    Manage actual versus forecasted budgets monthly.
    Analyse variances between income and expenses, and between targets and actuals monthly.
    Manage Fundraising targets and activities monthly.
    Compile and submit monthly FDC reports to the National Director and Quarterly to the Board Committee of FDC.

    People Management and Development

    Provide strong leadership and direction to FDC team and communicate vision and values t team.

    Sponsorship Officer

    ROLE PURPOSE:

    Reporting to the Sponsorship Coordinator, the Sponsorship Officer ensures effective and quality management process for the Sponsorship work. He/She will keep in mind the overall purpose of sponsorship is maintaining existing sponsors as well preparing inspiring reports for the new sponsors. She/he will act in the best interest of the child according to the United Nations Convention on the Rights of the Child (UNCRC) guidelines.

    KEY RESPONSIBILITIES
    DIGITAL CONTENT DEVELOPMENT – PHOTOGRAPHY AND VIDEOGRAPHY;

     Create digital content in form of photos and videos for upload in the DS app and IG ADAM as required by the International Sponsorship Office.
     Support in the process of developing the SPO LAB Digital Content at the facility level.
     Review pictures of individual children and make sure they are up to the standards before printing and dispatch to sponsors.
     Makes sure that photographs of all sponsored children are duplicated & labelled according to the number of child sponsors and send to the right sponsors

    COMMUNICATION – Production of Quality Sponsorship Communications in line with Sponsorship guidelines and commitments;

     Ensure all communication is participatory and reflects the child’s voice.
     Ensure the children and young persons Mid and End year reports prepared are a real reflection of their holistic development, high quality and engaging to the recipients both internal and external.
     Download and print all End of year reports from DS app for all sponsors. Prepare and edit Christmas mail (photos, drawing and card) to be dispatched to the sponsor together with the End of year report.
     Ensure accuracy and timely dispatch of information to both the sponsors and the facilities.
     Ensure that all the new children admitted to the villages are properly and timely registered into the DS app.
     Attend to all correspondence from the International Office, the sponsors, and the children promptly as stipulated.
     Prepare child profiles as per international office requests
     Screen parcels and letters from sponsors and dispatch them to respective villages on a quarterly basis.
     Review departure notices prepared by program sponsorship officers, verify the information included on the document is valid and file it accordingly.

    SPONSORSHIP SOFTWARE and POLICY GUIDELINES;

     Support the National Sponsorship Coordinator- the Sponsorship officer will be required to access the IG ADAM and the DS app software for information and weekly updates on Sponsorship.
     Know, understand and comply with the requirements of the International Sponsorship Guidelines on how to use and operate the Sponsorship Software.
     To work with the Sponsorship Services International Policy Support Document and other related Guidelines in order to enhance quality in Sponsorship work.
     Acknowldge the parcels and letters through DS app
     Upload departure, registration, photos, and progress sponsorship letters on DS app

    DATA MONITORING AND DOCUMENTATION;

     Maintain an organized documentation system that has been laid out for the Sponsorship Department as well as generate feedback to Sponsorship Coordinator.
     Ensure that all children’s and young person’s files have the required legal documentations both internally and externally.
     Continuously update the DS app.

    RELATIONSHIP MANAGEMENT – establish healthy relationships with the stakeholders in

    order to meet the stipulated goals;
     Systematically build and nurture relationships with International sponsors to ensure long-term support.
     Ensure teamwork is adhered to within the department and the entire co-workers.
     Support the children and young persons to understand their responsibility in contributing towards the Sponsorship program while carrying out the sponsorship monitoring and evaluation.
     Drafts and writes memos, takes minutes of sponsorship meetings and gives replies to general queries as instructed.
     Sorts out information for the purpose of children progress sponsorship letters from other sources at the national office.

    CAPACITY BUILDING – Learning & Knowledge Sharing;

     Support in the implementation of the outlined Guidelines in the Sponsorship Policy Documents.
     Conduct trainings during the Sponsorship Facility visits for the SOS mothers and other Coworkers
     Support to facilitate the annual Sponsorship Workshop to Sponsorship Co-workers.

