    Roles and Responsibilities:

    Managing and updating of Tour Plan Database; ensuring prompt product loading, including specials and promotions
    Assist in managing and conducting regular checking of product loading and data integrity
    Ensure supplier data, contacts and contracts are received in a timely manner, stored accurately, updated regularly on the server, Tour Plan and B2B systems
    Assist in maintaining the Standard Operational Procedures for the contracting and system loading functions
    Effective communication with suppliers to uphold, improve and safeguard the corporate image and identity of the company
    Assist in negotiating contracts with new and existing suppliers. This includes annual contract renewals, special offers group series and other business terms
    Working closely with the Product Development Team to negotiate preferred and improved contracts and amenities with suppliers.
    Ensure that all existing and new products are delivered with the most competitive price

    Qualifications and Required Skills:

    Bachelor’s Degree/Diploma in Business Management/Contracts Management/Database Administration
    Strong verbal and written Communication skills
    Strong Analytical and logical skills
    Strong Negotiation and Problem Solving Skills
    Excellent customer service and supplier relationship management
    At least 3 years’ experience in Contracts Management preferably in Travel & Tourism Sector

    Research Consultant

    Research objective
    The objective of the assignment is to determine the extent to which Youth with Disabilities (YwD) are excluded from social, economic and political structures and processes in Nairobi County. The findings will provide evidence to enhance inclusion and participation of YwD in society.
    Expected Roles of the Research Consultant

    Undertake a comprehensive desk review related to the research topic.
    Provide guidance in the mapping out of research respondents
    Lead the preparation of the research tools with support from the project team.
    Undertake a comprehensive data collection from the respondents using Participatory Action Research (PAR) methods
    Train the research assistants on the entire research process
    Provide analysis of key findings in line with data collected
    Prepare and present a comprehensive report, presenting the main findings and suggesting appropriate recommendations for further consideration.
    Prepare the research report for peer reviewing and publishing

    Expected deliverables
    The research will have the following deliverables:

    A preliminary report covering literature review, outlining study objective and detailed research methodology and tools which will then approved by the project team
    Hard and soft copies of all source materials used to inform the report as well as other materials relevant to the research.
    A draft research report for review
    Prepare presentations and disseminate research findings to relevant stakeholders
    A comprehensive research report (hard and soft copies) with the format agreed between the researcher and the project team

    Requirements
    The research consultant/team should fulfill the following criteria:

    A Master’s Degree in any social sciences or any other related field
    A minimum of 5 years’ experience in conducting social research (evidence required) with demonstrated evidence of research publication
    Demonstrated experience in carrying out Participatory Action Research (please provide an example of related work done previously)
    Experience and expertise working with persons with disabilities will be an added advantage
    Proficiency in written and spoken English and Swahili languages
    Good listening and communication skills, respect for diversity and willingness to travel different parts of Nairobi including slum areas

