    Overview
    Reporting to the Senior Finance and Administration Manager, the Logistics Assistant/Driver will be responsible for the safe driving and care of CMMB vehicles and property. He/she will at all times comply with the traffic regulations and the Organizations’ policies and regulations on vehicle Management as well as the Kenya Traffic Act CAP 403, Laws of Kenya.
    Responsibilities
    Perform daily, weekly, monthly transport duties.

    Drive Cmmb vehicles, and or equipment as shall be assigned by the Supervisor in a safe and economical manner in conjunction with the regulations in place.
    The Driver is responsible for the routine check-up of the vehicles, routine check-up to include but not limited to oil, brake function, water, lights & tire condition, windshield wipers, etc.
    Confirm availability of vehicle tools and equipment’s before, during and after work.
    The Driver shall always maintain assigned vehicles clean and in good condition, properly for the convenience of the Organizations’ operations.
    The driver shall always stop the engine and electric power of assigned vehicles to save consumption of fuels and the general vehicle engine performance.
    He/she shall ensure compliance with the given directives.
    The Driver shall handover the assigned vehicles by doing a comprehensive handover report before departing for leave.
    Produce weekly records of approved mileage traveled
    Assists with logistical matters, e.g., deliveries, visa applications, statutory payments, picking up and collecting mail from post office and other errands as assigned.
    Performs other duties as assigned by supervisor

    Ensure safety of the vehicle /passengers /materials.

    Embrace ownership, caution and responsible behaviour while driving to avoid any form of intoxication.
    Ensure safety of passengers on aboard Cmmb vehicles.
    Ensure vehicle first aid kit and fire extinguishers and other vehicle safety equipment are available and in good condition.
    He/She shall carry only authorized passengers as per the Organization policies on vehicle management
    The driver shall strictly observe Traffic Rules and Regulations and maximum speed limit as prescribed by the Traffic Act, Laws of Kenya.
    The driver shall at all times park the vehicles at the designated parking area/secure place with all doors and windows locked, keys kept safely.
    Ensure that all passengers are on safety belts for trips within, and outside Nairobi
    The driver shall always drive vehicles safely and comfortably and must exercise defensive driving while on the road to prevent accident
    Reckless driving shall be sufficient ground for the driver’s recall and consequently be a cause of disciplinary action
    He/she shall adhere to Safety and Security regulations/SOPs

    Ensure all vehicles legal documentation or condition is met by the organization.

    Check validity of vehicle insurance covers, road license and Police inspection stickers.
    Ensure the assigned vehicle is serviced as stipulated in the periodic servicing schedules.
    Report license expiry dates to the Supervisor on time to facilitate renewals.
    The Driver shall update vehicles logbook particulars by making right entries.
    Clearly indicate in the Drivers’ log book the amount of fuel taken and location.

    Reporting of accidents and incidents

    Report immediately to the Police and Supervisor; not accepting liability on behalf of Cmmb.
    Present a comprehensive report to the management within 24 hours.

    Qualifications

    Minimum of Kenya Certificate of Secondary Education and Valid Driving license class BCE.
    You have 5 years of relevant work experience
    You have significant relevant training or experience in defensive driving
    You have a valid Certificate of good conduct.
    You have good communication, writing & interpersonal skills

    Overview                                     
    Reporting to the Senior Finance and Administration Manager, the Procurement & Logistics Officer’s role is to provide logistical, procurement and hands on support to all related to formulation, planning, budgeting, implementation, monitoring, compliance, reporting and closeout activities for program and office operations
    Responsibilities

    To be responsible for processing procurement requests in accordance with the CMMB Kenya procurement policy.
    Provide comprehensive guidance on and ensure full implementation of CMMB’s logistics, procurement and administrative policies and procedures and related donor compliance requirements
    Responsible for follow up and timely delivery of supplies to the field sites in line with project implementation.
    To be responsible for establishing detailed requirements for office supplies, equipment and other goods required for workshops and meetings.
    Ensure that requisite quotes are obtained from the list of approved suppliers and ensure that such purchases are adequately supported by Local Purchase Orders (LPOs), Invoices and Delivery notes.
    Manage the organization’s fleet and ensure field fleet security by making necessary arrangements or coordinating any evacuation that may be needed
    To be responsible for coordinating travel and accommodation for project staff, volunteers and visitors by making relevant travel arrangements and hotel bookings. Liaise with the approved travel agents to source tickets in accordance with the approved procedures.
    Ensure there is an up-to date stores inventory and stationery records.
    Ensure procurement and administration documents are scanned and filed accordingly.

