    Reporting to: OPERATIONS AND TECHNICAL MANAGER
    Department: Technical Operations
    Duties and Responsibilities Include:

    Serve as the main point of contact for all communication to clients regarding certification matters
    Liaise and follow up on prospective audits with clients, prompting and converting them into confirmed audits at least three months to the expiry of the current certificate.
    Managing the application process in a maximum of 7 working days. Receiving the applications and liaising with the scheme managers for application approvals and confirmation of audit dates to the client once approved by the Scheme Managers
    Issuing clients with the necessary contracts and sublicence agreements, ensuring that the same are signed before engagement.
    Coordinating with finance team by availing all information necessary for quote generation
    Liaising with the calendar manager to slot prospective, tentative and confirmed audits in Kenya, Rwanda, Ghana and Cote d’Ivoire
    Generating and dispatching audit plans to the clients
    Communicating with the audit team by sending them the relevant documents needed for audit planning and execution in good time
    Consistently adhere to scheme protocols on matters to do with application and registration processes necessary to uphold accreditation of AfriCert
    Familiarize yourself with the quality manual, internal Operating standards and Finance policy and be bound by the provisions herein
    Continuously research on best recommended practices, operational improvements to management via monthly progress reports
    Convert new business leads into business in conjunction with the Business Development Manager
    Effective complaint resolution and regularly channel client feedback to the management
    Any other duties which may be assigned to you by the Technical Manager and the Human Resource Manager from time to time

    Qualifications 
    Personal Attributes:

    Bachelor’s degree-in Public Relations/Communication/ Sales and Marketing from a recognized academic institution
    At least 5 years’ experience in a customer facing role
    Good knowledge of the agriculture landscape in Africa
    Amiable personality, outgoing and ability to withstand work related pressure.
    Proven ability to work under minimal supervision.
    Proficiency in Microsoft Office

    Duties and Responsibilities:

    Minimum Requirements for the Job :

    University degree-in Horticulture or Agriculture or Food science course or business and international relations course
    Trained and passed by IRCA Lead auditor course ISO 9001:2015
    Trained and passed in Social standard and audited as a support or lead auditor in the standard
    Experience in agriculture sector more than 3 years in auditing standards e.g. RA, UTZ, GLOBALGAP as an auditor, Social standards
    Training skills
    Experience working with Enterprise Resource Planning ERP and UTZ multitrace
    Auditing experience of COCOA crop in RA or UTZ standard
    Currently auditing GRASP, 4C and ISO 22000 as well as other crops is an added advantage
    Audited or experience working with the standards: GG, GRASP, 4C, UTZ, RA
    Knowledge of relevant information systems and tools necessary to carry out quality monitoring activities on the certification process Such as (but not limited to) Microsoft Excel, Rainforest Alliance Learning Network, and Rainforest Alliance CB Management platform.

    Processing invoices, payments, requests for payment as per company procedure.
    Raising of quotations and invoices for different clients, for approval per as instructions.
    Managing and posting petty cash transactions.
    Updating and maintaining accounting journals, ledgers and other records detailing financial business transactions (e.g., disbursements, expense vouchers, receipts, and accounts payable).
    Dealing with client queries and issues.
    Handling VAT and other statutory deduction returns.
    Provision of financial information for audit purposes when required.
    Generation of trial balance.
    Verifying suppliers’ accounts by reconciling monthly statements and related transactions.
    Undertaking monthly bank reconciliations.
    Any other accounting assigned to him/her.
    Qualifications for the Accounts Assistant Job
    Business degree in accounting and at least CPA Part 2 or any Business related course from a recognized institution.
    Proficiency in both computer applications and accounting packages especially QuickBooks.
    Minimum 1 years’ experience in a busy accounting environment preferably private sector.
    Ability to understand and apply current accounting guidelines, system and policy updates.
