    Overall purpose of the role: 
    The Admin Intern is the primary interface between DRC and the general public that visit or telephone the Regional Office. As such, he/she must be able to represent DRC professionally and always be friendly and pleasant to all callers and visitors. The Intern is responsible for the front office duties and giving support to the administration department.
    Key responsibilities
    Front office:

    Receive, screen and welcome visitors and direct them to relevant staff. 
    Answer incoming calls at the switchboard, forwarding to appropriate staff or taking messages as required.
    Respond to general enquiries and refer to appropriate staff members. 
    Receive, record, and distribute all incoming correspondence and deliveries. 
    Prepare and dispatch all outgoing mail. 
    Ensure reception area is neat at all times. Promptly attend to visitors ensuring no crowding at the reception area. 

    Administrative support:

    Maintain tracking system for all Admin related payments and update on monthly basis.
    Assist in organizing storage of all Admin supplies, maintain and update inventory list in accordance to requirements.
    Ensure all Admin related invoices (Accommodation, travel, telephone, electricity, water, security, Thuraya and service contract etc.) are paid on timely basis; and constant follow up on the same is done monthly.
    Ensure all new staff have job identification (staff IDs) and business cards as required.
    Coordinate bookings for the conference rooms for internal meetings and arrange for required refreshments and stationaries. Liaise with relevant staff to ensure the conference room is always ready for use. 
    Share monthly telephone and utilities’ bills with staff and ensure bills exceeding the set limits as per the RO telephone and expat benefit policy are paid by staff in time.
    Administer the stationery store and office/kitchen supplies ensuring records and controls are in place. Advise on utilization on monthly basis and place timely orders for re-stocking. 
    Maintaining an effective filling system both in soft and hard copies for all administrative & travel related documents.
    Prepare all Admin related PRs and LVO’s in liaison with the SC and the Team Leader Administration and follow up on timely deliveries.
    Assist in administrative and logistical arrangements for the project and general office events e.g. renting of premises, arrangement of accommodation, transportation, and providing complete financial documents on time.
    Assist in organizing and planning for conferences, workshops, and trainings upon request and according to the established procurement procedures.
    Any other duties which are designed to improve the operations of the administration department.

    Knowledge on how to operate PABX switchboard, high-speed copier/scanner and other office equipment.

    Overall purpose of the role: The purpose of this post is to provide day to day management, psychosocial support and related activities in Ifo, and Dagahaley Camps in Daadab. In particular, the person is responsible for addressing mental health needs of SGBV survivors’ and maintaining daily contact with the community level para-counsellors. S/he will work and liaise closely with the Protection Officer-PSS, Protection Assistants, Protection Officer- GBV prevention and the Protection Assistant (GBVIMS) on documentation of programme activities as per the donor requirements.
    Responsibilities:
    Mental Health and Psychosocial support:

     Provide comprehensive psychosocial counseling to SGBV and non SGBV survivors focused on the survivor centered approaches
     Conduct and coordinate group sessions- therapy, psychoeducation, peer to peer sessions in collaboration with the case managers.
     Ensure the MHPSS to incentive staff under her /his supervision
     Conduct Menstrual hygiene and management education as well as management of the Dignity kits
     Coordinate issuance of cash voucher assistance in collaboration with the case managers
     Ensure all work with SGBV survivors is confidential and that ethical practices are observed.
     Ensure that the client documents and information are well captured, updated and stored safely according to data protection protocols
     Participate in the interpretation of the analyzed data on trends and work with GBV Team Leader to disseminate information to all relevant stakeholders.
     Participate in the development of the case management monitoring tools and systems and ensure all staffs that are required to utilize them are properly trained on the correct way of handling the systems.
     Ensure proper follow up and support of Non SGBV clients referred for other interventions in the integrated programme approach.
     Participate in the preparation of accurate reports for all Psycho-social related activities

    Coordination and networking:

     Maintain and strengthen existing networks through other service providers at the camp level, to ensure that survivors receive quality services and support both at the agency levels.
     Actively participate in scheduled meetings such as the Case Conferences, SGBV inter-agency and coordination meetings.
     Identify new networks to work with to ensure wholesome support to the clients.
     Work in close collaboration with the GBV officer and GBV assistants to ensure ongoing needs of at-risk groups, women and girls are being met in
     Strengthen existing referral systems and networks of psychosocial service providers
     In collaboration with other partners, design psychosocial interventions within the refugee community focusing on the psychosocial needs of adults, youth and children.
     Assist in development of referral networks between partners implementing GBV and implementation of referral pathways.
     Participate in conducting trainings for partners on relevant organizational development areas and support peer learning between DRC and other partner agencies.