    Key Responsibilities
    Programme Management
    Ensure that regional and country programmes are aligned with Sense International’s global Strategy and East Africa Regional Strategy and policies.
    Ensure high quality programme management, in line with donor requirements and SI policies and procedures, including reviewing quarterly reports and providing feedback on narrative and financial data to country teams.
    Monitor key performance indicators, risks and support country teams with quality assurance to ensure maintenance of high reputation.
    Ensure effective programme planning and implementation as well as seeking out opportunities for continuous improvement and innovation.
    Support country teams with reviewing and updating country strategies and plans.
    Ensure that technical support needs are appropriately met and support country teams with capacity building. Contract and oversee consultants as needed for specialist work such as provision of technical assistance on deaf-blindness, quality assurance, audits, research and scoping of innovation.
    Conduct regular programme visits to review progress and support country teams if they face challenges.
    Ensure strong promotion of the impacts and outcomes achieved by the East Africa programme using a variety of platforms including providing web updates / content in alignment with the SI communications strategy and brand guidance.
    Support country teams to develop research and policy on thematic issues.
    Support country teams with professional development, HR issues and capacity development linking them to colleagues in Sense or to sources of external expertise as needed.
    Financial Management
    Ensure strong budgeting, disbursement, reporting and forecasting for all work in East Africa working collaboratively with the UK-based Finance team and country teams.
    Monitor regional plans and budgets on monthly and quarterly basis to ensure effective programme delivery.
    Report to the Director of SI regularly on programme expenditure highlighting variances and potential delays in programme implementation.
    Collaborate with Finance colleagues to ensure effective systems are in place for managing finances related to the programmes operations and to ensure adherence to high standards of financial management in accordance with SI’s Finance Manual and other policies.
    Contribute to development of new project / programme budgets and the annual and three year rolling SI budget.
    Grant / Contract Management and resource mobilisation
    Maintain an overview of grants for East Africa and support country teams to deliver excellent grant compliance and the timely provision of high quality narrative and financial reports, collaborating with Sense Statutory fundraising colleagues where needed.
    Proactively seek out funding opportunities and support development of strong proposals. Ensure that UK-based Sense fundraising colleagues have the information they need about the East African programmes.
    Representation
    Participate in relevant coalitions and support strategic partnerships with NGOs and other partners.
    Represent the East Africa programme at meetings with decision-makers, SI supporters, potential donors, and trustees as required.
    Support management of Goodwill Ambassadors in the Region.
    Monitoring, Evaluation and Learning (MEAL) Work as the SI focal point / expert for MEAL, contributing to MEAL frameworks, evaluations and capacity building across SI, including advising teams in other parts of the world.
    Ensure strong MEAL frameworks are in place for all programme work in East Africa.
    Support reflection and sharing of learning between the East Africa Programme countries and between East Africa and the rest of Sense International.
    Lead on programme expansion
    Scope out new opportunities for SI in other countries in the East Africa region and as appropriate lead due diligence reviews of new partners or the establishment of new SI operations.
    Other duties
    The EASPM will be expected to work flexible hours to accommodate meetings or time differences and to travel for up to 45 days a year to work with the teams in Kenya, Tanzania and Uganda, as well as any new countries of operation in the region. If based in Nairobi the EASPM will be need to make regular visits to the UK to collaborate with the SI in London.
    The EASPM will work closely with the Country Director / Country Representatives to support them across the breadth of their responsibilities, as well as with the SI Director (London based) who line-manages the Country Director / Country Representatives.
    The EASPM will work closely with the Senior Programme Manager (London-based), who supports programmes in other parts of the world, to ensure coherent standards across SI and when working on cross-organisational projects such as MEAL or gender.
    Contribute to the Sense International Leadership Team (SILT) along with the East Africa Country Representatives / Country Director, Senior Programme Manager and others. Make an active contribution to SI-wide discussions, policies and plans.

