Position Summary
The Research Intern reports to the Senior Research Manager and Head of InterMedia Africa based in Nairobi and works, with direct supervision, on a range of InterMedia research projects and assignments. S/he will work closely with InterMedia staff at all levels and across all InterMedia offices and will be expected to take responsibility for the quality and timely delivery of their work. The Research Intern will provide support on more than one project at any given time and will need some guidance to manage workload and prioritize. S/he will report to a Senior Research Manager and will be encouraged to provide input and ideas for new business initiatives, innovation in project design and to strengthen internal processes through communication with their supervisor.
Primary Responsibilities
· Provides project management support throughout project implementation.
· Under direct supervision, prepares quality documents including research instruments, client reports, whitepapers and marketing materials as assigned.
· Performs secondary research and conducts quantitative, qualitative and digital data analysis and visualization.
· Actively adopts internal working practices and uses electronic project management and intranet systems.
· Maintains project documentation and ensure appropriate storage of all materials on Interpoint.
· Supports new business development initiatives as assigned.
Additional Responsibilities
· Contributes to proposals, projects and business development as assigned.
· Develops proficiency in quantitative and qualitative research analysis techniques and software including SPSS and ATLAS.
· Provides back up and support to project teams and other departments as necessary including business development, Resource Allocation, Finance and Administration.
· Supports their project team by ensuring that all documentation and research materials are maintained and saved on InterPoint and InterPoint information is upto date.
Qualifications (Education, Experience and Specialty Skills)
· Bachelors or Masters Degree in Social Sciences or any relevant field with 1 to 2 years of work experience.
· A passion for working in international research and competent in designing and delivering research solutions that provide clients with the strategic insight they need.
· Strong knowledge of MS Office suites and confident working with quantitative and qualitative analytical software including SPSS and/or NVIVO or equivalents.
· An excellent team player and problem solver with a client focused approach to work.

Typical Responsibilities – Key End Results of Position1. Fleet Management
Provide support and direction to the drivers and ensure that they are executed in line with organizational guidelines; providing all information as required to KCO Fleet Coordinator/Head Driver.
Maintain and update all required records and paperwork for vehicles and drivers.
Manage fuel and maintenance contracts as needed.
Ensure that planned preventative maintenance is carried out to a high standard with minimum disruption to program activities.
Ensure that all drivers are briefed on and adhere to organizational policies and procedures.
2. Asset Management
Ensure that the asset register is well maintained
Ensure that all assets have been issued a unique identification number and tracked on a central asset register, maintained at the Country Office
Regularly update the asset register whenever transfers, disposal, loss, changes in condition and procurement take place with details of that transfer, disposal etc.
Coordinate a full physical verification of the asset register at least once a year to verify that the assets are in place and ascertain their condition.
Ensure that the users of general program equipment and assets are briefed/trained on how to operate and care for the equipment correctly
Ensure that general program equipment and assets are kept in good condition, serviced as required and when necessary, promptly repaired in compliance with any existing warranty
Report to the Management on the condition of equipment and any discrepancies if found
3. Warehousing/Storage Management
Manage the transport and warehousing/and or storage contract if and when needed
Ensure that all incoming and outgoing stock is controlled according to organizational procedures and that all appropriate paperwork is in place.
Ensure that all program documentation related to warehousing or storage and those used in distributing items is properly filed and is in order
Make proper arrangements for receiving and dispatching commodities
Submit monthly stock reports to the programs department and/or designated program managers
Ensure that regular stock reconciliation is carried out and any discrepancies are properly investigated and reported to management.
Ensure that stocks are stored in appropriate conditions according to their specific requirements and that Office Assistants are briefed on this.
Ensure that all incoming and outgoing stock targeted for beneficiary distributions and programme use are captured into the system according to the policies and procedures.
Authorize and approve stock movements that have been captured
Ensure that stock and physical inventory are properly reconciled and are always balancing.
4. Property and Security
Ensure that contracts, leases and other agreements are properly prepared and updated so as to meet organizational needs, include fair and reasonable commitments from service vendors, and comply with country government law.
Serve as security focal point person for the Program Unit – staying up-to-date on security of the premises and alarm systems.
Make sure that the premises are always clean, accessible and no hazardous material are left unattended.
5. Travel
Responsible for all the travel arrangement within the Program Unit
Maintain a database of all the travels and accommodation of all field staff and visitors
Be the focal point for the travel agents and taxi to ensure that the Program Unit is given the best services and value for money
Brief Management on any issues related to travel and suggest best practices
Educational Qualification and Experience
Bachelor’s degree in Business Administration or related field
3-5 years’ experience of progressive responsibility in administration
2 years’ experience in managing a team
Basic computer literacy – working with MS Office

Head of Research and Sponsored Projects Office
This position entails provision of leadership to all departments in RSPO including Finance, Human Resource, Grants & Compliance, and General Administration.
Duties and responsibilities:
Guiding and communicating AMPATH policies and procedures to all RSPO staff as approved by AMPATH Board and ensuring that they are understood and adhered to.
Give administrative guidance for all grants application, negotiations of awards, post award management and project closeout.
Ensuring RSPO work procedures are in compliance with all donor policies and procedures, GAAP and local legal requirements
Supervise and appraise performance of RSPO staff and ensuring that they provide correct and timely reports.
Overseeing the Planning, budgeting, implementation, and evaluation of awards and subordinate agreements.
Providing leadership in managing external audits for all grants and ensuring that any audit recommendations are implemented immediately.
Attending and participating in RSPO Heads of Department and general staff meetings in order to provide timely updates and issues.
Ensuring timely and accurate financial and administrative reports are submitted to donors, and donor feedback for corrections is responded immediately.
Closely monitoring all financial activities that influence the organization or its partners’ efficiency.
Any other duties as assigned by CEO, MTRH/Principal MUCHS and HOPI.
Job Specifications:
For appointment to this grade, a candidate must have:
Over 10 years work experience, 5 years of which must be at a leadership position or senior level of management in donor grants management.
Knowledge on donor policies with specific emphasis to NIH, CDC, USAID, and EU rules and regulations.
Master’s in Business Administration, or equivalent qualification from a recognized institution. Having a Diploma/Master’s degree in Grants Management will be an added advantage.
Bachelor’s degree in Commerce, Administration, or any other equivalent qualification from a recognized institution;
Be a member of a respective professional association/ or its equivalent
Shown competence and capability in work performance
Meets requirements of chapter six of the Constitution of Kenya 2010
