  • Finance Assistant

    Overview

    Reporting to the Finance Officer, the Finance Assistant will provide day-to-day support service to the implementation of project interventions and be responsible for reviewing field expenses and liquidations from project staff. Further, s/he will support payable and administrative functions as well as contribute to the preparation of timely donor reports.

    Responsibilities

    Provide guidance on and implement CMMB’s financial policies and procedures and donor compliance requirements
    Record all financial transactions accurately, completely and in a timely manner in line with the Chart of Accounts through the Abila software (MIP) accounting system

    Ensure sound financial management and compliance activities of assigned grants/projects and office operational activities to include:

    Monitoring of project budgets and expenses
    Preparation of vouchers, cheques, Mpesa and EFT payments and processing of payments
    Invoicing/tracking of accounts receivable and cash receipts;
    Maintain, Record and Reconcile petty cash accounts
    Liquidation of employee receivables in line with manual records/expense forms from staff
    Conducting site visits and training/mentoring of project staff.
    Preparation of bank reconciliations, filing of all accounting vouchers and documents
    Ensure all financial assets are adequately recorded, safeguarded and all financial documents are securely filed
    Ensure availability of accurate, complete and timely financial information for decision making purposes by senior management
    Record, count and update the Asset and Inventory Register regularly.
    Participate in other program implementation activities and miscellaneous finance duties as required and assigned by the Finance Officer.

    Qualifications

    You have a bachelor’s degree in Commerce (BCOM) or Business Administration majoring in accounting or Finance
    You have a minimum of at least two (2) years of accounting experience in a similar capacity working with an international NGO on donor funded project projects
    You have Professional Accountancy Qualifications (CPA II/ACCA II)
    You possess a high degree of integrity, and a strong commitment to CMMB’s mission
    You demonstrate strong inter-personal skills and the ability to transfer knowledge and visit project sites
    You have hands on application of Microsoft Office, (Word, Excel and PowerPoint); working knowledge of Abila (Sage) accounting software preferred

    Excellent verbal and written communications skills to include conflict resolution, priority management, and managing expectations of multiple clients

    Reporting to the Country Director and working closely with the Senior Management Team, the HR Officer will support CMMB’s mission by providing efficient and effective HR service for the Kenya Country Office. You will be responsible for managing the full HR cycle that includes recruitment, new-employee orientation, performance management, employee relations, staff benefits & payroll, HR database management, staff training and development. You will ensure that the Country Office HR programs are implemented in compliance with Kenyan Employment Act and CMMB’s organizational policies and procedures.
    Responsibilities
    Recruitment
    In consultation with hiring managers, the job holder will manage the recruitment process. This includes: recruiting, sourcing and identifying talent including having proactive discussions with hiring managers about vacant roles.
    Advertise vacant positions, maintain a data bank of received applications. prepare shortlists of candidates, conduct interviews in liaison with hiring managers.
    Prepare employment contracts and facilitate probation evaluation.
    Conduct reference check for successful candidates.
    Plan and conduct orientation for all new staff.
    Liaise with relevant government agencies and other bodies on employment related issues.
    Ensure new staff submit on time complete pre-employment requirements and forms.
    Develop job descriptions for new positions and update existing ones as necessary.
    Prepare recruitment reports.
    Staff benefits & Payroll Management
    Ensure the Country Office compensation and benefits package is regularly updated and understood by all staff.
    Manage staff medical cover and other benefits in line with the HR handbook.
    Liaise with benefits providers for renewal, communication and other staff support.
    Preparing monthly payroll amendment memo and coordinating the monthly payroll with Finance office.
    Support Finance & Administration team during salary payments and ensure pay slips are issued on a monthly basis.
    Oversee the staff welfare activities in CMMB Kenya.
    Staff Database Management & Filing
    Maintain an organized filing system and personal files as per the HR handbook for all staff.
    Maintain leave records and updating leave tracker.
    Ensure that staff employment contracts are up to date.
    Prepare regular HR reports.
    Conduct the HR FILE AUDIT checklist on quarterly basis to ensure that personnel files are complete, organized , and secured.
    Staff welfare, Disciplinary Actions and Grievances
    Serve as the Country Safety and Security Focal Point ensuring the safety and well-being of CMMB staff and coordinating all health and safety activities.Plan annual staff welfare activities.
    Participate in investigation and disciplinary hearings as required.
    Advise managers in dispute and conflict resolution.
    Conduct regular staff orientation and training on CMMB’s HR programs (e.g. employee handbook, benefits & illness prevention, harassment, code of conduct, etc)
    Exit management
    Conduct exit interviews, analyze findings and submit recommendation to reduce staff turnover.
    Facilitate exit clearance in liaison with line managers and other departments.
    Liaise with Finance Team to calculate terminal benefits and issue service certificates.
    Policy & Procedures:
    Ensure all staff read and understand all policies and procedures, handle any queries regarding the policies.
    Provide interpretation and advise to line managers on labour laws application.
    Performance management
    Advise staff and line managers on CMMB’s performance management process and tools.
    Track completion of performance objectives and reviews for all staff and submit regular status update to the Country Director.
    Ensure that all newly hired staff have completed probationary performance reviews.
    Qualifications and Experience:
    A bachelor’s degree in HR, Administration, Management or any other relevant field.
    Higher Diploma in Human Resource Management
    Member of the Institute of Human Resource Management
    At least 5 years’ experience, 2 of which should be in an international NGO.
    Proven knowledge and direct experience in at least two of the following areas; recruitment; compensation and benefits, employee relations and communications, performance management and HR practice.
    Thorough understanding of labour laws
    Ability to coordinate and prioritize conflicting assignments
    High sense of professionalism and confidentiality

