    JOB SUMMARY

    Responsible for all areas of computer system administration and management of Windows desktop environments for ChildFund’s desktop infrastructure, including responsibility for installation, configuration, maintenance, performance tuning, technical support, security updates, and resolving customer related software and hardware problems in accordance with established policies and procedures. The incumbent is also responsible for diagnosing and/or resolving problems in response to customer reported incidents via trouble tickets; escalating problems to management as appropriate; overseeing Help Desk activities; and configuring devices and software applications following established procedures.  Provides account management support, client connectivity support and client application support for supported devices; and remains current with changing Information Technologies.

    DUTIES/RESPONSIBILITIES

    Provides desktop support to end-users, responding in timely manner to user request for assistance, installation.
    Coordinates hardware / software installations and upgrades to ensure work is properly performed with as little disruption to staff as possible.
    Participates in new software testing and deployment as needed.
    Maintains PC inventory and replacement schedules.
    Maintains patches and antivirus for end users’ systems.
    Ensures resolution with equipment and software technical issues.
    Participates in educational opportunities to maintain relevance in the field of Information Technology.
    Participates in projects and performs other duties as assigned.

    QUALIFICATIONS/EXPERIENCE/REQUIRMENTS

    1-3 years working experience in desktop support.
    Conversant with working in a Microsoft Windows environment; Windows XP7810, Microsoft Office, Crystal reports, Oracle, WSUS, Acronis.
    Self-starter with desire and ability to learn new skills.
    Good communications skills, technical aptitude, detail oriented.
    Customer service focus.
    Ability to work unsupervised and a high degree of dependability required.
    Ability to work well with colleagues as a team member.
    Experience with Apple devices a plus

    Required/Desired Foreign Language

    English language required with ability to read, write, and understand. 
    The Knowledge of French, Spanish or Portuguese will be an added advantage to this position.

    EDUCATION/CERTIFICATES

    Associate degree in computer science, Information Systems or closely related discipline. Equivalent relevant work experience will be considered in lieu of degree.

    Purpose of this Consultancy

    ChildFund would like to conduct a one-day in-person masterclass for 35 of its staff based in Kenya on writing and storytelling. This workshop will be held in Nairobi County.

    Consultancy Scope of Work
    Under the supervision and in collaboration with the ChildFund communications team, the consultant will implement the following tasks:

    Develop the workshop/training methodology, activities, and training/workshop schedule, and submit it to ChildFund for review and feedback.
    Finalize workshop methodology and training schedule.
    Organize and execute the one-day blended workshops.
    Design and conduct an evaluation of the training workshop.
    Prepare and submit a training report.

    Deliverables

    Training methodology and materials: key training materials for the trainers/ facilitators including PowerPoint presentations, assignments, handouts, etc.
    Successful delivery of a one-day workshop.
    Technical support to participants during the workshop
    Final report after the completion of the workshop.

    Required Experience and Qualifications
    This consultancy is open to any individual consultant or consulting firms/ institutions whose activities are related to the objective and meet the following profile:

    High proficiency in English.
    Expertise in literacy and demonstrated experience leading writing and storytelling workshops for different organizations in Kenya and Africa. NGO experience is an added advantage.

    Advocacy:
    Working in close collaboration with ChildFund Child Protection and Advocacy Manager, the Communications and Advocacy assistant will be responsible for:

    Support establishment, strengthening and maintaining strategic partnership and alliances with campaign and advocacy partners.
    Participate in planning, designing, and implementing strategies for policy influencing and advocacy on issues concerning child protection and wellbeing in general and OSEAC in particular.
    Support management of risks related to campaigns and advocacy work.
    Participate in development of learning and knowledge products in the area of advocacy that meet standards and enable learning and sharing by documenting approaches, project and program designs and lessons, case studies and other knowledge products. Seek and leverage existing knowledge products in order to increase efficiency and effectiveness.
    Undertake any other assigned responsibility related to Advocacy.

