    Maintain and file financial records after posting transactions into Intacct.

    The Management and Information System (MIS) team is part of the larger Monitoring Learning and Information System (MLIS team) within Evidence Action. MLIS is an internal consulting team that provides timely access to data for evidence-based decision making for programs through well-designed monitoring and analysis. The MIS team is r esponsible for programming data collection and entry tools as well as managing information systems and cloud-based multi-user systems to ensure that Evidence Action’s programs have access to timely and useful data. The senior associate at MIS will be responsible for managing and delivering the team’s annual objectives and providing technical support both internally within the MIS team and externally with MLIS and othr Evidence Action program team staff. The position holder’s role will require keen technical ability combined with the project management skills to develop and manage program information systems.
    Duties and Responsibilities: As part of the wider MLIS team the Senior Associate will be responsible for delivery of team objectives and the day to day operations of the MIS team. Key responsibilities will include
    Overseeing the ongoing maintenance of the MLIS server to ensure its integrity and functionality.In particular:

    Conduct regular data back-up and syncing to safeguard the data in the cloud and local database.
    Support staff at MLIS and program teams to upload data to the server and download data when required as well as seek ways to improve server functionality for users (speed, storage etc.).
    Manage any upgrade and integration of new technologies onto the server as required.
    Work closely with the data collection team to support data collection activities so as to ensure that data being sent to the cloud data storage is being properly received.

    Manage the content, layout and functionality of the MLIS management information system (PROGMIS). The senior associate will:

    Ensure the MIS system (PROGMIS) is functioning properly and that data on the system is accurate and up to date.
    Manage PROGMIS users, maintaining existing accounts and adding new users when required. They will support new and existing users to access and use PROGMIS by providing regular training and developing ‘how to’ manuals and presentations.
    Work alongside other team members in MLIS as well as program teams to upgrade the layout and usability of PROGMIS, including developing more visually appealing and innovative ways to display data on the system (i.e dashboards, content layout) and take the lead in the implementation of suggested modifications and additions to PROGMIS.
    Maintain and upgrade the Evidence Action public dashboards that are currently linked to the PROGMIS system. This includes maintaining the functionality of these dashboards and regularly monitoring whether data uploaded is recent and accurate

    Be the lead for ensuring electronic data security at MLIS. The senior associate will review existing measures in place to protect MLIS electronic data and implement safeguards to further protect data making sure that all MLIS measure on data security are in line with Evidence Action’s global IT policy requirements.
    Manage the programming and upgrading of standardized electronic data collection instruments using ODK and other software. The senior associate will work with other teams in MLIS to maintain and update data dictionaries/codebooks for all data collection instruments used by MLIS. They will work closely with the data management team to ensure that data is clearly defined and remains consistent across all databases.
    Providing ongoing support to program teams on ad hoc information systems related tasks . This includes:

    Conducting research and providing guidance to program teams when required on new software/hardware and technologies that would assist program teams in ensuring better information management and program implementation.
    Offer technical systems to programs to resolve issues related to MLIS software or hardware (such as mobile phones)
    Provide capacity building to staff members (both MIS and other Evidence Action staff) on software/hardware related to information systems as required.

    Develop and manage the MIS team. The senior associate will be responsible for overseeing the MIS team including:

    Developing and implementing team workplans to inform immediate and long term activities and projects for MIS team, in line with Program needs and priorities.

    Lead data analysis on key topics to inform programmatic decision-making in the areas of operations, cost effectiveness, coverage and uptake of interventions.
    Identify and produce well-designed regressions, correlations, conditional means, and other statistical measurements to express the results of program data.

    The Data Entry Clerk is a member of the program data management (PDM) sub-team on the larger Monitoring, Learning and Information system (MLIS) team, and assists the Senior Associate-Program data management in ensuring that monitoring, planning, tracking and attendance forms filled by the implementation stakeholders are processed at Evidence Action’s data center in Kisumu.
    Duties for the Data Entry Clerk NGO Job
    Support in Data entry
    Accurately enter all DTW program data collected using CSpro, Epi-data or ODK emulator
    Prepare DtW forms to resolve missing data and inconsistencies
    Ensure that all the submitted data is entered as required.
    Track all the data entered by completing a data entry log
    Ensure that all the forms entered for the day are filed appropriately
    Ensure that the daily data entry deadlines are met as expected
    Review error reports and enter corrections
    File or organize source documents after entry
    Respond to inquiries regarding data entered
    Data Entry Clerk NGO Job Qualifications
    A minimum of a diploma in Information Technology or any other relevant field.
    At least 6 months full time data entry experience in a research set up.
    Typing speeds of between 50 – 80 wpm
    Typing accuracy of at least 90%
    High level of integrity and stewardship
    Embraces team work and aspires and supports the ideals of working in a team environment as a team champion
    Self-driven and highly motivated to deliver results within tight deadlines.
    Basic computer skills and comfort to advance the skills in a dynamic IT field.

  • Data Officer

    Data Officer

    Support all aspects of School lists, School ids, Division/Ward lists, Sub County lists, Counties within the NSBD Programme, including controlling versions for distribution to other sub-/team members, and making sure they are up-to-date and consistent in all records including in the MIS records.
    Support the process of receiving, logging, checking and processing of all data coming in from the National School Based Deworming Programme in Kenya.
    Actively implement and maintain the tracking system of all forms received at the Programme secretariat and initiate the necessary actions in the event of failure to receive the forms on the expected dates.
    Support the system of processing and dispatching data to the data entry vendor and ensure that the data is entered as per the agreed upon schedule and priorities
    Under take data entry and data cleaning tasks as required under the direction of the Associate Data Processing.
    Support, and, in some cases, supervise data processing consultants.
    Provide bi-weekly update of forms received and communicate any discrepancies of forms received by the program team from those recorded by MLIS
    Ensure all treatment, planning and attendance forms received are serialized, arranged and well stored in safe cabinets.
    Help oversee form scrutiny by either internal Evidence Action staff or casual hired for this purpose
    Other additional responsibilities that might be assigned to him/her by the Senior Associate
    Key performance Indicators
    Produce bi-weekly report of Form received by MLIS and update Senior Associate on the missing forms.
    Successful completion of Data Entry of NSBDP as well as other paper data.
    Qualifications for the Data Entry Jobs in Kenya
    Bachelor’s degree in Mathematics, statistics computer science or any other quantitative field
    Minimum 1 year experience in data entry or data management
    Strong familiarity with statistical software packages such as Stata, R, SPSS, SAS etc. with the ability to learn and adapt to new programs (experience with Stata is highly preferred)
    Well versed with Excel and a strong desire to learn advanced Excel
    Extensive experience with data entry interfaces such as Epidata, CSPro, Access, etc.
    Strong interpersonal and communications skills to work effectively with a team that is geographically dispersed
    Self-directed/self-motivating personality, with proven ability to manage demands from multiple supervisors while adhering to program deadlines and priorities
    Quick to learn, motivated to self-teach and capable of independently translating new knowledge into practice.