    QUALIFICATIONS/ EXPERIENCE:

    Bachelor’s Degree or equivalent in Business related/ Journalism and Communication studies
    Must have good knowledge of Computer applications, Photography, Videography and Editing.
    A minimum of 5 years of experience in the sponsorship field.
    Previous experience in handling sponsorship work in child -focused organizations is required
    Must be a team player with excellent interpersonal skills
    Strong report writing skills
    High standards of conduct and ethics as well as integrity, appropriate judgment, independence and confidentiality.

    Job Summary:

    Reporting to the Head of Fund Development & Communications, the Institutional Partnership Development Manager supports and leads SOS Children’s Villages in Kenya in the development of partnerships with institutional donors, in order to significantly increase and diversify the financial resources available for National Programs. H/She plays a crucial role in enhancing the capacity of SOS Children’s Villages in Kenya’s team in grant acquisition, effective grant management, and strategic donor engagement, positioning and partnerships with major institutional donors. H/She collaborates with the Head of Fund Development & Communications, the National Director and the Program Team to secure institutional funding for SOS Children’s Villages in Kenya. H/She develops and implements institutional partnership strategies, writes concept papers, proposals and other grant application documents and is a key contributor to the growth of the funding portfolio. H/She also manages the day to day donor relationships with bilateral donors, governmental institutions, embassies and any other relevant national or international organizations.

    Fundraising and Donor Liaison

    Proactively identify institutional partnership opportunities at the national/ local level (from bilateral, multilateral, international organizations and embassies and foundations) that match organizational priorities and donor requirements. Develop a comprehensive database of potential donors and update the same regularly to ensure clear potential funding opportunities for SOS Children’s Villages in Kenya based on thorough research and intelligence gathering
    Writing expression of interests, concept notes and proposals and related applications for both grants and contracts under the strategic guidance of the HFDC. This includes: background research, stakeholder analysis, data collection & analysis, consultation processes, development of narrative proposal, coordination of grant proposal budget development and production of all associated documents to a high standard in accordance with donor requirements
    Develop and maintain good relationships with donors by ensuring regular communication, knowledge exchange and effective reporting.
    Working with the HFDC, be the link between SOS Children’s Villages in Kenya and donors especially in management of institutional funding contracts. Ensure regular communication with the SOS Children’s Villages international and regional offices

    Donor Contract Management

    Prepare and submit IPD monthly updates and quarterly reports to the HFDC and regional office
    Coordinate, monitor and assess the quality of donor reporting making sure that donor requirements are met during the project implementation, monitoring and evaluation and phase/close out
    Responsible for Donor Contract Management (DCM) of institutional (restricted) grants, including contract preparation, development of consortium agreements, teaming agreements, monitoring of compliance with donor requirements, submission of reports.
    Create and maintain grant records in the ProDIGI Grant management system for all institutional donor contracts.
    Undertake routine donor contract administration for country programmes and ensure all grant files, (electronic, system and paper) are complete and kept up to date.
    Establish a close cross-functional working relationship with the Finance, Communication and Program and other departments and provide advice to ensure synergy in donor budgeting, contract management and reporting.

    Strategy, Capacity Building

    Develop and implement an institutional fundraising and partnership strategy in line with the needs of SOS Children’s Villages Kenya and ensure this is infused within the organizational strategic plan, global IPD Strategy 3.0 and national plans
    Ensuring Senior Management are appraised of all strategic opportunities, challenges and risks in relation to potential funding opportunities, including key relations, grants and contracts.
    Analysing the funding environment vis á vis SOS Children’s Villages in Kenya’s strategy, plans and priorities, mapping key donors and identifying trends in funding and implications for SOS Children’s
    Villages in Kenya; Review and implement the recommendations of the donor market survey
    Train and support relevant staff in Project Cycle Management and Logical Framework Approach among other models and approaches for project design and management
    Build fundraising capacity within the programme team, by training staff on proposal development, funding trends and policies, donor relations, reporting, contract management, etc.
    Document learning on the implementation of donor-funded grants and contracts, in order to improve understanding of donor requirements and to improve SOS Children’s Villages in Kenya’s overall grant performance and compliance

