    Role purpose

    The main role of the Finance SME is to ensure the Global Financial Data Model and the Agresso system are implemented in Country offices. The work with Country offices will include explaining the Global Financial Data Model and working with other CAPP SMEs to support Country offices to understand the impact of implementing the full CAPP global solution. This includes working with and advising the Country teams on what additional financial data they need to satisfy local reporting requirements, help them with mapping from their current data model to the global data model and explain to them how key financial processes will work in the future state, such as budgeting and recording of expenditure. The Finance SME will also work closely with other members of the wider project team and Country teams to explain the standard Agresso system solution and confirm with the Country offices that this is fit for purpose for them or whether they have any additional requirements.

    Accountabilities

    Fully understand and manage successful knowledge transfer and explanation of the Global Financial Data Model’s key concepts, attributes, and definitions to our Country offices, to enable them to effectively perform an impact assessment including developing Country Office specific guidance and training materials
    Guide Country offices in doing their current state and change impact analysis (on processes, systems and people) of the introduction of the Global Financial Data Model in their office. As part of this conduct Change impact assessments of existing finance processes to determine the impact of the new coding model on future state and support countries to prepare for implementation 
    Guide the Country offices in doing the mapping of their current data model to the global data model and support them to work through any accounting and budgeting problems they may find. Support Country offices in thinking through how they will execute key financial processes and reporting when they adopt the new financial data model
    Partner with Regional Change Managers, Country / Regional Office teams, wider SMEs etc. to review and quality assure data and any associated processes requiring change. Execute the Programme Data Migration Strategy to ensure that all new codes are generated, and data is migrated and tested on time
    Carry out testing of the system changes to ensure that they are in accordance with the design documents and meet the needs of stakeholders at country, regional and SCA level. Carry out testing of the migrated data to ensure they are in accordance with the agreed Data mapping rules and actively investigate and follow up on any discrepancies, pulling in IT as needed
    Ensure that any issues or solutions that have an impact on the Country Office deployment scope are brought to the relevant governance groups for review and approval, before any final decisions are made on how to proceed
    Engage with CAPP project stakeholders including through the Finance working group, preparing content as required. Act as CAPP Programme team representative in all non-project meetings and forums as required
    Serve as part of the Finance Functional team on the CAPP programme with a flexibility to support and help on other pieces of work that have the highest priority for the programme
    Actively share knowledge with other Finance SME’s working in other workstreams of the programme

    ROLE PURPOSE:

    The Driver is responsible for safe driving of vehicles for save the children Kenya programme and staff to include, cleaning and ensure proper maintenance of vehicles of vehicles in compliance with Safe driving standards ensuring the vehicle is fueled in time for trips and the proper management of fuel supply for the assigned vehicle and in accordance with SC policies and procedures. 

    SCOPE OF ROLE: 

    Reports to: Programme Support Service Officer

    Dimensions: Save the Children has been operational in Kenya since 1984, providing support to children through developmental and humanitarian relief programmes delivered both directly and through local partners. Current programming focuses on child protection, child rights governance, education, health, HIV/AIDS, livelihoods, nutrition and WASH. Save the Children has an operational presence in Dadaab Refugee Camp, Eldoret, Habaswein, Mandera, Meru and Wajir. Currently, we have a staff complement of approximately 270 staff and a confirmed budget of approximately US$15 million this year.

    Staff directly reporting to this post: Driver. 

    Driving and Maintenance:

    Maintain vehicle log and fuel consumption documentation
    Keep the vehicle document folder up to date
    Prepare daily vehicle usage report, including trip use, mileage and fuel consumption
    Providing periodic usage report of vehicles including total mileage, fuel consumption and expenditure
    Maintain valid driver license, registration and valid permits all the time
    Organise the transport of supplies directly to SC designated location of use.

    Control of Vehicles

    Ensure that all vehicle journeys are authorized in advance by line managers
    Ensure that all vehicle journeys to be recorded in the logbook at the start and completion of journeys
    Ensure that keys and vehicle documents are kept in secure place when the vehicle is not in use
    Ensure that she/he wears the vehicle safety belt and all passengers also wear seats before driving the vehicle.

     Accidents

    Ensure that the line Manager is immediately informed of any accidents and the accident reported to the police as appropriate and as soon as possible.

    Save the children has no passenger policy- this relates to all non-agency personnel and is for reasons of safety, the continuance and equity of the programmes.

