Responsibilities:
Recruitment
Receipt of all hardcopy applications, file and folio them chronologically
For electronic applications, create folders for each of the positions advertised and save them in the HR shared folder
Create and maintain a database of all applications
Once shortlisting has been done, arrange for and schedule interviews with selected panelists in connection with the HR Manager
Prepare and send regret notification to unsuccessful candidates.
Filing and Documentation:
In liaison with site administrators, collate all data relating to staff e.g. employment documents, timesheets and any other payroll inputs.
Responsible for transfer and tracking of HR documents between agency and site offices
Ensure that all statutory and internal documents required from employees is present in their personnel files
Responsible for the creation and maintenance of personnel files and Filing all documents in the employee files
Ensure that copies of employee documents i.e. contracts are sent to sites once the recruitment process has been completed
Annual and Pre- Employment Medical Checks
Ensure that all employees have undergone their annual medical check-up
Arrange for pre-employment checks with the provider
In liaison with Finance department coordinate NHIF ,NSSF & KRA PIN Number REGISTRATIONS FOR EXPATS – This includes preparation of letters to NSSF,NHIF & KRA
Update information of expatriate information from non -resident to resident once alien card has been issued.
Shared Folder Updates
Medical insurance list both APA and Jubilee
Pre- employment medical list
Preparations of staff IDs & Driving license ID
Writing of Contracts and addendums.
Maintaining employee database.
General Administration of the HR department in connection with HR Manager
Qualifications:
Must have ISO Certification experience.
Bachelors degree in HR or equivalent.
Minimum 2 years working experience.
Confidentiality of all HR Information