    Qualifications

    Lead the overall CHAMPS implementation, project management, and monitoring and evaluation processes in Kenya.     Financial Management

    Overview
    Under the direct supervision of the CHAMPS Program Coordinator Officer The WASH Project Officer will generally oversee the implementation of Public Health and Social Aspects of WASH project in Athi ward in Kitui South sub-county.
    Responsibilities Training

     Identification of training needs and organization of the appropriate trainings for intended beneficiaries including CHVs, community leaders, school health club patrons, health care workers among others.
    Identification of key hygiene practices to be addressed in schools, health facilities and in homes and to engage the community in defining appropriate communication strategies for safe WASH practices

    Supervision

    Mobilization of the affected communities for participation in design, construction, operation, and maintenance of WASH facilities and services.
     Undertaking water quality (microbial, physical and chemical) analysis and purification of water using potable water quality kit, as per water quality technical guidelines approved by the government/WHO.

    Planning and Coordinator

    Qualifications

    CMMB is seeking professionals, 21 years and older, who can serve for a minimum of 6 months in the following public health volunteer positions:

    Public Health Generalists serve in CMMBs country offices and CHAMPs sites providing support to our country directors and programs team through a range of programmatic support activities. They receive exposure to a broad base of global health and community development programs and are able to put their knowledge and skills to work in a field office setting.
    MNCH, WASH, HIV, E-Health, Malaria Experts contribute their expertise in support of CMMB programs around the world; designing, implementing, and evaluating diverse initiatives in collaboration with CMMB Country Directors, partners and National Ministries of Health.
    Nutritionists are needed in Peru and Zambia to support ongoing programs related to child development and health education.
    Health Administrators provide critical support as we engage with clinical partners to improve human resources for health and facility operations. This is particularly important in Haiti where CMMB is opening the Bishop Joseph Sullivan Hospital in Cotes-de-Fer.

    Required Skills/Experience:

    Must be 21 years old
    Master of Public Health degree (or related field).
    Community Health Worker Certification preferred.
    Experience working with or knowledge of USG-supported cooperating agencies such as USAID and CDC, and international counterpart organizations useful.
    Detail-oriented with strong organizational skills; strong problem-solving skills.
    Ability to be flexible and prioritize projects and tasks effectively; self-starter; takes initiative.

    Job Description
    The Position: Reporting to the Senior Manager Finance & Administration, the Finance Officer will support the mission, goals and operations of the Catholic Medical Mission Board (CMMB) in Kenya through the provision of accurate, complete and timely professional financial services.
    Job Responsibilities

