    Position Summary

    Freedom House is seeking a Nairobi based Finance & Administration Associate to support its office in Nairobi. The office will be managing Freedom House programs in Sudan. The Sudan program is focused on promoting human rights and strengthening civil society capacity to engage in peaceful democratic transitions.
    The Finance & Administration Associate will provide administrative, logistical, and financial support for the Nairobi office. The position is based in Nairobi, Kenya and reports to the Grant and Finance Officer.

    Principal Duties & Responsibilities

    Plan and organize logistics for trainings and other interventions.
    Coordinate and maintain relationships with vendors relevant to the implementation of program activities.
    Track and assist in reporting and compliance on project expenses.
    Submit payment requests and reconciliation reports on time and with all required receipts and backup documentation as outlined by Freedom House’s policies.
    Support the reviewing and posting of entries to General Ledger, Accounts Payable and Accounts Receivable.
    In coordination with the Nairobi-based team, Finance Manager and headquarters program and finance staff, assist the financial and grant compliance component of sub-grant programs including assessment of sub-grant applications, assisting in creation of sub-grant documentation and monitoring of financial reporting.
    Support the preparation of detailed monthly, quarterly, and annual financial reports and statements.
    Assist with monitoring cash flow and managing Freedom House’s financial status.
    Assist with the effective functioning of the office support systems including negotiations with the landlord, vendors, and other service providers in the most cost-effective manner.
    Assist with maintaining internal controls to ensure compliance with financial policies and regulations.
    Other duties as assigned by the Finance Manager.

    QUALIFICATIONS:
    Education:

    Bachelor’s degree or high diploma in accounting, finance, business, economics, or related field.

    Experience:

    Minimum 1-3 years of experience in a finance and/or administration related role
    Knowledge of MS Office Suite, specifically Excel and Word, and Quickbooks.
    Experience organizing logistics for conferences, workshops, and trainings.
    Prior experience working with the financial and grant compliance aspect of sub-grant programs preferred

    Ability to effectively write reports, maintain documentation, and complete required forms.

    About the role
    This role is responsible for growing Christian Aid’s institutional funding portfolio in our programmes in Kenya and supporting countries across the region in donor engagement, design, bids and ensuring strong contract management on their funds from institutional donors.     The primary objectives of this short-term consultancy are:

    To create visually engaging and informative graphics that visually represent governance structures of international financial institutions and disparities.
    To craft key messages that effectively convey the issues related to governance deficiencies in international financial institutions and how the same disproportionately undermines the development efforts of developing countries.

    Deliverables:

    The Ideal Candidate
    Designing graphics and key messages to illustrate the structural deficiencies in the governance of financial institutions, requires a strategic approach to communicate complex information effectively. This assignment requires a highly skilled and experienced individual in graphic design for online engagement. Specifically, the ideal candidate must have the following the qualifications:

    At least five years of continuous working experience in developing layout and production design with Non-Governmental Organizations (UN and other international organizations)
    A minimum of 5 years of experience in graphic design experience for online materials (website, social media).
    Proficiency in design software such as Adobe Creative Suite (Photoshop, Illustrator, InDesign, etc.) or other industry-standard design tools.
    Strong creative and artistic skills, including the ability to think outside the box and come up with innovative design solutions and messages.

    Overall Objective

    The 2023 Assembly will feature both plenary sessions and break-out workshops. The interpreters will be expected to accompany the Spanish and French speaking attendees throughout the event, providing simultaneous interpretation to facilitate their participation in the sessions.
    We are expecting 4-5 French speaking delegates (from Democratic Republic of Congo), and 4 Spanish speaking delegates (from Latin America). Please note, a level of flexibility is required as some days may require the interpreter to stay for an extra hour. This will be discussed with the interpreter on each day.

    Assignment

    The consultants will be assigned to do various interpretation assignments required by the Assembly during the 3 days in early November 2023 .

    Budget and Terms of Payment

    Upon completion of the assignment, the applicant will submit an invoice describing the work completed and amount due based on their hourly rate and expenses incurred (up to an amount agreed between Christian Aid Kenya and the applicant). Payment will be made to the applicant upon the project’s completion.

    Time frame

    The assignment will require a Level of Effort (LoE) not exceeding 3 working days from the date of signing the contract. Lunch and snacks at the venue will be provided by Start Network.     The consultant (s) must have the following qualifications and experience to be eligible for this assignment:

    Experienced and preferably certified interpreter with capacity interpreting from and to English, Spanish and French.
    Native proficiency in one of the targeted languages (French, English or Spanish) and fluency on the language of interpretation.
    Accredited translator/s, translation certification required stating languages qualified to translate.
    Sound interpretation, flexibility, and attention to detail.
    Accredited certification preferred.

    The purpose of this evaluation is to provide an independent assessment of the responses under the appeal to establish its impact, relevance, effectiveness and efficiency. It will also support members to learn from each other’s achievements and provide lessons for future programming. Learning from the evaluation will support CWS and CA together with their local partners to improve the implementation of similar projects in the future.

    Specific Objectives of the evaluation:

    To assess the extent to which the appeal responses have met its objectives as per the approved appeal document.
    To assess the appeal responses against relevant core humanitarian standards
    Create evidence for accountability and inclusivity under the appeal responses
    To assess the extent to which the ACT secretariat has contributed to the achievement of the project objectives.