    Save the Children may give lifts to agency and governmental staff on occasion for the benefit of the programmes- see passenger policy for details.

    SC reserves the right to refuse entry to a vehicle any staff member without identification documents or who cannot be identified by SC staff. 
    In the event of medical emergency.

    vehicle checks: 

    Check the vehicle prior to its use in the morning and after use
    Check the vehicle before departing for work
    Check, on taking over a vehicle and ensure that the items listed on the vehicle checklist and in the vehicles tools and materials inventory are present and in functioning order.

    Vehicle defects: 

    A driver is to check for vehicle defects and damage to the vehicle and ensure that he reports them to his line manager. After consulting a mechanic, the line manager will make the decision as to whether the vehicle should be taken off the road for repair
    Report and supervise all maintenance and repair needs of assigned vehicle.

    Cleanliness and Visibility

    The driver is responsible for ensuring that the vehicle is kept clean on the outside and inside at all times. The driver is also to keep the vehicle tidy and ensure that all dirt is removed from the vehicle after a journey.
    Driver is to ensure SC visibility protocols are adhered to at all times.

    Other

    Follow and abide by traffic rules, regulations, driver safety manual and any other instructions given by supervisor
    Maintain all vehicle safety equipment, as per vehicle safety kit, in liaison with the logistics officer- including first aid kit, communication equipment and fire extinguisher.
    Work after duty hours or holidays as and when required and in prior notice from the line manager
    Perform any other duty as requested by authorised persons.

    The Global Translations Unit provides innovative and accessible solutions to linguistic needs, advises on best practice, manages complex translation and interpreting requests, and raises awareness of language as a key component of inclusivity and the localisation agenda. The unit is currently recruiting an English to Arabic Translation Specialist.
    The role holder will establish and develop key relationships between the Translations Unit, Save the Children International’s global teams, subject matter experts, country office staff, freelance linguists and external language suppliers to ensure high-quality, consistent translation services and robust knowledge management and sharing.
    The successful candidate will translate, proofread and edit diverse and complex documents from English to Arabic, adapted to the relevant locale, often under tight timeframes. Arabic to English translation of short text may occasionally be required (proofread by English native speakers). Working closely with SCI’s Arabic-speaking country offices and subject matter experts, they will lead on establishing English to Arabic terminology preferences at global level that incorporate cultural and linguistic differences across the MENA region. Responsibilities also include working within cloud-based project and translation management tools and drafting Arabic language guidelines and style guides.
    The role holder will develop training sessions on translation tools, key terminology, style and tone of voice guidelines and deliver them to relevant colleagues and translation suppliers.

    The role holder will be part of a core compliance team of five lawyers and two paralegals, who are responsible for leading on the management of legal, regulatory and compliance matters relating to Save the Children International’s operations in over 50 countries worldwide.

    We’re looking for a mid to senior lawyer to join our brilliant, dynamic team of legal and compliance specialists, where you’ll have the opportunity to lead on fascinating, challenging and meaningful work as part of an innovative and ambitious organization whose mission is to inspire breakthroughs in the way the world treats children, and to achieve immediate and lasting change in their lives.

    The Legal Counsel’s principal role will be to support the Head of Legal Compliance with the management of SCI’s relationship with its regulator, the Charity Commission, including overseeing the reporting of serious incidents to the Charity Commission and SCI’s Trustees. The role holder will also be responsible for ensuring that SCI’s end to end process for serious incident reporting is as effective and efficient as possible and for working with SCI’s Global Teams to identify trends in incidents. 

    The successful candidate will also be expected to support on internal investigations, disputes and crises and provide strategic advice to the wider organization, including senior stakeholders, on other legal compliance matters, such as fraud, sanctions, anti-money laundering and data protection and UK statutory reporting. They will also have line management responsibility and will be involved with the legal team initiatives relating to well-being and pro-bono.

    In the event of a major humanitarian emergency, the post-holder may be expected to work outside the normal job description and be able to vary working hours accordingly.

    Role Purpose

     Under the supervision of the Senior HR and Administration Coordinator, the HR Assistant is responsible for various HR tasks, including maintaining and updating HR databases (e.g., recruitments and contracts), maintaining employee records, supporting HR info graphics, providing payroll support, and offering HR administrative support to the department.

    Additionally, the HR Assistant supports the Senior HR and Administration Coordinator in tracking online contract management trackers, updating NEA returns, managing personnel records, and conducting personnel file audits.