    Partnership Development and Networking

    Establish and maintain regular contact with donors by organizing donor roundtables, face to face meetings, attending donor forums etc.
    Supporting the HFDC, ND and programme team to develop new and existing relationships with key donors and potential consortia partners
    Negotiate collaboration with partner institutions and government departments in support of SOS Children’s Villages in Kenya subject to approval from HFDC.
    Coordinating and facilitating consortia formation and strategic partnerships with other like-minded organizations/or local implementing partners for joint proposal development processes
    Coordinating capacity assessments and due diligence checks of potential local partners to be included in proposals
    Developing MOUs, pre-teaming agreements or other required documentation in relation to consortium formation and partnership development.
    Represent SOS Children’s Villages in Kenya in sector level meetings (development and humanitarian/emergency) and other networking forums and use this to aggressively develop funding partnerships
    Participate in regional IPD networking and training forums and contribute to development of new IPD strategies to improve practice
    Developing material to help promote SOS Children’s Villages in Kenya amongst potential donors, partners and key Government representatives, including briefings, capacity statements and presentations
    Work closely with the General Secretariat in ESAF regional office and International Office in order to ensure coordinated contact with donors.

    Minimum Qualification and experience

    Minimum Bachelor and preferably Master Degree, in the Social Sciences (social work, psychology, social-pedagogy, community development or economics) and, additionally, a Project Management qualification.
    Minimum 7 years working experience in the field of Project Management for Institutional Donor funded projects
    He/she should have 7 years’ extensive experience in planning, securing and managing funds from institutional donors as well as a thorough understanding of development programming.
    A thorough understanding of program design and development especially in the sectors of Education,
    Health, Livelihoods, Gender and GBV, Child Protection, Advocacy and Emergency Preparedness and Response.
    Experience in social science research; the candidate should have extensive experience conducting assessments, evaluations etc.
    A thorough understanding of Donor Contract Management, Project Cycle Management, and training approaches is required.

    Demonstrable experience in planning, resourcing, implementing, controlling, monitoring & evaluation of and reporting on projects, preferably in the social sciences arena, including donor-funded programs.

    Proven experience in leading a team.
    Strong MS office skills, preferably with proficiency in using project management software.
    Strong and highly effective communication skills in English including excellent report writing skills.
    Willingness to travel within different the regions, as well as travel within the Sub-Saharan Africa region for experience-sharing and workshops.

    Job Summary:

    Reporting to the National Director, the Head of the Fund Development & Communications (FDC) provides leadership and spearheads fundraising initiatives in the organization. S/he is responsible for the subsidy related financial self-sufficiency targets of the organization. S/he is expected to achieve growth in local income generated from corporates, individuals, trusts and philanthropic foundations. S/he is to develop/update a strategic vision for the Fund Development and Communications function and roll out a strategy for diversification of income to ensure a growing and diversified income to increase the financial self-sufficiency of the organization. S/he will take the lead in making contact with potential corporate supporters, major donors, individual givers and funders. S/he will spot opportunities to engage, making full use of all our networks and experience as well as carry out rigorous monitoring and evaluation of activities to measure financial return on investment and the impact in relation to our strategic aims. In addition to defining, implementing and fulfilling the medium-term FDC strategy reflected in the National Strategic Plan of the organization.