    The Position: Under the leadership of the Country Director, the M&E Officer will develop and implement the monitoring and evaluation framework ensuring high quality and timely inputs.

    Responsibilities
    Implement monitoring and evaluation systems and tools for the ongoing review of projects in the CMMB implementation region, using approved indicators and targets, to measure progress and make recommendations for improvement.
    Ensure harmonization of monitoring and evaluation system and tools with the Ministry of Health and global monitoring and evaluation system and tools.
    Work with project sites to introduce and implement information systems to ensure proper and accurate collection of performance data from the implementing projects including data capture, analysis, and utilization and archiving.
    Build the capacity of the project teams and support them to effectively introduce and maintain the information systems. This includes conducting training and mentorship sessions and evaluation of workshops.
    Together with the program managers, facilitate/support CMMB staff in the revision of site-specific work plans and strategies.
    Support regular data collection by ensuring all points of contact are clear on deadlines and reporting requirements.
    Preparing project reports as per the donor/government requirements, including responding to data audits and inquiries from the donor.
    Compile appropriate and disaggregated data and write narrative reports for submissions for website, annual reports, donor reports, other briefings and/or policy documents as required.
    Support implementation of baseline and other surveys, such as project reviews, and mid-term and end-of-project reviews.
    Build and maintain positive relationships with all members of staff, and contacts within and outside the region.
    Participate in M&E national working groups as directed by the Country Director.
    Contribute to proposal writing and quality assurance of log-frames and M&E in proposals.

    Qualifications and Experience:

    At least 5 years of experience in the design and implementation of M&E/MIS in development projects implemented by national/international NGOs/ Government.
    Experience in designing tools and strategies for data collection, analysis and production of reports;
    Proven ICT skills, especially in the development of MIS software using database software;
    Expertise in analysing data using statistical software;
    Experience in project management life cycle including proposal writing.

    Project Scope:

    To carry out a research survey to understand the drivers and influencing factors around access to non-communicable disease (NCD) medication and treatment. Study will include supply chain issues, as well as diagnostic and healthcare delivery components. The Research is intended to help outline existing resources, systems, and innovations, as well as the strengths and weaknesses of each. The findings from this research will inform CMMB’s program design and development in ensuring responsiveness of the interventions and align our access to medicines programming to address the current and emerging issues. The research will generate knowledge for catalysing the increased access to treatment and the optimal utilization of NCD services. The activity will result in a research paper that will be publishable in an appropriate journal.
    The survey is targeting 26 hospitals in 10 counties in Kenya, including Nairobi, Machakos, Kitui, Makueni, Siaya, Migori, Homa Bay, Nyamira, Kwale and Mombasa.
    Reporting to the Monitoring and Evaluation Coordinator, the Research Assistants’ role will include the following:

    Data Collection:

    Help gather data from various sources, such as government reports, health surveys, and hospital records. This may involve contacting relevant organizations and institutions for data access.
    Conduct interviews with healthcare professionals, policymakers, and community members to understand their perspectives on NCDs.
    Participate in field data collection activities, which could involve surveys, measurements, or observations in different communities across Kenya.