    Responsible to: East Africa Regional Manager
    Location: Nairobi
    Purpose of role:
    1) To build up Sense International’s in-country funding income primarily through developing strategic funding partnerships with, and making in-country applications to, statutory donors, , foundations and global funds whilst also supporting fundraising applications made in the UK.
    2) To manage all regional grants and support country specific grant management where required. 
    Contract type: 3 year fixed term contract, with the potential to transition into a permanent contract.
    Responsibilities
    Planning and scoping 
    Maintain a thorough knowledge of the current funding and fundraising developments, trends and culture within East Africa.
    Contribute to the finalisation of the SI East Africa fundraising strategy and conduct an annual review of the strategy
    Contribute to the finalisation of a 3 year fundraising plan to support the SI East Africa fundraising strategy and update the plan on a quarterly basis. This will identify key areas of opportunity for generating income and activity plans for maximising income from these opportunities and will include a resource plan and budget.
    Continually conduct scoping of new funding opportunities from statutory funders and foundations and input new opportunities into a live funding sources database.
    Initially this role will have regional responsibility. As part of developing the 3 year fundraising plan the post holder will be responsible for identifying capacity needs across the region and helping to recruit and mentor new fundraising staff. Sense International’s long term goal is to establish fundraising capacity in each of the EA countries where we operate, at that stage this role would become focused on Kenya.
    Delivering against income targets
    Deliver on targets for fundraising from statutory donors and foundations at country and regional level working within agreed expenditure budgets.
    Seek, anticipate, plan and respond to funding opportunities from institutional donors and foundations.
    Oversee and coordinate the development of concept notes, expressions of interest and proposals including written applications, project Logframes, budgets and supporting documents (in close collaboration with Country Teams, East Africa Regional Manager and relevant UK based staff, ensuring that proposals are compliant with donor requirements and are highly competitive).
    Strong focus on medium to large-scale funding opportunities (over £300k), including the identification and realization of consortium funding opportunities.
    Ensure that the fundraising activities undertaken are effective and efficient and that their financial contribution is maximized, aiming to obtain full cost recovery in all proposals.
    Grant management and reporting
    Manage all regional grants and support country teams with the management of country specific grants. Ensure the terms and conditions of all in-country funded grants are complied with.
    Lead on the process of revising and reallocating in-country funded project budgets as needed ensuring all internal stakeholders are involved as required and support the SI UK Programme Funding manager with the same process for UK funded grants.
    Review financial reports prepared by the Finance and Admin Officer
    Manage and develop relationships with grant account managers for all in-country funded grants.
    Coordinate the development and submission of funding reports to donors ensuring compliance with all reporting requirements and deadlines, with the most accurate information
    Keep track of donor portfolios (e.g. management systems for communications, reporting etc.)
    Raising Sense International’s profile and build funding partnerships
    Ensure that Sense International’s programmes in the region have a high profile among donor communities and development networks.
    Develop relationships with potential consortia, corporate and major donor partners, in support of joint-programming opportunities at the national,regionaland international levels.
    Establish, maintain and develop relationships with key personnel within existing donor organisations.
    Research, collect donor intelligence and develop relationships with prospective funders with the view of achieving fruitful long-term relationships.
    Assist the Country Representative with developing relationships with High-Net-Worth individuals.
    Networking internally and externally
    Ensure that an accurate and timely overview of the region’s fundraising efforts and achievement is shared with the Sense International UK office, Uganda office and Tanzania office through regular (quarterly) reporting and analysis of fundraising activity and results including income and expenditure updates and forecasts.
    Update the Fundraising Against Targets (FATs) spreadsheet on a monthly basis and share with the SI UK team.
    Work with the Sense International UK based fundraising department to strengthen and sustain partnerships with restricted income donors that are based outside of the East Africa regionbut which have an interest in directly supporting Sense International’s work.
    Facilitate sharing of information among country teams to ensure maximum appropriate involvement around specific donor opportunities and proposal development processes.
    Plan and prepare annual budgets in conjunction with the country teams, East Africa Regional Manager and SI UK team, monitor performance and take remedial action where necessary ensuring the achievement of net income targets.
    Support fundraising activities in the UK by liaising with local donor offices and contributing to the writing of drafts for statutory fundraising applications.
    Contribute to the development of a comprehensive portfolio of project information, for SI East Africa, in consultation with the relevant colleagues which can be used to develop funding proposals.
    Build confidence and excitement in Sense International’s work and vision both internally and externally.

    Person Specification: Skills / Experience Required
    Experience in leading proposal development and securing major funding from statutory donors such as EU, USAID, DFID, UN or other institutional funders, including developing multi-country, regional and/or consortia programmes as well as managing grants and ensuring compliance to grant terms and conditions
    Programme management experience including leading on complex budget reallocations
    Proven ability to develop multi-year fundraising strategies incorporating and prioritising multiple types of fundraising
    Proven ability to network and develop opportunities for long term funding partnerships
    Excellent interpersonal skills, including written, verbal and presentation skills used in international settings (with appropriate technological support as required)
