Job description
Key responsibilities:
Support team members in all day-to-day activities as required for the effective office management, incl. calendar management, paying utility bills, connectivity or rent, ordering office supplies, etc.
Travel management for the local staff and visitors
Partner with HR on all visa and salary related matters, incl. preparation of payroll
Onboarding of new hires, organizing working place, stationaries, providing with initial required introduction and guidance
Manage payment transactions (basic office accounting) and petty cash incl. budgeting and monthly reporting to the head office
Manage contract and price negotiations with office vendors, service providers and property management company
Assist in the coordination of the information flow between the local office, the partner institutions and the head office
What we expect:
Relevant, sound experience in an office-based, secretarial or customer-facing work experience
Excellent written and verbal communication skills in English
Higher education degree
Good organizational, communication, problem-solving, negotiation and relationship-building skills
Advanced MS Office skills (Excel, Word, PPT)
Good interpersonal and time management skills, reliability and discretion