    SCOPE OF ROLE:

    Reports to: Senior HR and Administration Coordinator.

    Save the Children has been operational in Kenya since 1950 and in Madagascar since 2016. As of 2024, Save the Children operates throughout Kenya & Madagascar with 10 field offices, approximately 450 staff, managing portfolio of USD 40million. In 2023, we directly reached more than 780,000 people through our humanitarian and longer-term development work in Health, Nutrition, Water, Sanitation & Hygiene (WASH), Education, Food Security and Livelihoods (FSL), Child Protection and Child Rights Governance. The Country Office oversees more than 45 active awards totalling $40 million from a variety of governmental and institutional donors, including some of our largest donors such as USAID, ECHO, EU, LEGO, BHA, and FCDO.

    KEY AREAS OF ACCOUNTABILITY :

    Human Resource Information System.

    Work closely with HR Coordinator:

    Assist in updating the Oracle HRIS system with setting up new starters, amending personal details, updating contract information, updating of line management and transfer of performance documents appropriately when needed.

    Personnel records management and NEA Returns 

    Working closely with the Line Manager and ensure the employee data to the NEA and FKE is prepared on yearly basis and submitted, and the certificate of compliance is generated and filed.

    Record Management:

    Working Closely with Senior HR& Administration Coordinator in ensuring: 

    Creation of new physical personnel files for all new joiners at least 3 days to the date of joining.
    Creation of new e-personnel files for all new joiners at least 3 days to the date of joining
    Indexing of all physical and e-files as per the existing system. Updating the indexes twice per month to include new joiners and leavers
    Support with all audits are supported-External, Internal and Statutory.
    Ensures that all personal files and administrative records are complete and kept up to date according to the HR FILE AUDIT checklist.
    Auditing all personnel files is done on a quarterly basis. Ensuring checklist in physical personnel files is true reflection of what is in e-files.
    Completing the current e-file audit project ending 31st December 2024.
    All documents channelled to the HR department are filed in respective folders/files at least 6 hours after receipt.
    Statutory compliance records NEA, SHIF, NSSF and KRA are updated in a timely manner
    Prepare documents for signing by the Country Director, Finance and HR departments as well.
    Ensure all the old personnel files are transferred to the warehouse and stored well,
    Ensuring new staff sign the confidentiality forms during the signing of policies and file.

    HR Communications and Infographics

    Working closely with Senior HR &Administration Coordinator in ensuring:

    Monthly HR metrics and reports are accurate and a true reflection of content in HR Oracle system.
    Payroll communications are designed and shared with staffs in time.
    Learning Management System (LMS) communications to all staff are shared on monthly basis.
    Timely management and updating of the Learning Management System (LMS).
    Timely updating of HR Trackers-Recruitment, RnR tracker, revolving and contract trackers (both offline and online database) and staff list as well.

    ROLE PURPOSE: 

    All Save the Children programming in Kenya aims to develop and demonstrate evidence-based, replicable breakthrough solutions to problems facing children.  It is essential that good quality programme work and learning is then communicated to civil society, government actors, donors and other practitioners to advocate for better practices and policies for children. 

    Save the Children works with the Ministry of Health at National and County level through a health system strengthening approach. Through our advocacy work, we are ensuring that we are the voice for children especially in our programme areas that have some of the most deprived children in Kenya. Our approach to advocacy is based on the following key principles: 

    Evidence (research and policy): our advocacy work draws directly on our programmes and is informed by evidence and best practices generated by our Monitoring, Evaluation, and Accountability and Learning (MEAL) systems and by our research. One example is the annual global report on mothers and children, the State of the World’s Mothers.
    Influence (media and advocacy): Our advocacy work engages all media and aims to catalyse public opinion and influence decision makers to bring about change. 
    Outcry (mobilization): in partnership with civil society, children and community led initiatives, we mobilise children and communities to claim their rights and to monitor their implementation. 

    The Advocacy & Policy Officer  will:

    Coordinate all health and nutrition related policy, advocacy and programme learning work at county level in Mandera County as well as at National level with support from relevant technical specialists and the country office Head of Advocacy and Communications.

