Job Summary:
The incumbent will be responsible for all aspects of Human Resources. S/he will assist in the development and implementation of HR policies and best practices and support senior managers to ensure continuous development and application of resultant procedures for effective people management
Main Duties & Responsibilities:

Recruitment/Selection/Placement

Advising and updating on job requirements including job requisitions and descriptions for all positions
Preparing and disseminating internal and external job adverts
Longlisting for all job applications
Conducting interviews for job positions Grade 5 and below
Managing effective & efficient induction and orientation of new staff
Preparation and issuance of offers and contracts for staff and casuals

Reward & Benefits Administration

National staff payroll processing including timely processing of all statutory payments
Administration of all national staff benefits (medical, life and accident cover, pension etc.)
Assisting in salary surveys and analysing pay data to inform salary reviews
Policies, Procedures & Best Practices
Ensuring staff are aware of and understand their terms and conditions of service
Advising on & implementing legal requirements & HR policies & procedures
Assisting in the development of new and review of existing policies and procedures

Learning, Training & Development

Assist in identifying and advising on staff learning, training and development needs
Tracking probations and Performance Development Reviews (PDR) completion and compliance with Concern’s policies and procedures
Training, coaching, mentoring and appraising direct reports and all staff as appropriate
Reporting on training and development programs

Staff Relations

Report and advise on staff grievances and complaints
Mediating staff conflict under the leadership of the Line Manager
Facilitating staff social welfare support (attendance and support)

Staff Separation
Monitoring contract expiry dates and advising Line Managers, Department Heads and Budget Holders for further direction and action
Advising on clearance and handover procedures
Processing leavers’ final dues
Ensuring termination of leavers’ benefits with various service providers
Conducting and analyzing exit interviews/debriefs and making recommendations for organizational improvement
Documentation, Reporting and Representation
Assist in developing and implementing the HR/Administration costed work plan
Maintaining & updating information in the HR Management Information System
Processing and tracking Nairobi based expatriates’ visas, permits and passes
Preparing periodic performance and progress reports
Representing Concern & serving in committees/teams/tasks forces as appropriate
Prepare internal and external correspondence as appropriate
Responding to Emergencies:

Participate and contribute as necessary towards Concern’s Emergency response as and when necessary
Comply with Concern’s health, safety and security guidelines during emergencies

Job Specification:

A Degree in Human Resources Management, Business Administration, Commerce, Organisation Development or relevant field with
Professional Certification in Human Resource Management
At least five (5) years’ experience in a similar role. International NGO experience is an added advantage
Excellent people management, analytical, problem solving, negotiation, interpersonal and communication skills
Demonstrated ability to work effectively in an individual capacity and as part of a team and an ability to multi-task
Confidentiality, accountability, integrity and ability to handle sensitive situations
Fluent in both spoken and written English & Kiswahili
Proven competency in the use computer applications