    Community engagement and outreach:

     Conduct sensitization, dialogue and mediation sessions with the wider population about issues of trauma and SGBV.
     Facilitate formation of support groups for survivors of SGBV and other vulnerable groups.
     Identify and strengthen Community structures through engaging community leaders, camp management and other stakeholders to ensure that the survivors receive adequate support at the community level.
     Support the GBV officer and GBV assistants, in dissemination of relevant information during the Community SGBV prevention forums and meetings.
     Conduct outreaches with the prevention team and support in awareness on SGBV response eg during calendar events like World Mental Health day

    Monitoring and evaluation:

     Assist in preparing daily, monthly, quarterly and annual reports, progress notes, and treatment plans on time
     Use appropriate data collection tools and submit assessments and reports in a timely and accurate manner
     Work closely with the refugee staff to ensure quality reporting
     Assist in the designing, planning, implementing and facilitating of external trainings for numerous target groups

    Staff management and development:

     Conduct regular formal and on-job training and mentorship to Para-Counsellors on areas related to Case Management, Counselling and other related topics to enhance professionalism.

     Organize for external capacity building forums on GBV Case Management and Therapeutic Counselling techniques.

    Experience and technical competencies:

     Minimum of 2 years work experience in providing psychosocial counseling in a refugee context
     MUST be a Somali speaker and being a male is an added advantage

    The Regional Grants Coordinator will support in ensuring high quality grants’ administration processes and compliance with both DRC and donor requirements. The role will also support the Regional Business Development & Partnerships Manager in regularly reviewing and updating the Grants Module in the DRC Dynamics System database; review of reports for both external and internal use; and provide an oversight on the implementation of systems and procedures that are in compliance with both DRC and donor regulations. The role will also provide capacity building of DRC/DDG country staff with grants and compliance related responsibilities.
    Responsibilities: 
    DRC Dynamics administration and support:

    Provide oversight in regular updating of the Grants Management System in DRC’s Enterprise
    Resource Planning platform – Dynamics with reports, proposals, contracts and related milestones for the regional office (as well as back stop for COs)
    Supports the Regional Business Development & Partnerships Manager in consolidation of documentation required for setting up grants in the centralized DRC Dynamics system for the Regional office projects and related partner sub grants
    Carry out detailed review of the DRC Dynamics system to identify deficiencies in documentation across the region and report on this for corrective measures on a quarterly basis
    Ensure the grants management filing system is maintained and all donor grant documentation is properly filed (hard copies). 
    Installment tracking and management of the billing rule tab for Regional office grants (MMC, ReDSS), including follow up donor’s disbursement requests to ensure timely submission and follow up. 

    Reporting (Donor and DRC specific):

     Generate the Rolling Action plan from DRC Dynamics system, share with grants management focal points for review before final circulation of the document to all relevant staff.
    Based on the Bi Monthly Rolling Action Plan, follow up with the relevant staff on the timely submission of draft donor reports, and assist in the review to ensure quality and compliance with relevant requirements.
    Support the BPDU Manage to review CO draft reports 

    Donor compliance management:

    Work closely with the Regional Risk & Compliance coordinator to implement testing systems to ensure that all offices are following DRC procurement, administrative policies and accepted accounting principles.
    Carry out internal compliance assessments to ensure that DRC and donor guidelines are implemented and upheld and that the findings are captured in the risk register/issues log.
     Support the preparation and/or facilitation of the Regional office project kick off meetings as well as for CO specific grants as deemed necessary.
    Prepare and circulate donor guidance update to grants focal points in collaboration with the donor compliance specialists at HQ and the regional grants manager
    Support the BPDU Manager to review regional office donor contract amendments to ensure compliance as well as coherence.