    Data Management:

    Assist with data entry and cleaning to ensure accuracy and consistency.
    Organize and code data for analysis using software programs Provided.
    Participate in preparation of data visualizations such as charts and graphs to present findings.

    Data Analysis:

    Help in analysis of quantitative and qualitative data to identify patterns and trends related to NCDs in Kenya.
    Contribute to the creation of maps and other visual aids to represent the geographical distribution of NCDs.
    Participate in discussions with the lead researcher to interpret the research findings.

    Minimum Qualifications and Competencies
    Education:

    Be a holder of Bachelor’s degree in a relevant field such as Public Health, Geography, Environmental Science, Social Sciences, Statistics, or a related discipline.

    Experience:

    Previous research/data collection/Analysis experience.

    Skills:

    Ability to conduct literature reviews, analyze data (quantitative and qualitative), and interpret findings.

    Under the leadership of the CHAMPS Project Manager, the Community Health Officer will ensure community-based and facility based – delivery of RMNCH services in CHAMPS through effective coordination and function of the community health volunteer system whilst inter-phasing with the link health facilities. As such, he/she will directly oversee the work of CHVs and the CHEWs while actively engaging and providing technical support to community health committees. The successful candidate will also directly provide technical support to health care providers and the facility management committees. For this critical synergistic function, he/she will ensure that routine health data feedback forums with county and sub county Health Management teams and members of community leadership are conducted. 

    Responsibilities

    Program quality and capacity building
    Provide support for the implementation of maternal and child health activities in the health facilities supported by the program
    Provide support in the design, implementation and follow up of routine monitoring and supervision plan in liaison with the CHMTs; including joint monitoring plans and mentoring plans and ensure action points are followed and actioned.
    Support and coordinate technical trainings, mentorship, and CMEs to health care providers to fill identified skill gaps for provision of quality services
    Ensure Quality Assurance and Quality Improvement measures in maternal and child health

    Monitor CHV system performance including effective household visitation, coverage of MNCH services at household, service quality, on-time CHV data reporting, data quality, data analysis, and monthly data dissemination within the program as well as with MoH
    Ensure that all project documentations are well organized and easy to access.
    Work with the M&E Officer to prepare the required donor project narrative reports, collect weekly, monthly, and quarterly performance data, as well as other reports needed/required by the donor and CMMB.
    Collaborate closely with other CHAMPS project officers to ensure activities are harmonized, integrated, and multisectoral as much as possible.
    Ensure systems are put in place to ensure maternal and child health information required to monitor progress and impact are implemented

    Department Summary

    The Marketing, Communications & Brand Management Department is responsible for implementing and evaluating the success of CMMB’s marketing, communications (external and internal) and brand efforts nationally and in each geographic location to ensure that CMMB is recognized nationally and internationally to generate and optimize revenue and develop and market programs that achieve the CMMB vision and strategic plan.

    Job Summary

    The Director of Communications will design, create and execute communications strategies and plans that will promote CMMB’s messaging and brand, and showcase the impact of its work to internal and external audiences. They will manage and lead multi-channel promotional strategies and integrated campaigns that tell the CMMB story, and that drive engagement and fundraising. The Director of Communications will oversee advertising and branding, content creation, digital communications, media relations and thought leadership, and social media.
    The position requires strategic thinking, leadership, innovative ideas, exceptional writing and editing skills, and the ability to convey complex ideas clearly using consistent messaging and storytelling tactics.

    Key Responsibilities
    Strategy and Planning

    Develop, guide and execute the communications strategy and the annual communications plan to advance CMMB’s strategic goals and brand identity.
    Work closely with the Strategy, Marketing and Communications team to coordinate these efforts.
    Create and implement compelling campaigns and special initiatives with emotive and motivating stories and materials to strengthen CMMB’s brand, advocacy and fundraising efforts.
    Form strong relationships with staff in country offices; collaborate with communications leads to develop and implement integrated communications strategies across the globe.
    Collaborate with fundraising and marketing teams on communications strategy for donor cultivation, acquisition, engagement and retention. Create compelling campaigns across all channels to reach new audiences, increase the number of supporters and build loyalty. Work with the fundraisers to coordinate the implementation of campaigns and content across channels and segments.