    Content Creation and Management:

    Create and deliver content – stories, photos, video, quotes, and other information – that will help the project to build and nurture relationships with donors and the general public, globally. Proactively share stories and visual assets with CO and partner staff. Provide high-quality English translations of all story material.
    Storytelling – visual and written. In accordance with the CO content calendar, collect stories, photos and video about the project to show impact and build donor trust as well as engagement.
    Support the CO Senior Specialist- Communications in to write, edit, and oversee the production of publications such as newsletters, annual report, brochures, policy planning reports, etc.
    Support in ensuring that all project-related content deliverables comply with branding guidelines, child safeguarding standards and other controls of the organization.
    Support Program, Business Development and Advocacy teams in creation of project collaterals and other published material.
    Keep the CO communications content contact appraised of project initiatives, successes, events and other items of potential relevance to CO communications, both internal and external.
    Support in managing rapid collection of project-related child-focused quotes, stories, photo and video in the immediate aftermath of emergencies.
    Knowledge Management & Learning Support: Support to develop and/or ensure project teams develop learning and knowledge products that meet standards and enable CO-wide learning and sharing by documenting approaches, project and program designs and lessons, case studies and other knowledge products.

    Brand, Visibility/Representation:

    Responsible for the project communications, including collateral print materials all toward building the brand.
    Create and deliver project-related content for public messages and branding of the project.

    Alert Country Office Senior Specialist- Communications to potential reputation risks of the project.
    Support in managing activities, communications, special events, workshops, meetings and conferences.

    Internal communications:

    Support development and execution of a CO internal communications strategy and plan in partnership with the project team and based on assessment of audiences and needs.
    Support in curating, developing, and editing content for a variety of CO internal communications mediums to promote “One ChildFund”, and deliver content across multiple channels and mediums.
    Help select and roll out existing or new internal communications tools (in partnership with Knowledge Management & Learning and IT), and train project staff in effective communications techniques and usage of tools. (if & when relevant).
    Support internal response to crisis situations which affect perception and reputation.

    Qualifications and Experience

    Bachelor’s degree in public relations, Journalism, Corporate Communications, Marketing Relations, or Community Development.
    1-2 years of demonstrated work experience in journalism, marketing, public relations, media campaigns, and non-profit communication.
    Proficiency in use of social networking and new media tools.
    A grounded understanding of the children sector.
    Experiential engagement in child focused advocacy.
    A good understanding of the child protection policy environment in Kenya and beyond.
    Clear grasp of communications strategies and creativity in applying them to raise awareness of ChildFund’ s activities and achievements.
    Analytical skills with knowledge and good understanding of global & national development issues.
    Proficiency in Microsoft Office programs including Excel, Word and Outlook, as well as desktop and web-based publishing, photo and video editing tools.

    Scope of Work
    The Consultant will work closely with Grants Acquisition & Management Manager, Programs & Sponsorship Director and HR Director and deliver a three-days’ training workshop for staff from Country Office and some representation from ChildFund’s Implementing Partners (Ips).
    The Consultant(s) will review and validate the training needs analysis. A Draft Training Curriculum (including a detailed facilitators guide, training methodologies, and PowerPoint presentations) should cover a range of topics, including.

    Kenya’s funding landscape analysis.
    In-country funding and fundraising strategies
    Understand different ways of resource mobilization – Grants, donations, attending events and networking, etc.
    Knowledge of Grant Cycle – Pre-Award, Post Award and Close Out.
    Effective Prepositioning: Assess, Network, Anticipate.
    Identify different sources of funding from local and international sources.
    Analyzing and interpreting request for proposals (RFPs) and call for proposal for a Go-No Go decision.
    Establish effective partnerships for proposal development and teaming agreements.
    Designing a logical framework.
    Project Design and proposal writing- problem statement and justification and developing the methodology, theory of change, project management, sustainability.
    Developing a detailed implementation plan.
    Developing a detailed implementation budget.