    Partnership management:

    Support the partner vetting and assessment process for the Regional office and country office upon request in line with the global partnership tools
    Support with developing Partner capacity development plans 

    Capacity building:

    Learn DRC Dynamics Grants module and support with capacity building of grants and non-grants staff across the region
    Capacity building for new staff on Grants management during induction, onboarding as well as on the job with special emphasis on key process such as Kick off and closure and monthly grants monitoring

    Others:

    Overall purpose of the role: 
    The Position will be based in the Regional Office which is in Nairobi, Kenya with frequent travel to the field locations. He/she is expected to ensure effective supply chain that enables the DRC operation to meet the needs of persons of concerns as well as timely delivery of quality goods and services to persons of concern.     Review and sign off vehicle log sheets on a weekly basis to monitor movement usage and fuel consumption
    Manage the Genset i.e running, fuel and maintenance
    Ensure drivers conduct weekly vehicle checks
    Proper filing of all fleet documents i.e. drivers’ docs, maintenance records, fuel reconciliation, insurance docs, log sheets and log books and monthly fleet performance reports
    Coordinate with the drivers  planned preventative maintenance is carried out to a high standard with minimum disruption to movement activities.
    Ensure all drivers are briefed on and adhere to DRC vehicle management policies and procedures.
    Ensure Taxi vehicles are fit for purpose and that taxi companies have the capacity to meet the contract requirements.
    Prepare and submit the monthly fleet Performance Reports (Fuel, utilization and cost per km) by the 10th of the following month

    Overall purpose of the role: 
    The IMS/Data Assistant will primarily be responsible for ensuring program data and other protection data is accurately and ethically collected, stored, analyzed & shared in strict adherence to the DRC data protection policy and MEAL guidelines. The holder of this position will be responsible for data collection, data entry, data analysis and reporting aspects of the DRC program activities to inform better program interventions.     Responsibilities: 
    Designing, planning & implementation of strategies for data collection & storage, analysis & sharing:

    Responsible for all projects database. She/he will work closely with the MEAL officer to support in designing databases on project activities/beneficiaries and assist in updating regularly the database according to the project requirements.
    In collaboration with the MEAL Officer make recommendations about the methods the projects should use to collect, analyze and manage data to improve data quality and the efficiency of data systems.
    Manage the Gender Based Violence Information Management System (GBVIMS) by ensuring accurate data entry into the incident recorder, clean up, storage and system maintenance including troubleshooting.
    Ensure accurate data entry of new information into the beneficiary database and regularly update, maintain existing database system records
    Strengthen and maintain networks with other Protection partners in Kakuma by attending GBV and GBVIMS working group meetings to help analyze GBV trends, findings and best practices.

    Ensure all SGBV data (GBV survivors’ data, NFI distribution data, persons reached in various activities) is AGD (Age, Gender and Diversity) disaggregated, entered into the GBVIMS/beneficiary data base and safely stored;
    Assist the SGBV Response and Prevention teams in creating awareness on SGBV in Kakuma by participating and documenting campaigns, referrals and focus group discussions
    Support in conducting assessments and community visits as needed, facilitate focus groups and other qualitative data collection exercises.
    Conduct all field data collection through mobile data collection for quantitative data and paper forms for qualitative data. – ensure tablets and phones to be used for assessments are charged before commencement of assessment exercises. 
    Assist the MEAL officer in conducting data analysis and providing inputs, information and statistics for monthly, quarterly, annual and other reports for all projects to the supervisor;

    Design and Implementation of Monitoring, Evaluation, Accountability & Learning Plans:

    Participate in the baseline, mid-term and end of term evaluations of program activities in accordance with the LEAP framework
    In close liaison with the MEAL Officer, support in short-term M&E evaluators and experts as required.
    Under the direction of the MEAL Officer, support research and study activities on M&E related issues.
    Conduct community visits, focus group discussions with beneficiaries and non-beneficiaries to receive feedback on project activities

    Responsibilities: 
    R1. Designing, planning & implementation of strategies for data collection & storage, analysis & sharing:

    Responsible for all projects database. She/he will work closely with the MEAL officer to support in designing databases on project activities/beneficiaries and assist in updating regularly the database according to the project requirements.
    In collaboration with the MEAL Officer make recommendations about the methods the projects should use to collect, analyze and manage data to improve data quality and the efficiency of data systems.
    Manage the Gender Based Violence Information Management System (GBVIMS) by ensuring accurate data entry into the incident recorder, clean up, storage and system maintenance including troubleshooting.
    Ensure accurate data entry of new information into the beneficiary database and regularly update, maintain existing database system records
    Strengthen and maintain networks with other Protection partners in Kakuma by attending GBV and GBVIMS working group meetings to help analyze GBV trends, findings and best practices.
    Ensure timely sharing of GBVIMS line data on a monthly basis to the, MEAL Officer, Protection TL and UNHCR focal point for consolidation.