    Key performance areas and main responsibilities:

    In collaboration with the leadership and staff of the organization, effectively manage the FDC department to increase funding and diversify sponsorship opportunities by providing strategic direction and management, which include the following areas:

    Corporate fundraising (campaigns/cause related marketing activities, donations in kind)
    Individual fundraising (sporadic and committed donations via direct mailing, online marketing, face to face, digital, telephonic, bequests)

    Key responsibilities:

    Strategy Development, Implementation and Evaluation

    Study market trends and adapt to drive funding growth
    Define, implement and fulfil the middle-term FDC strategy reflected in the National Strategic Plan and prioritise organisation wide efforts to implementation.
    Ensure the maintenance of the vision, objectives and values of the Member Association (MA).
    Conduct research and analyse trends to conceptualise and formulate innovative ideas and identify new opportunities for the fund development department.
    Periodically evaluate, review and recommend amendments to the fundraising strategy and plan
    Lead and direct the proactive fund development management and understanding of best practices and trends and provide insight and guidance to organization Leadership.
    Analyse and interpret impact on funding partners and provide strategic input into optimising the link between funding and programmes.
    Collaborate with teams across the organization to explore opportunities for income generation, building on each team’s existing contacts and networks.
    Lead and direct the proactive fund development management and understanding of best practices and trends and provide insight and guidance to SOS Children’s Villages in Kenya Leadership.
    Analyse and interpret impact on funding partners and provide strategic input into optimising the link between funding and programmes.
    Establish and manage a network of strategic partnerships and relationships with both internal and external stakeholders to ensure enduring business associations to assist in achieving strategic objectives
    Foster National capacity building in all areas of Fund Development and Communications.
    Initiate and cultivate contacts with corporates, major donors and trusts and foundations, based on an understanding of social networks and the dynamics of how they operate in various social and professional sectors.
    Ensure customization of the Fund Development, Communication and other related SOS KDI policies, standards and guidelines while ensuring they are relevant to the local situation to contribute to a sustainable funding portfolio for the organization
    Ensure compliance to established policies, guidelines/procedures and processes across the organization.
    Conduct research and analyse trends to conceptualise and formulate innovative ideas and identify new opportunities for the Fund Development Function.

    Income Growth and Diversification

    Grow existing local annual fundraising net income by a minimum of 5% annually. This will be by among others carrying out fundraising campaigns, donor servicing, donations in-kind, new pursuits to individual and corporate donors
    Recruit new donors both individual and corporate donors to raise additional local annual net income. This will be among others engaging corporates to give for specific causes/campaigns either in cash or donations in-kind and recruiting individuals for either sporadic and committed donations via direct mailing, online marketing, face to face, digital, telephonic, bequests
    Develop partnerships with grant making trusts/Foundations representatives and oversee the preparation of proposals and funding applications to meet funders’ needs
    Service existing donors and retain at least 60% of existing cooperate and individual donors annually

    Financial Management

    Provide input into the annual budget through feasibility calculations.
    Manage actual versus forecasted budgets monthly.
    Analyse variances between income and expenses, and between targets and actuals monthly.
    Manage Fundraising targets and activities monthly.
    Compile and submit monthly FDC reports to the National Director and Quarterly to the Board Committee of FDC.

    People Management and Development

    Provide strong leadership and direction to FDC team and communicate vision and values t team.
    Set medium to long term goals and objectives for subordinates and actively monitor progress of the achievement of objectives.
    Develop and maintain a high-performance team, and regularly evaluate performance of subordinates to ensure functional objectives are met or exceeded according to established policies and objectives.
    Foster national capacity building in all areas of Fundraising.
    Assure stable employee relations by managing conflict and creating a positive working environment

    Minimum Qualifications & Experience Required

    A Bachelor’s Degree in Resources mobilization, Marketing, Sales, Business Admin, International Business Development.
    Master’s Degree would be an added advantage.
    10 years’ experience in Fundraising / Marketing / Sales
    5 years managerial experience with core knowledge of various fundraising streams
    Understanding NGO`s programmes, operations, best practices and market trends.
    Understanding of the Child and youth development principles (Acquire on the job).
    Good understanding of Giving and Sponsorship.
    Strong negotiation, communication and networking skills.
    Good knowledge of Children`s rights (Acquire on the job).
    Good Knowledge of the sales and fundraising process.
    Understanding of Quality Management principles.
    Knowledge of business and financial practices.
    Knowledge of relevant Kenyan legislation.