    Outputs/Deliverables

    Inception Report clearly demonstrating consultant’s understanding of the TOR and methodologies for delivering the consultancy including timelines for delivery
    A training curriculum tailored to the training needs assessment’s outcome
    Tailored Facilitators’ Guide and workshop materials/resources for project’s grant writing, power point presentation slides, etc.
    3 Days’ training successfully facilitated and delivered in partnership with GAAM & HR team
    Final training report including clearly defined Donor Landscape analysis, recommendations for any changes to curriculum or delivery method in hard and soft copies. This should be delivered and is due 10 days after the workshop.

    Qualifications of Consultant (s)

    Bachelor’s or master’s degree in business management, Project Management, Development Studies Social Studies or a related field.
    Minimum of 10 years of relevant in-country grant writing, business development, fundraising and delivering training in fundraising and resource mobilization.
    Prior demonstrated experience developing, coordinating, and writing proposals for a wide range of institutional donors and foundations.
    Experience working with diverse donors i.e., EU, ECHO, GAC, SIDA, WFP, UNICEF, OCHA, UNDP, BMZ/GFFO, GIZ, USAID etc and an understanding of donor rules/regulations.
    Excellent interpersonal communication skills including experience in facilitation of trainings/workshops and presentations to groups of various sizes.
    Experience in using a host of blended learning approaches including delivering virtual training and workshops.

    JOB SUMMARY

    Under the general guidance and direction of the Programs and Sponsorship Coordinator; the Monitoring and Evaluation (M&E) Assistant will support data collection, collation, entry, analysis and use for decision-making. He/She will work with the team to ensure the timely delivery of project activities and achievement of set targets, budget management, milestones, and reporting. In the event of a major humanitarian emergency, within the areas of the operation, the role holder will be expected to work outside the normal role profile and be able to vary working hours accordingly.

    DUTIES/RESPONSIBILITIES

    Assist in the development of the program M&E plan, including identifying project indicators, setting targets, and establishing data collection and analysis methods;
    Assist in the design of data collection tools and collect data from various sources, including project staff, partners and beneficiaries, to track the progress of the project;
    Assist in analyzing project data to identify trends, patterns and insights, and present findings to the M&E team and project stakeholders;
    Support the supervision of data collection through GlobaL M&E Surveys, Post Distribution Monitoring (PDM) and related assignment.
    Support the program team to undertake timely entry of monitoring data into mobile and computer-based MIS data collection systems and work with staff to resolve data quality issues observed.
    Support in conducting Quarterly data review meetings and Routine Data Quality Assurance.
    Support and collaborate with the program team to provide timely reports and data summaries.
    Collaborate with other members of the NMP team and other stakeholders to ensure that M&E activities are aligned with program goals and objectives.

    SKILLS AND COMPETENCIES
    Essential

    Bachelor’s degree in Social Sciences, Information Technology (IT), Statistics, Demography, Monitoring and Evaluation, Population/Development Studies, Project Management or a related field. A diploma with related experience in research and M&E in a project or program by an NGO may be considered.
    At least two years of experience in monitoring and evaluation, with experience in formulation of M&E frameworks, tracking project milestones, data collection and analysis for emergency and development programs.
    Proficiency in Microsoft Office and data analysis software such as Stata or SPSS.
    Practical Knowledge of mobile data applications such as CommCare, Survey CTO, KOBOCollect/ODK. (This will be tested).
    Ability to work independently and as part of a team.
    Ability to work under pressure and short deadlines.
    Strong analytical and critical thinking skills.
    Excellent written and oral communication skills
    Experience in data visualization such as dashboards using Advanced Excel, Power BI

    QUALIFICATIONS/EXPERIENCE

    7 years’ experience.
    Demonstrated experience with managing development programs, preferably in a technical area, community development and/or child-focused programming
    Outstanding written and oral communication skills in English
    Demonstrated high-level interpersonal and cross-cultural skills including the ability to build collaborative relationships internally and externally with sensitivity to cultural, ethnic, social, and political issues.
    Demonstrated technical expertise in such areas as project, budget, and resource management.
    Demonstration of knowledge of program design; grant acquisition and management; providing oversight and accountability grant-funded programs; resource stewardship, and cross-functional coordination

    Key Duties and Responsibilities:

    Ensures appropriate internal controls through adherence to the accounting systems and procedures.
    Supervises staff and ensures that HR policies and procedures are adhered to.
    Ensure staff and assets are secured and well maintained.