    4Mi Project Manager

    Overall purpose of the role:
    The MMC is a leading source for independent and high-quality data, information, research and analysis on mixed migration. Through the provision of credible evidence and expertise on mixed migration, the MMC aims to support agencies, policy makers and practitioners to make well-informed decisions, to positively impact global and regional migration policies, to contribute to protection and assistance responses for people on the move and to stimulate forward thinking in the sector responding to mixed migration. The MMC’s overarching focus is on human rights, protection and assistance.
    The MMC is part of and governed by DRC. While its institutional link to DRC ensures MMC’s work is grounded in operational reality, it acts as an independent source of data, research, analysis and policy development on mixed migration for policy makers, practitioners, journalists, and the broader humanitarian sector. The position of the MMC does not necessarily reflect the position of DRC.
    The MMC focuses on seven core regions: East Africa & Yemen, North Africa, West Africa, Europe, Middle East, Asia and Latin America and the Caribbean. The staff members of MMC are based in a global office in Geneva and in regional hubs, where it works in close cooperation with regional partners, stakeholders and donors. Through 4Mi, broad networks of monitors are collecting data on mixed migration in over 20 countries across different migration routes globally, conducting over 10,000 in-depth interviews with refugees and migrants on the move annually.
    Key Objectives of Role
    The specific objectives of the 4Mi Project Manager will be to lead and support the implementation of the 4Mi project in East Africa with a possibility to expand to the Great Lakes and Southern Africa, to establish a continually improved knowledge base for protection response to mixed migration and better inform public policy. 4Mi has been fully rolled out in Djibouti, Kenya and Somalia (since 2014), and in Sudan (since 2020). The successful candidate will ensure that the existing 4Mi structure and network shall continue to meet the needs of humanitarian and development stakeholders whilst expanding 4Mi into new localities and countries in the region. This role will also advise the MMC global team on expansions and strengthening of 4Mi programming across the world.
    Daily 4Mi operations and staff management 

    To oversee the operations, implementation and management of the 4Mi project in East Africa, Yemen and Egypt / Great Lakes / Southern Africa and where relevant coordinate with the 4Mi Global Coordinator and the other 4Mi PMs. To ensure that all 4Mi project targets/donor deliverables are met.
    To manage the 4Mi Information Management Officers and 4Mi Project Officers/Coordinators who coordinate a network of field monitors in different countries using digital technology to survey mixed migration.
    To identify partners, key informants, contacts and other interlocutors critical to the success of this project, represent MMC at conferences and workshops, and establish close working relations with relevant existing mixed migration-related agencies in different countries.
    Responsibly manage all 4Mi budgets and forecasts and ensure timely and regular donor reporting.
    In coordination with the MMC Regional Manager, maintain donor relations with 4Mi donors and expand the donor base for 4Mi 
    Expand 4Mi project geographically and contribute to the strategy and fundraising closely with the MMC Regional Manager 
    Develop, in close collaboration with the MMC Regional Manager, appropriate internal processes and SOPs to ensure the success of MMC operations. 

    Data collection, methodology and analysis of 4Mi data 

    In coordination with the 4Mi Global Coordinator, lead on improving and implementing the 4Mi programme and methodology in the region (including, but not limited to, recruitment of monitors in the field, developing and refining a training manual for monitors, defining geographical position of monitors, respondent selection and survey design) and, ensure the methodology of 4Mi is regularly reviewed with respect to increasing its reliability and voracity. 
    Oversee the work of the 4Mi Information Management Officers and ensure that 4Mi data is cleaned, validated and formatted for analysis. 
    Ensure timely, regular updates of 4Mi data for the MMC website and 4Mi-related publications, in collaboration with the 4Mi Project Officers and Research Officer/s.
    Manage and organize data and be skilled at quantitative analysis and interpretation of data for use in infographics and research (for electronic and hard copy use)
    Contribute to 4Mi snapshots and 4Mi-related publications, in collaboration with the IOMs and Project Officers
    Keep abreast of new developments and ongoing debates on migration data and participate in brainstorming and strategy sessions on new areas of research.