    The post holders will work closely with County and Sub County Health Management Teams, with the scope of the role including development and implementation of a county advocacy plan focused around health and nutrition with a special focus on maternal and new-born health, identifying and participating in county level health and nutrition networks that Save the Children can be a part of to contribute to wider agenda for children’s health and survival; identifying targets and processes to use learning to influence policy formulation/policy change/policy implementation; developing a research agenda to advance learning and policy on issues affecting the health and nutrition of children and mothers; packaging information/research findings and developing appropriate communication channels for dissemination of information/research findings; project documentation and dissemination; capacity building, learning and knowledge management.

    The Advocacy Officer will be responsible for implementing strategic MNH advocacy, learning and policy support to the area office.

     Responsible for the development and delivery of an annual implementation work plan on MNH for the area office. 
    Support Climate Change and Child health/rights advocacy initiatives at the county level.

    Support the Health and Nutrition team in identifying policy and practice change, which would promote and protect the nutrition and health of children in Mandera.
    Support and feed into advocacy efforts at the national level for policy change to allow CHPs to treat uncomplicated wasting & pneumonia under iCCM.
    Support policy & implementation framework development for CHS bill & Disability bill.
    Formulate key MNH advocacy messages and targets from lessons learned, assessments, research and evidence gained through project implementation.
    In collaboration with other CSO’s, support budget advocacy for nutrition intervention to enhance resource allocation for child survival interventions at county level. 

    Advocacy and Communications

    In liaison with Advocacy coordinator, mapping of key opportunities and events, organisation of Save the Children ‘moments’ and events. 
    Support dissemination of key policy and advocacy messages (for health and nutrition to influence county government, and partner’s position on MNH. 
    Lead in influencing county government, political processes and key decision-making structures on issues related to nutrition for mothers and children.
    Conduct power mapping to identify and engage key influencers in the County for increased resource mobilization and allocation to child survival interventions.
    Support the CHMT to revise and cost health, nutrition and emergency contingency plans in case of eventualities within the two counties, including through the use of household economy analysis (HEA) Baseline and Response Analysis information.
    Contribute to the development and dissemination of policy briefs/IEC fact sheets and county profiles to get nutrition on to the policy agenda at the county levels.
    Support in county level monitoring and evaluation of advocacy and policy related activities on MNH for the area office.
    Advocate and create public awareness on fortified foods in the market, supplementation and dietary diversification through linkages with nutrition sensitive partners.

    Building Partnerships 

    Identify local networks, coalitions and alliances to influence the policy and practice landscape on MNH.
    Representing Save the Children at strategic forums, networking with strategic CSOs and other social movement processes that are relevant to Save the Children’s policy work nutrition platforms.
    Support area offices to build partnerships with communities and programme beneficiaries in establishing accountability mechanisms, capacity building and knowledge management.
    Support the capacity building of programme and field staff and key partners on advocacy through training, sharing best practices and supporting learning and knowledge management. 

    Programme Development & Management 

    Participate in Save the Children programme meetings and related sessions to draw out/or articulate advocacy messages in programmes. 
    Keep abreast of current research, national and donor policies and debates in Kenya, relevant to advocacy for nutrition. 
    Support programme managers to monitor and evaluate child survival communication and advocacy activities within budgets

    At least 3 years’ experience in advocacy work, as well as contributing to the development and implementation of advocacy strategies. Experience working within Kenya Health systems is an added advantage.

    ROLE PURPOSE: 

    The MEAL Officer will be a part of the Monitoring, Evaluation, Accountability, and Learning (MEAL) team, supporting implementation of the overall MEAL system. They will assist MEAL team with activities, including data collection, database management and analysis, maintaining the Output Tracker (OT) and the Indicator Performance Tracking Table (IPTT), assisting with planning field visits, post-distribution monitoring, assessments and evaluations, as well as providing general support in data entry and management.  S/he will support the MEAL team and programme team to ensure learning and accountability systems are put in place and working effectively while maintaining high professional standards of all our Programmes.

    KEY AREAS OF ACCOUNTABILITY: 

    Monitoring.