    Provide guidance on and implement CMMB’s financial policies and procedures and donor compliance requirements
    Ensure that all accounting transactions are processed accurately, completely and in a timely manner in line with the Chart of Accounts through the Abila software (MIP) accounting system
    Support the monthly preparation of the financial accounts and their timely submission to New York; and ensure the integrity of the intra—company account
    Assist in the financial management and compliance activities of assigned grants/projects and office operational activities to include:
    Formulation and monitoring of project budgets and expenses;
    Examination and verification of payment schedules, purchase, orders, work orders, consultant agreements, expense reports and travel advances for accuracy and evidence of authorized approval authorities;
    Preparation of vouchers, cheques, Mpesa and EFT payments and processing of allocations (ie salaries) based on proper supporting documentation, authorized approval authorities and budget availability;
    Invoicing/tracking of accounts receivable and cash receipts;
    Monitoring of project cash flows, and preparation requests for cash advances;
    Reconciliation of petty cash accounts
    Liquidation of employee receivables in line with manual records/expense forms from staff
    Preparation of donor and compliance-related reports;
    Conducting site visits and training of project staff; and
    Timely project liquidations and quarterly/end of project financial closeouts
    Ensure adherence to CMMB indirect cost recovery policy and the transparent and timely calculation and allocation of shared direct costs
    support in the management of project and organizational assets
    support the review and revision of sub grantee agreements and budgets
    Assist in the management of the accounts payable and receivable functions
    Assist in the preparation of bank reconciliations
    Assist in the review/preparation of payrolls to include accuracy of salary payments and related statutory/payroll deductions, and their timely remittance to staff and vendors (ie PAYE, NHIF, NSSF, SACCO, various insurance companies)
    Support partner and annual audit preparations
    Ensure all financial assets are adequately safeguarded and all financial documents are securely filed
    Ensure availability of accurate, complete and timely financial information for decision making purposes by senior management
    Assist in other program implementation activities and miscellaneous finance duties as required and assigned by the Senior Manager Finance & Administration

    Qualifications:

    Bachelor Degree in Commerce (BCOM) or Business Administration majoring in accounting or Finance
    Professional Accountancy Qualifications (CPAK/ACCA)
    Minimum of (3) years of accounting experience in a similar capacity working with an international NGO on donor funded project projects
    Possess a high degree of integrity, and a strong commitment to CMMB’s mission
    Demonstrate strong inter-personal skills and the ability to transfer knowledge and visit project sites

    Proven written and verbal proficiency in English

    Reporting to the Country Director and working closely with the Senior Management Team, the HR Officer will support CMMB’s mission by providing efficient and effective HR service for the Kenya Country Office. You will be responsible for managing the full HR cycle that includes recruitment, new-employee orientation, performance management, employee relations, staff benefits & payroll, HR database management, staff training and development. You will ensure that the Country Office HR programs are implemented in compliance with Kenyan Employment Act and CMMB’s organizational policies and procedures.
    Job Responsibilities

    In consultation with hiring managers, the job holder will manage the recruitment process. This includes: recruiting, sourcing and identifying talent including having proactive discussions with hiring managers about vacant roles.
    Advertise vacant positions, maintain a data bank of received applications. prepare shortlists of candidates, conduct interviews in liaison with hiring managers.
    Prepare employment contracts and facilitate probation evaluation.
    Conduct reference check for successful candidates.
    Plan and conduct orientation for all new staff.
    Liaise with relevant government agencies and other bodies on employment related issues.
    Ensure new staff submit on time complete pre-employment requirements and forms.
    Develop job descriptions for new positions and update existing ones as necessary.
    Prepare recruitment reports.
    Ensure the Country Office compensation and benefits package is regularly updated and understood by all staff. Manage staff medical cover and other benefits in line with the HR handbook.

    Staff welfare, Disciplinary Actions and Grievances
    Serve as the Country Safety and Security Focal Point ensuring the safety and well-being of CMMB staff and coordinating all health and safety activities.
    Plan annual staff welfare activities.
    Participate in investigation and disciplinary hearings as required.
    Advise managers in dispute and conflict resolution.
    Conduct regular staff orientation and training on CMMB’s HR programs (e.g. employee handbook, benefits & illness prevention, harassment, code of conduct, etc)
    Conduct exit interviews, analyze findings and submit recommendation to reduce staff turnover.
    Facilitate exit clearance in liaison with line managers and other departments.
    Liaise with Finance Team to calculate terminal benefits and issue service certificates.
    Ensure all staff read and understand all policies and procedures, handle any queries regarding the policies.
    Provide interpretation and advise to line managers on labour laws application.
    Advise staff and line managers on CMMB’s performance management process and tools.
    Track completion of performance objectives and reviews for all staff and submit regular status update to the Country Director.
    Ensure that all newly hired staff have completed probationary performance reviews.

    Qualifications

    A bachelor’s degree in HR, Administration, Management or any other relevant field.