    Qualifications/Experience.

    A bachelor’s degree in commerce majoring in Finance or Accounting,
    CPA-K will be an added advantage
    Knowledge in accounting packages.
    At least five years of professional experience in accountancy and administration in an INGO/NGO handling donor-funded projects
    Working knowledge of Kenya Labour Laws

    This role is fast-paced and incredibly diverse with support to CIFF’s Africa and Climate strategies that seek to invest in and grow climate resiliency in the continent. You will have the opportunity to work on a wide portfolio of climate change programmes across a number of sectors and/or geographies. You will provide programme management overview, a lead and oversight of administrative and research support, with the opportunity to manage and lead your own grants and partnerships.

    Role’s responsibilities
    Strategy & planning

    Prior to approval of a programme proposal, assist the team in preparing aspects of the programme strategy and evidence base, working with wider teams and in country experts.
    Conduct and support insightful research and analysis on specific projects and climate sector trends – including but not limited to adaptation strategies, land use and food systems; access to clean energy, climate resilience; adaptation; and climate finance – to assist the Africa Climate Team to determine strategic priorities and setting operational plans.
    Provide global, regional, national and sectoral insights, and communicate them verbally and in writing to a variety of senior stakeholders, and to contribute to the strategy and planning process.
    Annually support the team in providing input for Business Planning, preparation of budgets, and additional support by working across several teams.

    Programme development, delivery & performance

    Lead the end-to-end oversight and administration of the management process of the grants assigned (from concept formation, proposal development, approval process through to final payment) suggesting improvements where appropriate, enable the Africa Climate team to deliver and monitor its philanthropic activity efficiently and effectively and ensuring impact.
    Lead the preparation and dissemination of regular and ad hoc reporting on sector/portfolio/programme performance, to ensure colleagues and partners (as required) have access to accurate and relevant management information.
    Work closely with members of the Finance and Legal team for the development of grant agreements, forecasting of grant payments, to enable effective grant management and reporting within the organisation.
    Act as ‘Super-User’ for CIFF’s online grants management system for the team, ensuring they are deployed appropriately to optimise the efficiency and effectiveness of grant management.
    Support the preparation of summary reports, board reports and portfolio investment reports, to ensure these are produced to a high standard and in a timely fashion – which can often mean to high quality in very short timeframes.
    Sector knowledge and profile-building
    Build and maintain a range of relevant sectoral knowledge and information resources to enable the Climate team to access high quality intelligence, analysis and data to inform current and future programme activity – always seeking to add value and join the dots.
    Work collaboratively with colleagues and partners across multiple locations and geographies to conduct research projects to inform the Africa Climate team’s grant making activities and support global strategic partnerships.

    Stakeholder and partner management

    Maintain good and productive relationships with our partners and grantees, which can include dealing with senior experts from around the world.
    Build the climate teams capabilities to make broader changes by building and maintaining a network of individuals and organisations both current and new that can drive bigger changes.
    Organise and manage cross departmental workshops and brainstorm sessions, taking meeting minutes, circulating briefing papers, and strengthening knowledge management for the team.
    Coordinate logistics for CIFF programme visits and ensure that visitors/consultants/partners are adequately briefed.

    Membership of the team

    This role does not hold line management responsibility, but we expect all employees to demonstrate good leadership behaviours and in line with CIFF’s Code of Respect; and this includes adopting a coaching approach with colleagues to help build skills, confidence and capability in particular areas, processes or procedures.
    As required, support on the planning and coordination of inductions for new joiners to the team.
    We operate a matrix structure so reporting lines can vary between specific aspects of the role.