    Intended users of the evaluation***.***

    The intended users of the evaluation are the following stakeholders:
    ACT Kenya Forum members and their implementing partners, ACT secretariat/ other members and donor members of HEA221.
    The stakeholders will use the evaluation findings to assess achievements, and challenges and identify ways through which implementation of similar projects could be improved.

    Approach and Methodology

    The consultant will adapt a methodology appropriate to the context and scope of the evaluation and will be responsible for developing their own plan and tools to be approved by CA and CWS to collect and analyze data. It is expected that the methodology used will rely predominantly on qualitative data. This will include but not limited to partner sessions through KII and desk reviews and community sessions through FGDs. This will be characterized by data collection where the consultant will put it in an evaluation report.

    Proposed Timeframe

    The evaluation will be conducted in November 2023 and will commence at the signing of the contract. Presumably, 20 working days would be required for the task, which can also be decided upon discussions during inception. The final report will be due by the 30th of November 2023.

    Evaluation management and values

    The consultant must not compromise the values of CWS, CA or other implementing members and should address systematic inquiry, competence, integrity, respect for people, and common good and equity.
    The evaluator is expected to sign the ACT Code of Conduct and comply with the CHS General Data Protection and Requirements annex.

    Expected Outputs

    It is expected that the consultant will produce a report of max 20 pages excluding annexes covering the findings, lessons learnt, quotes by participants from the process and case studies where applicable.
    The consultant(s) will also lead a presentation of their main findings to key stakeholders, which will include members of the Kenya ACT forum.

    Professional Qualifications of the Team

    Advanced university degree in a relevant field.
    Experience in the use of participatory research methodologies
    Core competencies for the evaluation of projects, including designing, conducting and managing evaluation processes, survey design and implementation, research, project management and monitoring.
    Working knowledge of the Core Humanitarian Standards, Charter for Change, and the Grand Bargain.
    Knowledge of the humanitarian context regarding ASAL counties of Kenya as well as its vulnerable communities.
    Strong skills in community facilitation and facilitating FGDs with community members.
    Proven experience in the evaluation of projects in ASAL counties of Kenya, ideally Marsabit itself.
    Computer literacy (MS Office tools).
    Well organised and independent, able to meet deadlines.
    Excellent spoken and written English, proficient for report writing.
    Ability to constitute a team that includes both males and females and members who can speak the dialect in Marsabit county.

    Role Context

    This is a demanding role that requires flexibility and speed, good political judgement and strong writing and analytical skills. It will be approximately 40% externally focused and 60% thought leadership and policy analysis. Skills will include an ability to work well and collaborate across teams and functions, synthesise information, and strong analytical and communications skills. This role will work closely with relevant programme, humanitarian, development, peacebuilding and advocacy colleagues on some of the most complex and fragile crisis contexts in which we work.  It will advise UK and international level advocacy particularly targets at for example, the EU,  OCHR and UN Department of Political Affairs on protracted crises such as  Afghanistan, Ukraine, and East Africa ( contexts to be decided after prioritisation process with the International Department) and when  appropriate any other countries which descend into crisis. The role will  challenge long-term drivers and root causes of fragility and conflict which compound vulnerability and escalate the severity of crisis contexts. We believe that humanitarian intervention, peacebuilding and long-term development are interconnected. We work towards capacity for a localised response to crises, and a durable transition from violence to peace. Christian Aid believes that an effective response to a humanitarian crisis requires a coherent mix of immediate emergency response to meet lifesaving needs; longer-term resilience interventions to strengthen community capacities to cope with future shocks; and advocacy to tackle root causes of the crisis.     About you

    The post-holder will be an expert who has experience working in and on crisis settings who can evidence publishing cutting edge analysis. Used to advocating within global influencing spaces at the highest-level,  they will drive  impact on complex crisis contexts undertaking evidence-based policy development and  transforming this into impactful advocacy products such as reports, speaking on panels etc.  

    The Crisis Contexts lead  will understand fragility, its drivers and the political economy of crisis  and how this is impacted by restrictions on civic space.  They will also be able to suggest solutions for example  in conflict settings steps towards  building peace and resilience. Working diplomatically and in conjunction with the International Department and policy and advocacy colleagues, this role will facilitate processes to bring together country staff, humanitarian, development, peacebuilding and advocacy colleagues with strategic advisers to fully understand and analyse the above and extra-territorial country contexts, and draft policy and advocacy responses to address specific crises.   The post-holder will use a feminist and decolonised approach to all their work. 

    Using their  knowledge and experience they will identify and prioritise a few contexts where Christian Aid has unique added value and build  a strategic influencing pathway to change. Working  with senior allies in peer organisations and think tanks, to identify political opportunities for change in even the most forgotten, complex or intractable crises. They will  build coalitions of the willing with external allies to advance a policy agenda with global and UK targets. Working closely with the Global Advocacy Lead, the Chief of UK Advocacy and Policy, and relevant humanitarian and From Violence to Peace  colleagues, the post holder will take an active lead in lead the development and implementation of a crisis contexts strategy  and in steering and managing appropriate advocacy responses to crises, this will always be done  in close coordination with country staff as well as develop where appropriate country specific products.

    Essential