    Content Creation

    Direct and develop a compelling annual report that tells the story of the organization and its programs and reflects the brand, voice and global impact.
    Design and implement an internal content request and review/approval system for gathering and creating stories, photos, and other content required to support organizational-wide communications efforts.
    Come up with creative concepts and oversee the production and distribution of multi-media content, including, but not limited to writing and designing ads, acknowledgement letters, audio slide shows, blogs, emails, e-newsletters, issue briefs, reports, photo shoots, postcards, telemarketing scripts, social media posts and videos.
    Provide leadership and strategic direction to team members and country office staff for multi-media content gathering trips. Oversee the development of standard operating procedures, templates and guidelines for these visits, to ensure consistency in gathering content across program sites and registering content into internal systems.
    Manage team to maintain all graphical and digital assets.

    Digital Communications

    Provide leadership and strategic direction to evolve and refresh the website.
    Strengthen CMMB’s SEO practices, including the development of SEO guidelines; train communications staff on SEO guidelines when writing content to improve SEO performance.
    Oversee content and design updates to the website, with input across departments.
    Provide direction on donor experience and fundraising campaigns across the website.
    Oversee and lead the creation of web pages for CMMB’s five country offices.
    Develop a global social media and content strategy and plan to increase CMMB visibility and engagement among different audiences and across channels.

    Media Relations and Thought Leadership

    Identify and develop reputational risk mitigation and communications strategies.
    Author key messages, talking points and positioning statements; train senior leaders, staff and volunteers on organizational messaging.
    Provide leadership to the team, coordinating and researching opportunities for author and co-authorship of white papers, book chapters, op/eds and other opportunities, as relevant.
    Identify conferences, forums or other events where CMMB leadership and experts can speak to the organization’s work, issues or campaigns. Oversee the development of global collateral and promotional materials, supporting CMMB’s presence at conferences, meetings, and events.
    Develop an earned media strategy and pro-actively place stories that promote the organization’s issues, campaigns and programs and that elevate the voice of CMMB board, staff, donors, partners, program participants and volunteers.
    Build and strengthen relationships with journalists, with an emphasis on reaching new audiences.
    Collaborate with program experts, country leadership and Executive Team members to develop an advocacy communications strategy that aligns with the organization’s brand and mission; serve as communications liaison to coalition partnerships, such as the Frontline Health Workers Coalition.

    Advertising and Branding

    Develop and refine the brand voice and maintain brand integrity; ensure the consistency of CMMB messaging and tone of voice among internal and external stakeholder groups and across platforms.
    Develop, lead and execute the organization’s advertising campaign, including digital ad promotions, to increase brand awareness. Track, measure and report on the impact of the advertising strategy.
    Create and distribute brand merchandising to global staff and volunteers.

    Management

    Recruit, develop, manage and retain talent in the communications team.
    Supervise three direct reports, as well as interns and volunteers, as needed.
    Effectively communicate organizational priorities, strategic direction and results with direct reports for continued commitment and active engagement.
    Assess and improve the processes and systems within the department to maximize the effectiveness and efficiency of staff time.
    Develop a measurement and evaluation plan to assess the impact of the department’s work and to help inform strategy.
    Provide direction, performance goals and regular feedback to ensure department goals and targets are met.

    Qualifications & Requirements

    Bachelor’s degree in communications, English, Journalism, Marketing, PR or a similar field. Master’s degree preferred.
    10+years of well-rounded professional experience in branding and communications, preferably with an international non-profit organization.
    Minimum of 3 years of progressive leadership and management experience required.

    Overview

    You will support the day-to-day implementation of project interventions and be responsible for realization of project deliverables within their areas of operation. Further, you will support operationalization of program quality, documentation, experience sharing and learning initiatives introduced by the project as well as contribute to the preparation of timely donor reports.

    Duties and responsibilities

    Specifically, the inters will work closely with the Program team, Finance team and the M&E Teams to perform the following tasks:

    Monitoring, Accountability, Evaluation and Learning Interns:

    Promote innovative/effective methods towards achievement of project objectives.
    Support documentation processes of project success stories, best practices, lessons learnt and other project innovations and learnings.
    Supervise and mentor community resource people towards creating and enabling environment for program beneficiaries.
    Support implementation of community-based project activities to ensure adherence to set quality standards.
    Monitor the performance of peer educators, community adolescent treatment supporters, CHVs and community advisory boards and continuously mentor them as needed.
    Work with the Project and M&E teams to collect monthly and quarterly performance data, as well as other reports needed/required.

    Qualifications

    University Degree in relevant field.
    Communication skills, computer literacy (MS Word, Excel, Power-point)
    Good report writing skills .
    Experience in community health work within a public health focused Non-Governmental Organization is an added advantage.
