    Requirements for the Position of Grant Accountant and Administrator Grade F/10
    This is a middle-level position in the University and appointment is on a two (2) year renewable performance-based contract.
    Qualification
    Applicants must have a Bachelor’s degree in Commerce or its equivalent from a recognized university. In addition, the candidate must:

     Have CPA (K) or its equivalent.
     Have knowledge of ERP (Enterprises Resource Planning).
     Proficiency in computer applications

    Experience

    The applicants must have a minimum of three (3) years relevant experience in a large or busy organization, at the level of an Accountant (Grade E) or its equivalent with proven integrity, honesty, experience in handling multi-currency transactions and compliance to deadlines.

    Responsibilities will include but not be limited to:

     Provide administrative and functional support to the PU-IDeAL 2.0 project to ensure the project’s efficient and effective implementation.
     Liaise with IDeAL 2.0 PU Principal Investigator (PI) and Steering Committee on a regular basis for proper planning and coordination project activities.
     Prepare inter-ledgers and bank reconciliation statements and assist in periodic audits.
     Ensure adherence to internal controls and full compliance to the donors’ rules and regulations as provided in the relevant PU Administration Handbook/Policies/Manuals.
     Prepare accurate financial statements and schedules.
     Prepare annual budgets and ensure compliance.
     Mentor and provide guidance to staff in the Finance Department.
     Assist in planning, scheduling, preparing and coordinating meetings, conferences, exhibitions, and open days by handling logistics to ensure smooth operations.
     Act as point of contact for both internal and external clients to ensure that customers, staff and students are attended to efficiently and that there is maximum customer satisfaction.
     Maintain a good filing system for documents and records generated.
     Co-ordinate and participate in planning and implementation of the project activities.
     Participate in preparation of work plans and progress reports.
     Assist in requisitions for project activities and surrender of imprest in a timely manner.
     Process and follow up on all procurement related needs for the programme in alignment with public procurement guidelines.
     Manage the programme calendar of events with the relevant offices both internal and external.
     Logistical planning of project activities.
     Manage the execution of events including meetings, workshops and other work-related gatherings within the project by ensuring prior bookings of venues and circulation of invitations to the relevant personnel.
     Perform any other duties as assigned by the project PI and Head of Section/ Department.

    Distribution of procured ICT equipment to departments/campuses to ensure equitable and effective use of ICT resources.
    Management of ICT equipment inventory by updating the database regularly to identify any losses and recommend for upgrade.
    Management and track user work tickets to ensure proper use of university resources and assets.
    Create user accounts in the Domain Name Server for all staff members for official communication.
    Install and configuring antivirus software and manage the antivirus server software to combat new viruses and protect university computers and information from any vulnerability.

    Experience

    The candidate must have a minimum of two (2) years relevant working experience with proven integrity, independence, innovativeness and compliance to deadlines.

    Key Responsibilities

    Liaise with academic staff to discuss timetables, material requirements and workplans
    Keep record of all teaching and learning resources in the laboratory
    Organize for maintenance and repair of equipments and laboratory resources
    Support lecturers and students in class and laboratory sessions.
    Provide technical advice to staff and students
    Work with individual lecturers/students and support them in production of learning materials
    Control usage of teaching and learning material in the microteaching laboratory.
    Ensure that all health and safety procedures are understood and followed correctly
    Coordinate work in the laboratory to ensure efficient use of equipment and materials
    Ensure regular budgeting and procuring of resources
    Ensure risk assessment is conducted
    Ensure that the teaching laboratory is equipped with current technological innovations in education.

    Academic Qualification

    Applicants must have a Bachelor’s degree in Human Resource Management or its equivalent from a recognized university with a minimum KCSE Mean Grade of C (plain) or KCE Div II
    Must be a Member of the Institute of Human Resource Management of Kenya IHRM

    Experience

    Must have at least 2 years’ experience as a Human Resource generalist in a busy corporate institution/organization. With ability to undertake various Human Resource related tasks.

    Key Responsibilities

    Assist in facilitating various committee meetings by

    Scheduling meetings according to committees Almanac and work plan to enable the committees meet their annual objectives.
    Booking meeting venue, request for refreshments, assemble appropriate equipment for the meeting to ensure availability in time of the necessary requirements and smooth running of meetings

    Resolve normal procedural issues and/or escalate relevant supervisors to ensure smooth running of the institution
    Maintain an accurate and up to date HR data in Navision system and excel database;
    Collating data/information for drafting reports and briefs to aid in making informed decision
    Draft correspondences for review, approval/signature to relay feedback or make inquiries.
    Liaise with immediate supervisor on a regular basis for planning and coordination of duties in the office to ensure that all duties are well attended to appropriately.
    Assist in coordinating of in-house trainings to ensure efficiency and effectiveness of trainings
    Assist in collating feedback from trainees on the effectiveness of training for analysis
    Assist in all other HR general tasks on recruitment, performance management, staff welfare matters as may be required to ensure completeness of tasks
    Keying in employee data in the Human Resource Information System for ease of preparing reports.
    Draft reports as guided for effective decision making
    To provide administrative support to the Human Resource Officer in the review of all HR strategies, policies and procedures
    Assist in preparation of audit by ensuring that all documents are filed correctly for ease of retrieval and reference.
    Preparation of payroll inputs to ensure all employee matters affecting monthly payrolls are summited in time
    Assist in Staff Clearance and computation of terminal dues for employees for timely processing of the dues.
    support recruitment and induction process as need arises to provide a seamless process
    Perform any other task as assigned by the Human Resource Officer