    Ensure that projects have solid MEAL plans, Indicator Performance Tracking Tables and log frames and well updated in PRIME and Output trackers.
    Take lead and work with the project leads to update the indicator tracking tables and provide necessary MEAL guidance regarding project performance. Supporting projects to development systems and processes for the implementation of M&E plans based on Save the Children best practice.
    Take lead in the development of tools and guidelines for data collection, collation and reporting, for instance ensure that projects have clear MEAL plans, IPTT as well as tracking of total beneficiary reach.
    Support design and monitoring of quality benchmarks and take lead in monitoring project quality benchmarks to ensure that project quality standards are not compromised.
    Manage information generated through MEAL activities, such as complaints and feedback databases, action tracker etc. Additionally support the utilization of the information gathered for program improvements
    Support monitoring of field level activities with quality benchmarks and course correction action planning 
    Support and/or promote utilization of data generated through MEAL activities and events such as monitoring visits, baselines, assessments, reviews, real time evaluations etc.;by conducting regular and/or periodic trends analysis and producing short and precise internal reports in line with SCI requirements
    Plan and conduct Routine Data Quality Assurance (RDQA) in collaboration with County staff for the reported data to ensure that data reported is validated, is accurate and consistent while providing feedback as necessary to program teams.
    Contributing to programme updates for the response management and internal information sharing, on a regular basis.
    Consolidate output tracker data and support Programme Managers with data collection processes needed for Humanitarian reporting like situational reports.
    Undertake regular post distribution monitoring to ensure project performance, quality, timeliness and accuracy vis-à-vis logical framework approaches (LFAs), results frameworks, performance monitoring plans and emerging best practices.;

    Evaluation

    Coordinate various assessments and surveys including recruitment and training of Research assistants, coordinating and supervision of collection and analysis of data.
    Keeping track of project baselines, assessments, reviews, evaluations – tracking trends and recommendations, progressing their implementation where appropriate.
    Support and participate in planning, implementation and follow-up of evaluations, for instance writing TORs, preparing literature review packs, planning evaluator itineraries, planning staff workshops, report review. 
    Providing support during internal/external reviews, evaluations, and lessons learned activities.

    Accountability:

    Maintain and update action tracker for the projects while ensuring that actions agreed upon from debrief meetings with program teams are actioned.
    Support programming and field staff to ensure that projects are carried out with participation from all affected communities (including children) and that information is shared with affected communities.
    Ensure strong accountability mechanisms are set up and monitored, that information is correctly shared with beneficiaries through the most appropriate mechanisms and that beneficiaries actively participate in project activities. 
     Maintain and update a complaints and response mechanism database for tracking feedback from communities and ensure that the feedback/complaints are responded to.
    Build capacity of other program staff to undertake accountability including ensuring participation of communities and sharing information with communities as well as undertake accountability assessments.

    Professionally document and proactively share information and learning from projects with Save the Children staff and stakeholders as necessary.

In Feb 2014, we completed a second transition, which saw us join forces with the British INGO, Merlin, and merge their health and nutrition programmes with our own.  Save the Children now has an operational presence in Bungoma, Dadaab Refugee Camp, Garissa, Mandera, Turkana and Wajir and we work through partners in many other parts of the country. In 2016, Save the Children established a new project office in Madagascar whose operations are managed by the Kenya CO. In total, we employ around 250 staff in both countries and had an operating annual budget in 2019 of approximately US$13.5million.  Save the Children is currently a member of NAWIRI consortium (Kenya Development Food Security Activity: Program for Resilient Systems) which is led by Mercy Corps and is being implemented in Turkana and Samburu counties.

    Experience working with USAID funded project and familiarity with USAID/FFP M&E guidance and requirement is an added advantage
    Experience of, and commitment to working through systems of community participation and accountability
    Demonstrated strong monitoring and evaluation skills, including planning/participating in evaluations
    Ability to write clear and well-argued assessment and project reports
    Technical expertise in various data analysis software and proven experience using mobile technology for data collection with experience of electronic data collection using tablets or other devices.
    Exceptional analytical and problem-solving skills and experience with statistical/graphical software or spatial software. 
    Proven experience with current technologies, such as web-based data management and analysis tools, digital data collection, mapping, Google applications, data visualization, interactive dashboards, etc
    Ability to work independently and as part of a team
    Strong communication and interpersonal skills, with experience working in multicultural, multi -location, values driven teams.

    Desirable

    Experience working in arid and semi-arid land (ASAL) settings preferred.
    Highly developed cultural awareness and ability to work well in an international environment with people from diverse backgrounds and cultures
    Experience working with complex/large USAID funded project and familiarity with USAID/FFP M&E guidance and requirement is an added advantage
    Experience of managing private and international donor funded projects
    Experience of training and capacity building 
    Some experience of representation and ability to represent SC effectively in external forums.
