Section Leader Administration and Logistics

CORE ACCOUNTABILITIES
• Ensure compliance with all Procurement Policies and Procedures.
• Provide purchasing/ shipping/ receiving support for field operations as required.
• Manage local and in-country supplier relationships for effective cost and purchasing strategies.
• Report any disputes, actions, or potential claims against the Purchase Orders or Supply Contracts.
• Liaise with field teams to ensure that field supplies (food, equipment and consumables) are available prior to commencement and throughout the programs.
• Oversee all importing and exporting procedures to ensure alignment with Acacia compliance standards & Kenya standards and regulations.
• Maintain proper filing and documentation for all in country administration and logistic functions including records of all company stores issues (equipment and consumables).
• Complete reconciliations of all company equipment and consumables periodically and report findings to the Exploration Manager.
• Responsible for monitoring of Company mobile phone usage and reconciliations at month end.
• Responsible for Company vehicle fleet operation (maintenance, registration, vehicle logs etc.) ensuring the safe and efficient carriage of personnel.
• Ensure that proper records are maintained of diesel and petrol usage in vehicles and generators including reconciliations at month end.
• Day to day management of the staff house, office and camps including supervision of direct reports (e.g. junior accounts, administration staff, cooks, cleaners and casual workers).
• Ensure that the Company health cover is current for all employees, and act as liaison between the Company and the Insurer.
• Create and maintain a database of employee contracts to ensure that all contract renewals are flagged with the appropriate manager.
• Responsible for accommodation bookings and travel requests for all staff and visitors.
• Coding and low level payment approvals with appropriate signatory level.
• Ensure that zero community-related incidents result from Acacia Exploration Kenya operations and no reputational damaging incidents occur.
• Actively contribute to ensure that there is an increase in the communities’ satisfaction with relationships with Acacia Exploration Kenya, and increase the use of local suppliers as far as possible.
• Participate in initiatives to improve safety and health, ensure safe work practices and timely incident/ accident reporting.
• Ensure that objectives are met by team members.
• Completion of performance monitoring and appraisal meetings.
• Ensure that team members comply with the Acacia Desired Behaviours.
ROLE REQUIREMENTS
Qualification Requirements:
• Degree or Diploma in Administration or any relevant field of study.
Experience Requirements:
• At least 10 years’ relevant experience in a role overseeing and maintaining administrative, personnel and logistical services.
• Extensive experience running remote camps and offices.
• Experience in exploration or extractive industry will be ideal.
Skills / Knowledge Requirements:
• Microsoft Office knowledge
• Must be detailed, methodical, organized and systematic

• Accounting and Auditing skills
• Knowledge of vehicle fleet management
• Office management and administration