    Gained some experience working in a development/climate focused organisation and looking to take that experience further.
    Familiarity with the development and climate policy landscape and contextual knowledge of climate adaptation and mitigation programmes.
    Experience multitasking and managing priorities to competing deadlines, thrives on diversity of a role.
    Excellent communication skills and excellent oral and written English required.
    Track record of managing many relationships internally and externally with partners, grantees, government departments, policy think tanks, research institutions and other donor organisations.

    The consultant awarded the contract must be accredited and approved Safety Advisor/Auditor and registered by DOSH to audit, review, analyse and advise Organization on effective implementation of safety at the working place accordance to OSHA.
    Be a degree holder with a minimum qualification of Diploma in occupational safety and health from a recognized institution and should have at least five years proven practical experience in OSH Audits.
    Must have led at least four similar Audit in the past three years
    Should have demonstrated understanding, knowledge, skills on Occupational Safety and Health field
    Familiar with the relevant policies and laws on the subject
    Excellent analytical and report writing skills
    Excellent written and spoken English

    SUMMARY
    Under the supervision of the Project Coordinator, the Officer Driver will be responsible for running project errands; ensure safety of passengers on board and check the validity of vehicle insurance and other documentation.  S/He will also be responsible for taking care of the assigned vehicle(s) in all aspects including monitoring of the security situations in the area of operation.
    DUTIES/RESPONSIBILITIES
    Driving duties:

    Perform driving duties for the Conrad Hilton project in accordance with ChildFund Kenya policies.
    Perform pre – journey, journey and post journey vehicle checks namely: vehicle tire pressure, vehicle fluids (Brake, clutch, engine oil, windshield water, battery water, etc), checking for signs of leakage in the engine, differential, gear box etc. and checking the general condition of the vehicle.
    Ensure timely transportation of the staff and property to the required destination while ensuring safety of the passengers, property and the vehicle according to the ChildFund Kenya policy.  
    Perform all driving duties as assigned by the supervisor or delegated authority.

    Vehicle documentation

    Ensuring that insurance policy of the vehicle (s) assigned to him/her are valid and visible when placed on the wind shield.
    Safeguard, maintain and update vehicle related documentation including vehicle log (indicating date, description of journey, correct odometer reading at start and end of journey, time (am or pm) and ensuring that all entries are correct and accurate.
    Perform minor routine vehicle maintenance service and advice the Project Coordinator on general service and maintenance/ repair of the vehicle parts as necessary.
    Prepare purchase requisition for vehicle service and necessary vehicle maintenance requirements when due.

    Other Program & Administrative Support

    Ensure strict adherence to the ChildFund Kenya policy on resources and asset management.
    Handle ChildFund Kenya staff, guests and partners with courtesy.
    Handle the vehicle and materials assigned to him/her with care.
    Report vehicle condition to the supervisor after a short and long journey.
    In the event of an accident involving a vehicle under the drivers care, one must ensure safety of self and vehicle and follow due reporting process per the policy.
    Carry out any other official errand duties as assigned by the supervisor.

    QUALIFICATIONS/EXPERIENCE

    Academic: Completion of Kenya Certificate of Secondary Education.
    Experience: At least 3 years driving experience with international NGO.
    License: A clean, valid Kenyan driving license (Classes B, C, E) with knowledge of Kenyan road rules and the Highway Code.
    Certificate: Valid Certificate of Good Conduct

    Competencies:

    Must have good interpersonal and communication skills.
    Knowledge and skills in motor vehicle mechanics.
    Able to communicate effectively in English and Kiswahili, in person, and in writing.
    Good knowledge of local city roads, locations of government offices and main roads to other parts of the country.
    Ability to work well under pressure and deadlines.
    Good driver customer service protocols and proactive organizational skills