    Member of the Institute of Human Resource Management
    At least 5 years’ experience, 2 of which should be in an international NGO.

    The Programs Department plays a critical role in achieving CMMB’s strategy around improving the lives of women and children, by leading the provision of high quality programs focused on children’s and mothers’ health, and particularly in the development and implementation of our CHAMPS model. This team is also responsible for generating revenue from and partnering effectively with government(s), major foundations, and other major donors, and will help to position and enhance CMMB’s technical capacity and reputation in the field of global healthcare.
    CMMB has been working in Kenya for almost 15 years. CMMB works to ensure that the most vulnerable populations, especially mothers and children, have access to quality services in health care, health promotion and illness prevention.
    Overview
    You are responsible for the overall leadership and management of the CMMB Kenya country portfolio. CMMB’s current portfolio in Kenya includes: CMMB’s CHAMPS programs and a variety of HIV/AIDS focused programs, which are funded from bilateral and multilateral grants/contracts, contributions from private individuals and institutions, Volunteers, and gifts-in-kind of medical supplies.
    You must be an innovative thinker, ready to empower staff to achieve CMMB corporate strategic goals, and lead change initiatives which ensure that CMMB maximizes its mission and vision. You will direct the implementation of all aspects of CMMB Kenya’s programs, in partnership with the global staff of CMMB, ensuring the quality and impact of its health program in Kenya. You must be well-versed in office repositioning and able to oversee changes to program operations, finance, and human resources.
    In this position, you will report to the Senior Vice President, Programs and Volunteers, based in CMMB’s headquarters in New York City, and receives technical and other support from additional U.S.-based staff and teams. As CMMB’s representative in-country, you have overall responsibility and accountability for all of CMMB’s programs, finances, assets and legal standing in Kenya.

    Lead the overall CHAMPS implementation, project management, and monitoring and evaluation processes in Kenya. Work closely with CMMB Headquarters in developing and implementing CHAMPS sites in Kenya, supporting their development with detailed proposals with an eye on ensuring high-quality program logic that can be feasibly delivered within proposed local context, including maximizing integration with governmental, multilateral, and bilateral and other grant portfolios, as possible.
    Ensure that CMMB-managed health programs have the appropriate technical staff to lead programmatic activities, overseeing program staff and providing technical and program management input, as appropriate.
    Coordinate with partners and lead, guide and manage CMMB in-country staff to ensure programs meet their project goals, objectives and targets.
    Ensure consistent program monitoring and evaluation activities, including necessary site visits, to measure and report, on a timely basis, project and program outcomes. Share success stories with CMMB globally for communications purposes.
    Manage volunteer placements and programmatic grants, as well as any pharmaceutical donations.
    Ensure Monitoring and Evaluation processes are implemented to provide measurement of achievement and progress toward project goals.

    Resource Mobilization

    Raise the profile of CMMB through effective marketing materials and outreach.
    Develop partnership relationships and ensure the organization has good business intelligence related to funding opportunities.
    Develop new program and funding opportunities for CMMB at the country level and/or regionally in conjunction with Senior Vice President, Programs and Volunteers, and the Director of Business Development. This includes ensuring proper approval, timely submission of creative and well-written proposals that are compatible with CMMB’s strategic direction and Country Office priorities.
    Ensure programmatic successes are documented for individual and institutional donor fundraising purposes.

    Human Resources Management

    Provide leadership of all country operations, establishing a cohesive management team and clear reporting roles for all levels of program and staff management.
    In collaboration with HQ Human Resources VP, design and implement a coherent organizational structure that is consistent with CMMB’s practices and appropriate to program needs.
    Support, encourage and help build up the capacity of the coordinators and managers to effectively execute CMMB Kenya’s program strategies.
    Ensure CMMB Kenya operates in compliance with local labor laws and requirements.

    Financial Management

    Demonstrate sound stewardship and ensure strong financial management and protection of the organization’s assets.

    With the assistance of the Finance Team, ensure that systems are in place for the proper control of assets, funds, equipment, property and facilities.
